Journey Steps

After you've created a Journey record, you'll use the Journey Builder to configure the steps. There are three types of steps:

  • Actions
    • An update or task you want to occur to a Prospect or user, such as sending an email or increasing a score.
  • Triggers
    • Prompt that sets off an action, such as a Prospect opening an email.
  • Checks
    • Verifies a Prospect's field values before allowing them to move forward in the Journey.

Below you'll find a description of each type of step that can be added.

 

Actions

Name Definition
Send Email

An Email will be sent to the Prospect. The user building the Journey can choose which email and schedule the send date and time.

Add Tags

Add tags to the Prospect.

Remove Tags

Remove tags from the Prospect.

Adjust Score

Increases or decreases the Prospect's score.

Assign Owner

Assigns the Prospect record to another user.

Change Prospect Field

Updates a field's information. For example, changing a Prospect's "Opted Out" field from unchecked to checked.

Notify User

Sends a notification to a specified user.

Add to List

Adds the Prospect to a specified List.

Remove from List

Removes the Prospect from a specified List.

Convert to Lead

Creates a Lead record in Insightly CRM for the Prospect. The Prospect record will still exist in Insightly Marketing. The two records will not share the same record ID.

Execute Lambda Function

Creates a trigger to execute a specific Lambda function.

Fire Webhook

Fires or sends an outgoing HTTP POST webhook to an address specified in the action.

Create CRM task

Creates a task in Insightly CRM, assigns it to a CRM user, and links it to the Lead or the Contact associated with the Prospect from the Journey action.

When creating this Journey Action, you can use Merge tags to automatically add data to the Task Name and Description fields by clicking the “i” icon in the field box. The content is taken from the Prospect’s data.

Add to Zoom Webinar

Pushes webinar signups to Zoom to a Prospect. The webinar ID is required.

Notify User

Sends a notification to a specified user.

In the Notification Type dropdown, the default setting is App Notification, which will only notify users within the Insightly App.

Users can select App Notification + Email to receive an email notification in addition to the App notification.


Triggers

Email Opened When the Prospect opens the Email you sent, the next step in the Journey will be set off.
Email Link Clicked When the Prospect has clicked on a link in the Email you sent, the next step in the Journey will be set off.

 

Checks

Name Definition
Check Prospect Field Checks the information entered on a field, such as the country they live in.
Check Prospect Grade Checks the Prospect's grade. This is helpful if you only want to target Prospects who meet a certain grade threshold.
Check Prospect Score Checks the Prospect's score. This is helpful if you only want to target Prospects who meet a certain score threshold.
Check Prospect Tag Checks if the Prospect has been assigned a specific tag.
Check List Membership Checks if the Prospect is included in a List you specify.
Check Date and Time

Checks the current date and time.

Check Zoom Webinar Attendance

Checks if the Prospect attended a specific Zoom webinar. The webinar ID is required.

Check Zoom Webinar Registration Checks if a Prospect has registered for a specific Zoom webinar. The webinar ID is required.
Check Redirect Link Click Checks if a Prospect has clicked a Redirect Link. When checking when the action occurred, the step is set to check “Any time in the past” by default. 

If "In the recent past" is selected, users can configure how far back in time to check the Prospect timeline in either days or weeks. Users can select up to 90 days or 90 weeks for this option.

The clicked Redirect Link can be tracked from a third party website or an email.
Check File Downloaded Checks if a Prospect has downloaded a Hosted File. When checking when the action occurred, the step is set to check “Any time in the past” by default. If "In the recent past" is selected, users can configure how far back in time to check the Prospect timeline in either days or weeks. 

If "In the recent past" is selected, users can configure how far back in time to check the Prospect timeline in either days or weeks. Users can select up to 90 days or 90 weeks for this option.

The downloaded Hosted File can be tracked from a third party website or an email.
Check Form Submission

Checks if a Prospect has submitted a form. When creating this check, the user will select a form from the dropdown. Insightly will check if the Prospect filled out and submitted that specific form.

This step will allow you to select the time period in which that form was submitted. The default setting is Any time in the past.

Alternatively, you can select In the recent past and configure how far back in time to look for the Prospect's submission in either days or weeks. The minimum date requirements are 1 week or 1 day. The maximum date requirements are 90 days or 90 weeks.

Once the Prospect reaches the check in their Journey, the step will execute and the date will be calculated from the moment they've reached the check based on the date configuration.

For example, if the configuration is set to check if the action occurred within the last week, it will check if the action occurred within the week prior. It would not check from the start of the Journey, only when the step was reached.

Check Prospect Viewed Page

Checks if Prospect has visited a webpage. When creating this check, the user will enter the web page URL that should be checked. The URL must contain https://

Users can use URL wildcards, such as https://www.insightly.com/*

This step will allow you to select the time period that the page view occurred in. The default setting is Any time in the past.

Alternatively, you can select In the recent past and configure how far back in time to look for the Prospect's web page visit in either days or weeks. The minimum date requirements are 1 week or 1 day. The maximum date requirements are 90 days or 90 weeks.

Once the Prospect reaches the check in their Journey, the step will execute and the date will be calculated from the moment they've reached the check based on the date configuration.

For example, if the configuration is set to check if the action occurred within the last week, it will check if the action occurred within the week prior. It would not check from the start of the Journey, only when the step was reached.

Check Prospect Visited Website

Checks if Prospect has visited a website within a set time period, which will return a true or false result.

When creating this check, the user will select a website from a dropdown, which are pulled from the sites setup in Domain Management.

This step will allow you to select the time period that the visit occurred in. The default setting is Any time in the past.

Alternatively, you can select In the recent past and configure how far back in time to look for the Prospect's website visit in either days or weeks. The minimum date requirements are 1 week or 1 day. The maximum date requirements are 90 days or 90 weeks.

Once the Prospect reaches the check in their Journey, the step will execute and the date will be calculated from the moment they've reached the check based on the date configuration.

For example, if the configuration is set to check if the action occurred within the last week, it will check if the action occurred within the week prior. It would not check from the start of the Journey, only when the step was reached.

Check Is Corporate Email Address Checks if the Prospect's email address is a corporate email address or was created with a public email provider, such as Gmail, Hotmail, or Yahoo.
