Linking emails in Gmail has gotten...troublesome

 Previously, linking emails was as easy as clicking the icon an typing in an "opportunity" or "project". Now, it seems like the number of options for things to link to has gotten out of hand. It gives me the option to link to other emails etc. I don't need to do that. Many times, the list of availables is so long, the thing I actually want to link to does not show up in the list. Somehow a setting got changed and I just want to go back to making this easy. Advice for me?

  • Hi Adam,

    Sorry you're having some trouble with the new linking/search system.  The system should limit the options for linking the more information you provide it (eg: I'll get less options for "Marc S" than I will for "Marc").  Do the items you're trying to link to not appear when you add more information to the search?

  • Yes, the system weeds out weaker matches the more information I provide. However, since it is now giving me options to link emails to other emails (WHY?,I don't think it did before), the actual project I am trying to link to is so far down the list that it does not show. I find myself having to exit my email. Go to insightly. Go to the list of opportunities and find out the exact way it was entered in the system in order to then go back to my email and enter the opportunity into the linking system exactly how it is entered in insightly. Previously, I just started typing in "jones" for "The Jones Lake House" and The Jones Lake House would show up and Id select it. Now, the 35 other emails with "jones" in the title show up and unless I type in "The Jones Lake House" exactly, I do not have the option to link to it. Is there a setting to make it not show me all the other emails previously linked to an opportunity? I cannot think of a good reason for other emails to show up in the suggested things to link an email to. All those emails are linked to the project already.

  • Hi Adam,

    Is this something that you're noticing only in the Sidebar/Gadget?  If so, this sounds like abnormal behavior.  Could you send me a screenshot of what you're seeing?

    Also the projects it suggests many are "completed" .

    I would imagine that these projects ("completed" ones) should be filtered out of the suggestion list.

    The search system doesn't discriminate between completed and open projects at this point in time, but feel free to add your idea to our Ideas and Suggestions page!
