Feature Request: Xero Integration

Would like the same Integration for Xero that you have for Quickbooks Online.  QBO might be more popular, but Xero is the Cloud solution that lines up best with your users.

  • Hello everyone, I am pleased to announce that Xero integration has been released and is available to all Insightly paid customers. 

    Watch this fun  video for a quick overview of the integration or review support articles to see how it works.  Reminder that only administrators can enable integrations in Insightly, and that you would need a Xero login to set it up.

  • @Farrukh, you may not know this, but the Xero integration is live.  I've been using the integration since it came out (not long ago at all) and like it.  It seems to disconnect sometimes, but I attribute that to needing to refresh Insightly in the morning.  The connector that's built-in seems to function well.

    For us, the ability to generate an invoice and check the status on paid ones is awesome.  It's all the functionality that we need in an integration.  Just my 2 cents.  Good luck with your testing!

  • @Jerry Thank you for the feedback. This is the kind of functionality I am looking for. I signed up for insightly 2 months ago and I think I am back to the free plan after the trial expired. I will signup for a month on basic plan and check out the integration.

  • @Farrukh, good luck!  If you're a Google Apps user, make sure you try out the Insightly Sidebar.  It takes some practice to determine the work flow, but it just came out also and is working well for us so far.

  • I am also using the Xero integration. It is really good. Love the ability to be able to copy details over from Xero to Insightly and vice versa. We usually have the details on Insightly first while client is a lead and only when we sell to them do they get put in Xero. Being able to simply copy across the details is great.

    Also being able to see what invoices are overdue and their 12 month, and their lifetime value straight from within Insightly is great. We can immediately see how to handle a particular client based on whether they are high or low value.

  • @Jerry ok you got my attention, I am a heavy google apps user. Was using the email gadget. Just installed the sidebar. This is looking really good. Fingers crossed on xero integration. I just moved my company accounts to xero and really loving it. No automatic bank feeds in my country but the ease of sending quote, invoicing and managing accounts is amazing. Thank you for your feedback.

    Xero integration is not released yet to all customers, only to a few whitelisted beta participants.  We are also no longer signing up beta users simply because we plan to release the integration to paid users very soon. Please stay tuned for our product news, appreciate your patience.

  • Looks like a great start and I'm looking forward to more.  

    Auto-sync of contact info would be near the top of our list, but really only if it was selective.  For us, Xero (accounting) holds a much smaller subset of contacts than Insightly (CRM).

    Would also like to see more financial data (or be able to toggle which data appears)... example, for Invoices / Bills we'd like to see Drafts as they tell us important info on the lifetime value of the client.

    Again, looks great and looking forward to seeing more improvements as the get released.

  • This integration is great!! Well done!!!!

    Contact Sync will be a great enhancement,

    And +1 for being able to finding Invoice to Link to the Opportunity, by Contact name (Xero Customer) at the least.

    How are people dealing with Xero logging out the user used to connect Insightly to Xero every 30-60 minutes if no activity (eg. every night).
    Driving me nuts having to reconnect all the time (and that has to be done by an Insightly Admin user)?
    Xero dont seem to want to budge and help.

  • Another suggested enhancement would be to have (according to an Insighlty system setting, maintained by Admin).... the draft invoices be able to be approved + emailed from within Insightly... without having to View to jump into Xero.... then Approve, then email.

    ie.

    1) From Insightly: create draft invoice invoice (as per current)

    2) NEW: From Insightly: a link button to Approve + email  --- would be great! (the normal Xero Email window could then popup to confirm the email address, attach PDF etc, and click the Xero send button)

    Would just save lots of extra clicks.

  • re: A question for you: for your business scenario - would you want every single contact in Insightly to be replicated in Xero? Or would you want to be somewhat selective about which records go to Xero?

    A: In practice the way it works is fine... Selective... from the point when NEW CONTACT is first manually clicked by the user (for the first invoice created)... but then after that...

    - auto sync takes over for any fields that exist in both systems (first name, last name, email address).... with either Insighlty or Xero nominated as the 'master' system 
    - not being able to delete an Insightly customer that has sent invoices in Xero

    - updating the Xero/Insightly Contact link anytime one contact is merged into another in Insightly (maybe it does already?)

     

    It really is great... just the auto-log / time out is super annoying.

  • On the Contact, Xero TAB - is there a way to show the Line item (first one will do) Description? Its hard to know what invoice is for what when there are multiple for the same customer / contact.

    Hover over (popup line items / descriptions) would also suffice (rather than customisable columns).

    When added the Invoice and selecting the Invoice Item Code, the description should also copy as per the Xero Item Code settings. (Please)

    In XERO https://go.xero.com//Setup/FinancialSettings.aspx we can set Tax Defaults: Tax Inclusive

    When I create an invoice in Xero for $300 it includes $27.27 (10% GST, total = $300).
    When I create the same draft invoice from Insighlty, it's adding $30 GST (total = $330). ie. From Insightly the invoice creation is ignoring this Xero (Tax inclusive in amount) setting...

    That would mean that the Insightly users would have to try to work out that they needed to enter an amount of $272.83... and that is assuming they even know what the associated tax config is for the Item code... and they don't, all they know is the total amount including tax.

  • More a Xero thing... but probablhy of interest to some... how to auto-add Credit Card surcharges to the Xero Invoice when the "Pay Now" button connects to a payment gateway and the customer chooses to pay by credit card (and you dont want to have to absorb those fees).....

  • Question for the group interested in Xero integration. We are working on a way to trigger the creation of a sales invoice draft from Insightly, as we heard from you that this is important. What is everyone's opinion about creating a Xero quote draft from Insightly? Is this important to you? Thanks!

  • Quotes are relatively new in Xero and we are not currently using them. That is not to say we would not in the future especially if there was an integration with Insightly.

    The most important feature for us is being able to see past payments and overdue invoices directly in Insightly. Not sure if this is in your plan or not.

  • I think it is equaly important.

    When an Opportunity is convert in project, an invoice should be generated so a trigger to create of a sales invoice draft from Insightly would be great.

    When an Opportunity is created, a quote should be sent so a trigger to create a quote from Insightly would be fantastic.

  • Xero: Must Have Features

    1. Link Insightly Company to a Xero Vendor/Client. -- I want to see, for a contact Company, if they owe me money, or if I owe them money, or both. 2.

     Create Quotes/Invoices from Insightly in some way.

    3.

     Be able to quickly pass Contact Info between Xero and Insightly, create Contacts from Xero, add Contact information to Xero.  Ideally we can have the data changes brought back and forth.

    4.

     Permissions: Financial data needs to be at least "on/off" per user, preferably a a few levels "see invoices/bills, see contact info, see totals"

    Xero: Should Have Features

    1.  When I'm in the Gmail w/ the Insightly "add-on" be able to pull the Financial Info about the Client in. 2.

     Allow an Invoice going from Unpaid -> Paid to trigger an alert, or automatically advance the process to the pipeline, etc.

    3.

     Xero Bills/Invoices should be available like Files in Insightly, possibly as another tab or two, so in the CRM, we can figure out if we've been paid or not so we know what to do.
