I need product tracking

Dear Insightly, 

We have some products that we have to track. 

I would like to ask you to basically duplicate Organization and Contact items into Vendor and Product items.

I would like to put a new Vendor to Insightly (like it is an organization) and than I want to add individual products (contacts) to this Vendor (organization).

This way I could track individual products. 

Like I have an Iphone 4C with 463846387463846 IMEI number.

I want to put Apple as a Vendor, than add the phone as a contact Name = IMEI number, Title = product type.

Than I am able to track every email that was related to that product. 

The product was sold to a custumer - great, I can bcc the insightly email address of the product, so the invocie, the email communication and everything will be recorded to that product. 

The costumer brings back the phone for a repair - great, I can bcc the insightly email of the product again, so I can record every communication that is related to that product once again. 

This way I can track every communication that is related to that certain product. 

Currently we are recording the vendors as organizations and the products as contacts in Insightly, which is working well, but it would be much nicer to be able to separate real contacts and products.

  • Interesting theory with this one. I have a similar situation, where I manage specific sets of data/assets on my website and it would be useful to have them added into my Insightly account somehow. Each asset is unique, and is not specifically an organization. It is, however, connected to organizations, tasks, projects and contacts already in my system. Though these might be able to added as a project, they really are different altogether since I have hundreds of these assets. Adding them as projects would cloud / water down the project list immediately. And adding them as organizations or contacts is not appropriate. They are assets/sets of data.

    Good call on this one. Would be nice to see a solution for asset management/tracking.

  • I certainly am. I can see it being useful for many applications where the "assets" don't fit into the current types (orgs/contact/proj/etc). The only thing I see being tough with this is that many people would need a lot of custom fields for this to fit into their needs. The lower level accounts may not be able to afford a higher monthly fee, but will need more then 10. And filtering would be tough to meet everyone’s needs. The current filtering options are rather weak. If you make a Text field and add things like a count of inventory, you can not create a filter for assets with less than 50. Or if you create a date field, you can not create a filter that brings up assets older then 1 month/4 weeks old. But with this all thought through, this would be a useful feature.

  • Good news. Our Director of Product says that Insightly will be supporting products at some point, including the ability to invoice.

    @Jeff - New types of custom fields and filters are coming in the next 3 months!

  • Has this been added?

    I would like to track a product after the sale, it would be really nice to track the serial number as you would a contact of an organization. Emails related to the serial number, warranty expiration date, and any service issues.

    Just a comment from a Hungarian user:

    Invoicing is absolutely NOT necessary for us. 

    Altough it seems to be a nice feature, invoicing is a legal issue in every country. We have special taxes, special requirements, etc. 

    Also, when you create a company, usually invoicing is the very first thing that you solve. It means that invoicing is already solved for the 99% of Insightly customers. 

    So product tracking, email scheduling, automated reminder emails for license expiry, these are the things that we are struggling with.

  • I could really use this.  Even if it behaved near exactly like Contacts or Orgs.  The relationship setting is all there to make this great.  We would use it internally for equipment tracking.  Our projects always have equipment, and knowing what equipment is in use on what job is phenomenal.  Currently, we use Organizations for our Assets, and it isn't exactly pretty, but it gets us by for now.

    I'm ok with using custom fields on Assets (or whatever we call it, Items? Stuff?). If the smaller accounts need to upgrade to get more, I think that would indicate they're using the software more and it would be worth the upgrade.  I know it would for me.

  • Is there any update on this one?  For us we sell various software products.  We want to add the products to the opportunity (i.e. Office license) then set the expiry date (if it's a term license say 1 year) or the support renewal date.  

    The thing for us is to know when to follow up with our customers for renewals.

    At this time we do no have an exact date for the release of this feature but are working on it. We will let our community know as soon as we have an update.
