Feature Request: Xero Integration

Would like the same Integration for Xero that you have for Quickbooks Online.  QBO might be more popular, but Xero is the Cloud solution that lines up best with your users.

  • @Jellealthuizen, simply go to a Contact record, look to the right of "Events", and you'll see a greyed out Xero button.  Press it, connect, and you're done.

    Xero integration is not released yet to all customers, only to a few whitelisted beta participants.  We are also no longer signing up beta users simply because we plan to release the integration to paid users very soon. Please stay tuned for our product news, appreciate your patience.

  • Hello everyone, I am pleased to announce that Xero integration has been released and is available to all Insightly paid customers. 

    Watch this fun  video for a quick overview of the integration or review support articles to see how it works.  Reminder that only administrators can enable integrations in Insightly, and that you would need a Xero login to set it up.

  • Just a question on how / when the "synch" works?
    I have instaled and and linked to a Xero org.

    Create a contact in Insightly.

    I expected the contact to be automatically created (synched) with Xero (without having to click the "New Contact" button in Insighlty on the Xero Tab).

    Is that correct? what is the normal delay if any?

    Or do I have to manually click the the "New Contact" button in Insighlty on the Xero Tab each time?

    And if/when i convert thousands of customers into Insighlty via import, how will they be auto-synced to Xero without having to create ot match them one by one?

  • Hi Mia, thanks for giving Xero a try in Insightly. Unfortunately, we are not auto-creating or auto-synching records to Xero at this time. This is something we would like to do in the future so your vote will definitely count towards that feature! Currently, you have to click 'create new contact' for each record.

    A question for you: for your business scenario - would you want every single contact in Insightly to be replicated in Xero? Or would you want to be somewhat selective about which records go to Xero? Thanks.

  • Looks like a great start and I'm looking forward to more.  

    Auto-sync of contact info would be near the top of our list, but really only if it was selective.  For us, Xero (accounting) holds a much smaller subset of contacts than Insightly (CRM).

    Would also like to see more financial data (or be able to toggle which data appears)... example, for Invoices / Bills we'd like to see Drafts as they tell us important info on the lifetime value of the client.

    Again, looks great and looking forward to seeing more improvements as the get released.

    Delighted to have found the Xero integration today and to see how quickly it sets up. Especially happy to find that its flexible enough for our setup - we run weddings, so each project has an Opportunity and two Contacts (Bride and Groom). being able to see financial history under each of these records is helpful.....very helpful.  Two questions.

    1) I have linked the Opportunity, the Bride and the Groom to the relevant Xero contact. Will all update when Xero is updated? 

    2) Please, please please.....can we make the Invoice/Bill search in Opportunities easier by adding a search by contact name field too. we don't use Xero to create invoices, but a product called Quotient. Even better would be a way for Xero integration to find Invoices/Bills linked to Contact that are linked within Insightly to Opportunities/Projects and offer us the option of linking them.

  • @Yaron, Hi and thank you for feedback and glad you are delighted. 

    Regarding your first question: once you link contacts in Insightly to Xero contacts, your Xero subtab will always display the latest and greatest information from Xero. However, if you wanted to add a phone number if it was added in Xero to Insightly contact details - you'd have to manually push an update using the "Copy details to Insightly or Copy details to Xero" under Actions menu.     Your second suggestion is brilliant, I can easily see how this would save users a lot of time, otherwise currently it would take someone a look up in Xero as a step. We do have several other priorities already lined up, notably automatic contact sync, but your suggestion for opportunities is definitely noted.

  • This integration is great!! Well done!!!!

    Contact Sync will be a great enhancement,

    And +1 for being able to finding Invoice to Link to the Opportunity, by Contact name (Xero Customer) at the least.

    How are people dealing with Xero logging out the user used to connect Insightly to Xero every 30-60 minutes if no activity (eg. every night).
    Driving me nuts having to reconnect all the time (and that has to be done by an Insightly Admin user)?
    Xero dont seem to want to budge and help.

  • Another suggested enhancement would be to have (according to an Insighlty system setting, maintained by Admin).... the draft invoices be able to be approved + emailed from within Insightly... without having to View to jump into Xero.... then Approve, then email.

    ie.

    1) From Insightly: create draft invoice invoice (as per current)

    2) NEW: From Insightly: a link button to Approve + email  --- would be great! (the normal Xero Email window could then popup to confirm the email address, attach PDF etc, and click the Xero send button)

    Would just save lots of extra clicks.

    A: In practice the way it works is fine... Selective... from the point when NEW CONTACT is first manually clicked by the user (for the first invoice created)... but then after that...

    - auto sync takes over for any fields that exist in both systems (first name, last name, email address).... with either Insighlty or Xero nominated as the 'master' system 
    - not being able to delete an Insightly customer that has sent invoices in Xero

    - updating the Xero/Insightly Contact link anytime one contact is merged into another in Insightly (maybe it does already?)

     

    It really is great... just the auto-log / time out is super annoying.

  • On the Contact, Xero TAB - is there a way to show the Line item (first one will do) Description? Its hard to know what invoice is for what when there are multiple for the same customer / contact.

    Hover over (popup line items / descriptions) would also suffice (rather than customisable columns).

    When added the Invoice and selecting the Invoice Item Code, the description should also copy as per the Xero Item Code settings. (Please)

    In XERO https://go.xero.com//Setup/FinancialSettings.aspx we can set Tax Defaults: Tax Inclusive

    When I create an invoice in Xero for $300 it includes $27.27 (10% GST, total = $300).
    When I create the same draft invoice from Insighlty, it's adding $30 GST (total = $330). ie. From Insightly the invoice creation is ignoring this Xero (Tax inclusive in amount) setting...

    That would mean that the Insightly users would have to try to work out that they needed to enter an amount of $272.83... and that is assuming they even know what the associated tax config is for the Item code... and they don't, all they know is the total amount including tax.

  • For anyone else experiencing auto logouts from Xero / breaking the integration and forcing re-login..... From the Xero team:

    "Looking at the connections, it appears that somehow there are two connections between your organisation and Insightly.  This can cause problems because each would have it's own login token which would overwrite and disconnect the other.

    To resolve this, please log into Xero and go to Settings > General Settings > Add-ons.  Click the Disconnect button next to each of the two connections called Insightly CRM.  Once it's fully disconnected, you'll be able to reconnect Insightly one last time.  On the Xero Add-on page you should see a single instance of Insightly, and the connection will be able to persist so you won't have to authorise a connection again."

  • More a Xero thing... but probablhy of interest to some... how to auto-add Credit Card surcharges to the Xero Invoice when the "Pay Now" button connects to a payment gateway and the customer chooses to pay by credit card (and you dont want to have to absorb those fees).....

  • re: Xero logging out the user used to connect Insightly to Xero. Insightly released a fix and it appears to be working. Am no longer having to reconnect all the time:)

    Just waiting on the Invoice Amounts Inclusive of Tax bug fix....

    and the finding Invoice to Link to the Opportunity, by Contact name (Xero Customer) would be great.

    Just found out about, and enabled Xero integration. We were actually considering stopping our use of Insightly, as Xero had essentially become our long term record of customer transactions, but this integration may change things for us....

    Back in June, "Maria T." said:

    "CREATE INVOICES WILL BE AVAILABLE AT LAUNCH, QUOTE A BIT LATER"..

    So... do you have a timeline for Quotes?

    Ideally I want to associate opportunities with a quote (and allow our salesforce to draft these), and once the order comes in, convert to a project and associate the project with an invoice... (which probably will NOT be done by the salesforce).

    We work in a regulated environment, so I have to capture our working process in documented procedures - and the availability of quotes from Insightly will significantly change things. It could mean that our sales force no not require access to Xero at all - simplifying training, and reducing risk of the process going wrong.

  • Hi Stephen, thank you for describing your scenario and the benefits that integrating quotes can bring to your company. This is very valuable to us.  Our product team at Insightly is in close touch with the Xero API team and are waiting for their team to make quotes available to us so we can add to the integration. Until Xero makes quotes available to us via API, I am afraid we can't help. Will let you and the community know once we hear about changes from Xero.
