Advice to setup Project

Dear Insightly Hero,

I need advice to support my operation? Challenge is "how to configure Contact and Project to support following task"?

- Project needs several Contacts (contractor) to fulfill their assignment, each assignment has job code with 3 to 4 "stage" deadlines (date) to complete.

- Screen the deadline (monthly) to follow up (call or email) the progress with each contacts and update the progress to Project Note.

- Some contacts may carry multiple projects with different deadlines to each project.

- After project completed, some contact will be assigned to new or renew project based on their score (1 to 5).

Appreciate if you could share your experience or advice to me.

  • There are always a number of ways of solving a problem like this. Here is my take...

    An assignment is represented by a project. Each assignment is represented by a task which would have a deadline and a reminder date in advance of the deadline. It would be possible to report on the task (assignment) deadlines as well as those that are assigned the task.

    The contact would be linked to the project as well as the task.

    You mentioned a score. Would this score be an overall score for the contact or a score based on the contact's performance on the project as a whole or on an individual assignment? It is clearly simpler if you are aggregating the score back onto a custom field on the contact. The alternative is to track the contact's score on a project or task. If the task (assignment) is only associated with one contact then it would be possible to save the score on the task (although due to a lack of custom fields on tasks this is limited). Storing the score on multiple tasks as opposed to on the contact would make aggregating the score for a  contact harder and may require some custom reporting.

    Further to David's comments, when you set up the Project, you can add pipelines to help keep track of the stages and identify tasks automatically.https://support.insight.ly/hc/en-us/articles/217522777-What-are-Pipelines-

    As well, you can link each 'Contact' with the project they are working with to help you (or them) keep track of the project they are working on and at what stage they are at at any given time..

  • Rudy, also you can link projects to projects - if you are using a project for each "contact - subcontractor" you can have a higher level project that has all of the linked sub-projects.   It sounds like you have a kind of sub-contracting for projects here...
