Non sequential work process

Is there a way to manage no-sequential work processes using Insightly?

We produce an email newsletter and I have created a pipeline, however several of the tasks are not contingent on the previous one being completed.

The tasks in our case all need to be done, but necessarily in a specified order.

    It sounds like you may want to use Milestones instead of Pipelines to manage your projects.  Milestones let you link tasks to non-linear goals, allowing you to complete tasks in the order that makes sense for you on a case-by-case basis, while still managing your project workflow. :)

  • No, Milestones would not be the same.

    Indeed, for many work processes, we repeat the same steps for similar business situations. However, very often stages, be it an opportunity or project, are NOT linear. For example, payment, sometimes it is 100% prepayment, other times 100% on credit, and often a combination. We need the ability to see a project's or opportunity's TRUE progression even if an earlier stage has not been completed. 

    The lesson here is that pipelines are by nature not always linear, but rather a collection of definable stages that follow a general trend/order but very often with exceptions. PIPELINES ought to give the ability to reflect this.

    I am not sure how easy it would be to implement but the ability to check-box each stage of a pipeline would be simply wonderful, with activity set triggering when a stage is checked. 

    I would greatly appreciate a response.

  • Hello,

    Activity Sets are currently a template to create individual tasks or events that you repeat often. There are three ways an activity set can be triggered to create the tasks and events. One of them is to automatically apply them when changing a stage in a pipeline on opportunities and projects.

    I suspect that it won't give us the high level visual view of PIPELINE completion for all PROJECTS (or OPPORTUNITIES) that is really needed.

    Imagine a PIPELINE that has 10 steps & 7, not necessarily sequential, are marked complete. That's what would be truly powerful.

    Activity sets allow you to keep track of the various steps, yes, and whether they have been completed.

    But how does a manager see a list of all PROJECTS or all OPPORTUNITIES and at a glance know which parts of the PIPELINE have been completed? An ON/OFF switch per stage would be FANTASTIC.


    I will experiment with ACTIVITY SETS to see if there is something I am still missing & revert sometime in the next few days.

    I tried the activity sets. Very useful indeed. Thank you.

    Related question: is there a way to change the default sorting of the tasks that are created? They currently show from the future to today. I want to see the immediate ones first.


    With respect to the idea of an on/off tag for the PIPELINE I may add it as a suggestion as I believe it addresses a different need.

    Happy to hear that helped!

    Yes, you do have the ability to sort your list views which includes the view for Tasks. When viewing any list that's displayed in a grid view, click a column header to sort by the values in that column. One click will sort in ascending order, a second click will sort in descending order.

  • Hi Alejandro,

    My question was whether there a way to change the DEFAULT sorting of the tasks that are created? 

    Every time I have to change to my preferred view which is soonest to furthest in the future. See attached the default view (before I click to display the tasks in the nearest future first) which shows what I need to do 5 years down the line first!

  • Hello,

    You can only change it at the time of viewing the list by clicking on the column "Date Due". When you log out and change the view you will have to sort by how you like once again. There's currently not a way to default the column to a specific sort of your choosing. I understand how this can be helpful for you. If you have the time please submit a feature request for this on our Ideas & Suggestions page.
