duplicate contacts with different emails

Many of my contacts have more than one email. They may send me email from multiple different addresses. There may be more than one contact for a single person because of these multiple emails. I merge the contacts, choosing the master contact - but the other emails then disappear and when I get an email from the other address, I'm prompted to "add contact" instead of "save email" - because the system seems to no longer recognize the alternate email.

And often, when I create the contact, I know they have more than one email - but there's no way to enter them in the contact.

I understand that you likely identify the contact by their email - but there should be a way to list other emails and then just label one email a their primary.

    I am in the new version (1 year old plus).

    I would suggest putting in a ticket to Support if you cannot transfer to the new version..

  • The new one. 13 days remaining on the Professional plan. The phone number on your site.... every option leads to "Go to our Website" You have a phone number but no phone support?

    How do we have different options?

  • I am an Insightly hero vs working for Insightly. So i suggest putting in a support ticket above. They will be best to answer why you are seeing a different screen. Hope that helps.

    If you scroll down on a contact form, you will see a space for an additional contact.

  • I merged two contacts jeffreytutor@gmail.com and jeffreytutor1@yahoo.com

    As you can see - the yahoo address is nowhere on the file, now. While it did preserve the emails, the actual address is now missing.

  • I did just add the email to custom fields - it wasn't there in the default but had to be added manually - but again - when I merge - that email is gone.

  • What about merging then adding the additional-mail?

     I have also run across that issue of ensuring the data I want in both is there and have to add items which might be lost in the merge.

  • Hi Debra,

    Custom fields do not merge in Insightly.  Instead, the custom fields of the Master record are always preserved.

    In order to copy that information over, you'll either need to manually update it or use bulk updating with imports.

    I don't see a "Custom fields for contacts" section. Just "contact custom fields" that you need to create your self. What is frustrating with email address is you can't change the default "Email" label. So it says Work Email or Home Email. If I can change the default "Email" to "Work Email" I could then add a Custom field "Home Email" + "Other Email" + what ever and it would be obvious what goes where.

    Look near the bottom of the Contact card . This is the "pull out" when you click on a specific contact.
