  • Hi Henry,

Insightly lets you export your contacts to a CSV file that you can use to create a mailing label. First, check your export permissions by clicking your profile icon and selecting User Settings >> Users> Make sure the Data Export box is checked. Now you can export all records from a tab (e.g Contacts, Organzations) or you can export a subset by following this example for contacts:

    • Click on Contacts in the left navigation
    • Click Export Contacts and Notes >> Export Contacts to a CSV file
    • Check the box next to the contacts you want exported
    • Under the More dropdown select Export
    • You're done! The CSV file will be  emailed to you.

You'll find step-by-step instructions in this article Exporting data from Insightly to a CSV file. Let us know if you have any more questions. Thanks!

  • That's a lot of work to print mailing labels from a program designed to "Easily" keep in contact with clients. This might be the only CRM in the world you can't do that. Is there a chance a way to print labels directly from insightly will be added?

  • Hi Neil:

This is not on our current road map at this time and @Brenda's suggestion above is the best way to create printed labels for mailings. By adding this here other users can vote this up as a feature request!

  • Thanks, but for one-off labels (like sending a 'welcome kit' to a prospect or client, dumping the file to csv is cumbersome.  Maybe someone will make a 3rd party app that connect to brother ptouch.

  • My team and I would also really benefit from this - it would be great to see this functionality added to Insightly.

We send sample packs of our products to each new lead - it would be great if Insightly could be used to populate a traditional letter template as well as a mailing label. Insightly's email template function is fantastic for following up after our sample pack has been received, but for us, the new lead information we enter into Insightly isn't immediately useful in our first - and arguably most important - contact with new leads.

  • I've followed Brenda's instructions to provide a .csv file to integrate with a third-party mailing.  However I have to point out that when formatting the labels to fit onto the label I realised that since Insightly stores the entire street address line as one field, HomeStreet, it becomes difficult to format the printing so that each element of the address prints onto a separate line in the way preferred by the Postal Service.

To get around this I had to edit the .csv file to split out each element of the HomeStreet column into a separate column, which is quite tedious.  I'll vote for a mailing label feature request but the database design might need to be reviewed to make it work reliably :-(

  • Thanks for bringing this to our attention, Cathrin. I apologize for the inconvenience our workaround caused, but we'll be sure to let other users know of this.

  • Definitely a key feature for many small to medium sized businesses. Even corporates have a need for this, my last 600+ org sent custom christmas cards to all their suppliers and clients - this would rule this solution out for them.

  • I can't believe that this is continuing to be ignored as a feature. Honestly, that is the reason I chose insight.ly was to get rid of Excel spreadsheets and manage my marketing better. Sounds like I am going to look for a new service!

  • For us this is the reason I start looking at alternatives to Insightly every time we do a mailshot.  And we are doing more and more these days!  Please hurry or I might find one.  As well as labels we would need letter creation tools as well.

  • Any progress on this? I can do a mail merge with word and it works great, but 99% of my sales team has no idea what a mail merge is or the time to learn.

It seems that most of the work is done...any way to modify the email templates for printed letters and labels?

    Thanks,

    Glenn

  • I think insightly staff are confusing "best" and "only". I'd swap "best" for "terrible" which is more accurate.

  • This is definitely a needed feature.   It should be easy to print an envelope or labels.

  • this is a BASIC CRM functionality and should be created and made available.  Hard to believe it isn't even on the road map.  You have my vote to get this going.

  • Happy New Year all.  two years since I started this thread and while I'm still a happy insightly user (and I run team of 5) I am still pretty annoyed at year-end when I can't just print a mailing label to send out a holiday card to a contact!  I do see the 'export to vcf' which downloads the details for a contact, then I can convert that to csv, then pull into a brother ptouch label but its not a smooth process.

  • Hey Henry,

You can still export a single record to the CSV file, the same as you do with bulk exporting. However, Insightly does not have any integrations with printing programs at this time.

  • That is the exact complaint. I want to download a mail merge into word or something to that effect.

  • my current workaround is an email template with fields setup like a mailing label, then instead of sending i hit preview and copy/paste that into the brother mailing label printer.  still seems like brother would happily help insightly integrate a one-click label maker since it would help them sell printers.  Maybe in 2019...

  • Easy question: What if Insightly were to contact Avery Label or other label/envelope firm and ask them to create an 'app' that can print labels on the fly?

That would really be a huge help instead of going thru the detailed instructions as Brenda suggests.

Right now I must use a separate program to print either labels or envelopes, and this kind of defeats the purpose of using Insightly as an all encompassing CRM program.

This is not a criticism but a suggestion.

    Thank you,

  • It seems like Insightly's answer to Printing ANYTHING is to export the data or report and print from there.  NOT a good feature. I should be able to print anything I want from my CRM.  I hope that Insightly takes this seriously.

  • This is ridiculous! Why isn't this feature being added especially since it's a CRM
