Custom Filter Features

It would be great to add additional features to the Custom Filters. You know, obvious ones like:

  • Letting people edit filters once they are created,
  • Cloning a filter if you have several to make that are very similar
  • Exposing a filter option so you can change it on the fly

These would be incredibly useful, and don't seem like they would be all that difficult to implement.

    Hi,

    I'm just about to write some documentation on the huge update we just shipped with filters in this new release, but I wanted to update you here in the community first.

    We have just added the full compliment of all possible filter operators to filters for all object types - contacts, organizations, opportunities, projects, and leads - so you can pretty much think up any filter you want and create it now.

    Text fields now have the following operators: Equals, Not equal to, Less than, Greater than, Less or equal, Greater or equal, Contains, Does not contain, Starts with, Is Empty, Is Not Empty.

    Drop down fields now allow you to choose one of the option values along with operators: Equals, Not equal to, Is Empty, Is Not Empty.

    Date fields now allow for: Equals, Not equal to, Less than, Greater than, Less or equal, Greater or equal, Is Empty, Is Not Empty.

    We've also added three new custom field types that you can now create: number fields, checkbox fields (on/off), a hyperlink field, and multi-line text fields - and you can filter by those field types too.

    One of the biggest features we're excited about is what we are calling 'relative dates' in filters. When you're filtering by a date field, instead of picking a specific date to filter by, you can now type in a relative date value like 'this week', 'next week', 'last month', '3 months ago', 'last quarter', 'next 90 days', 'last year' - and Insightly will determine what date range that represents each time you use that filter.

    This means for example you don't have to create a new filter each new week if you want to look at what contacts were created in the last week, you just type in 'last week' as the filter value, and each time you use that filter it will show you what was created in the last week, as shown below. We think that is a super powerful feature for date filtering and we know customers who do a lot of date filtering are going to love it.

    You show that the filter operator usually contains "is empty" and "is not empty", but when I try to use them, they don't exist.  Any reason for that?  They would also be useful...

    Great to have you here! Thanks for taking the time to leave your custom filters feature requests so the community can comment and vote on them. 

    You've got a sharp eye. The filter contains "is empty" and "is not empty" for Contacts but not for any of the other big four. Let me see if I can find out why. Thanks!

    Being able to filter opportunities is great. It would be tremendous to be able to sort, as well. That way I can list my opportunities from most valuable to least valuable.

  • Allowing for Is Empty filtering would really be a useful addition to all filters. I ran into a situation today where I wanted to find organizations with a blank/empty custom field and I can not figure out how. Seems like you can not do so.

    In general, the current filtering options are rather weak as a whole and really need to be improved. If you make a Text field and add things like a count of inventory, you can not create a filter for assets with less than 50. Or if you create a date field, you can not create a filter that brings up assets older then (lets say) 4 weeks old. You can look for something older then a specific date. This date one is the most disappointing since there seems to be no easy way to find a customer that you have no communicated with in X amount of time.

  • As well as being able to create filters for when a custom field is 'empty' or 'not empty' it would also be really helpful to be able to filter when an Organisation does not have a certain tag - so a 'does not contain' operator.  That way you could filter for list of organisations that have one tag, but don't have another, something that I regularly want to do.

  • Editing filters is a big issue here.

    I keep many filters for various uses that tags just aren't helpful for. These filters contain more than 20 variables each and sometimes I only need to edit a couple of variables or add another. Instead of having the option to edit the filter, which would make this process easy and simple, I have to create a brand-new filter every time this happens.

    This is just a lot of wasted time for a function that should have been included in the first place.

  • I agree that there are a lot of improvements on filtering and sorting. First of all when working in team tags may become a sin!

    Custom field can much better narrow the choice among all the team and keep the full database much more consistent and easy to filter and sort.

    Actually to possibility to create fully custom reports by choosing informations from ALL the fields linked to an opportunity (either if they are part of linked organization or contact would be great) .... sort of query in access if you know what I mean ....

  • Lots of great suggestions here, thank you, everyone! I am happy to report that within days we are shipping improvements to our Custom Fields and Custom Filters, however not all of your requests will be supported. We are adding 4 new types of Custom Fields, Grouping of Custom Fields and Visible/Editable settings. And also adding a lot of useful operators to custom filters. I've taken note of your suggestions that are not shipping with this release and make sure they are on our roadmap.

But essentially we are adding 4 new types of Custom Fields (Check box, URL, Paragraph, Numeric), Grouping of Custom Fields and Visible/Editable settings. You can view all these changes by going to System Settings > Custom Fields. And also adding a lot of useful operators to custom filters.

    Somewhat off topic... Any chance that custom fields can now be included within an email template too? That is my 100% biggest need for truly using Insightly for all my business needs.

  • Thanks Maria, I'll check out the new features and comment back. I really hope I will be able to use Insightly for all business need without having all the time:

    1) Export the XML database

    2) Use a customized XML to XLS tool

    3) Make queries and pivot tables in XLS

    That's really time consuming, the possibility to create complex filtering and exporting the results is a milestone!

  • There a great need to filter by date - but not a fix date.

    Instead of fix date - allow us to filter all dates that are relevant for the next 30 days.

    I need it for subscribers:

    To see all the date that are less than the next 30 days. or something like this.

  • All the filter on custom fields features you added are great.

    However anything that relies on Custom fields may be compromised becuase custom fields cannot be made to be required and hence suffer from data integrity issues.

    I would think this could potentially help any/all Insighlty clients:

  • Okay, PLEASE implement editing a custom filter. 

    It seems like it wouldn't be that difficult a fix and would be incredibly helpful so that we don't have to go and create a new custom filter.

    This is honestly holding the custom filter feature back if you don't add the edit feature.

  • The new extended reports (beta) do include the ability to copy and edit reports (which are really custom filters that output a report rather than displaying a set of records).... which allows you to view fields from records as a list.... if this was just extended a little to allow the report output records (ie. an array of record id's) to be used as the basis to jump to/feed into the corresponding record screen (with a "Select All Records" button on the report poutput --> Contacts / Opportunities / Projects / Tasks screen ) with the corresponding records displayed..... this would be solved (AND Custom filters on Tasks would be solved as well)... the extended reports would then effectively be clonable, editable, flexible, with relative dates etc.... pretty damn awesome "custom filters deluxe with strawberries on top"! Insightly... there lies the answer!?

  • May I add my voice to Edit Filters.  It's pretty frustrating when you have created a filter and suddenly realised you left out a tag.
