Exporting contacts to CSV only get 9 tags

Hi,

Ever since you erased my data in March I've learned my lesson and regularly backup my data using the CSV export feature.

I just noticed that you only give me 9 tag fields in the contact export. I have maybe 200 separate tags and any individual contact might have 20 or so.

Is this a bug, and I should be able to export all the tags associated with my clients when I try again later, or is this a feature, and I need to know that my database will never be able to be restored OR exported intact?

Thanks for clarifying this.

  • Hi Wendy:

There were some field changes in March and data was moved to your Notes, nothing was erased or lost in this transfer of data. There is also an option for to bring those fields back into your record as Custom Fields, if you need help with this feature please let us know.

The data export files will only include 9 Tags. You can retrieve all Tag data using Advanced Reports.

  • Hi Lyla,

I'm a tax accountant and was working the week-end you did the unannounced upgrade. It took you a week to get my data back to me during the absolute busiest time of my year. So, yeah, believe me when I say I learned the value of a backup.

Not being able to export more than 9 tags is going to make CSV backups and restores not a feasible option for us. I went to try to build an Advanced Contact Report to gather all the data about my contacts and quickly ran out of allowed columns on the report. I wasn't counting, though: can you tell me how many columns I'm allowed on my advanced report?

Also, can you please expand on how you choose the 9 allowed tags? Is it just the first nine alphabetically in existence, or the first nine a given contact has? Does it matter what order I added the tags to that contact? Can I choose which nine are most important in some way?

    Thanks for your help.

  • Also, is it possible you could expand how many tags a contact is allowed to have? I had no idea that you had a limit of 9 tags per contact. I have a paid plan, is this something you offer at an upgraded tier? Is this a new change? Because I always knew I used dozens if not hundreds of tags. The ability to tag clients is integral to my use of the CRM. Discovering that tags aren't exportable means my business success is a bit too linked to your business success for my comfort. Especially since I was a customer of yours on March 23.

  • Hi Wendy,

There is no limit to the number of Tags you can add to a record and the first 9 tags in alphabetical order are what is included in the export file. There isn't a way to select which Tags you would like in a CSV export.

You can filter which Tags you would like to include in your Advanced Report and you can will have up to 35 columns. The preview display will not show well on your screen but once exported your data will appear just fine.

  • Hi,

I've been searching for a work-around to the fact that my tags can't be exported. One of the options I've found is to create custom fields with a drop-down list of a bunch of things that are mutually exclusive. This is working somewhat. I have also created some custom fields in the form of a checkbox for some other important tags. But I'm still left with maybe 100 attributes that clients might or might not have. Like tea, like coffee, live nearby, on cancellation list, various newsletter subscription topics, stuff like that. I use tags to slice and dice my 2000 contacts on the fly, but I'd be fine using custom fields.

Is there a way to create a custom field that allows multiple entries? They might like tea AND have a home office? They might be nearby for snow days AND a school teacher who likes to be scheduled in school vacation? They might have been clients in 2013 AND in 2014 AND in 2015?

Knowing that all the data associated with these contacts cannot be backed up means, to me, that the success of my business depends on the success of your business. That stunt on March 23 still has me shaken, I just can't get past that to believe my data is safe with you. Basically, I need to figure out how to back it up (and restore it later!) so I can feel safe. Any thoughts?
