Send email from outside insightly

Is it possible to select multiple contacts and copy the email addresses, or open them in outlook to send an email outside of the insightly system?

  • Hi William,

    If you'd like to send an email outside the Insightly email system, you can do one of three things:

    1. Click on any email address (e.g.  yourname@yourcompany.com) in Insightly and your browser will open your default email program. 

    2. If you're mailing to more than one contact you can use bulk editing. Go to Contacts. Check the boxes of the contacts you wish to email. Choose the More button above the list and Export. A CSV file of these contacts will be emailed to you. You can use this file to send out your mailing from your default email system.

    3. If you're working with a large group of contacts, you can use the Filter option to narrow down your contacts by the default choices or by  creating a custom filter. Once you have your list check the Select All box next to the Search field. Choose the More button and Export again to have the CSV file emailed to you.

  • So in regard to the original question...is there a way to send an email from OUTLOOK without cutting and pasting?  Can't we use Outlook as the default email program?

  • I spoke too soon there, maybe you can help (again!)? So that opens in outlook if you're emailing one person. What do you do if you want to email several at once/a mailing list? 

    From what I've seen the only way is to export, unzip and copy the CSV, which I'm not teaching my whole team to do! Do you have another magic workaround?

    Or Brenda/Nora, if you can help?

  • No, sorry.  Unfortunately I haven't figured out an easy way to do that.  The "Send EMail" button in the contacts section only seems to be able to work within the Insightly world. 

    I tried a bunch of things but the only way to send to a targeted list is to export the selections to the CSV you mentioned and then copy and past the email addresses.  Pain in the ass if you ask me.  And you're right - I'm not going to be able to get everyone here to do that.

    We shouldn't NEED magic workarounds to extract simple data like a group of email addresses. It should be easy enough to program that SEND MAIL button to use the default email program rather than the UNsightly email system.

  • Hi everyone- Unfortunately csv export is the only current workaround for this, if you are not wanting to use the current Email option. I know it can a headache to have to teach your team these steps, I would suggest providing a request under our Product Feedback & Request for our Product Development to review and Users to vote on. :)
