Allow email dates to be changed manually

We noticed that when linking an email in InSightly the system uses that date that the link was made, not the date that the email was sent. The reason is explained here:  http://support.insight.ly/hc/en-us/articles/204248210-Date-stamps-on-saved-email, although I'm sure this problem described in that article could be overcome. 

 

Regardless, we need to at least be able to manually change the date on the email record. For instance, we added an email that had gone missing, an old email that should slot in at the bottom of the email list but becaus of this date stamping arrangement it instead appears at the top, disregarding the chronological order of events. Anyone else from the team reading the emails in a particular opportunity is immediately thrown off because of the unnatural order in which they read the emails. Being able to at least manually change the date would allow us to avoid this situation. Having it automatically set based on the date the email was originally sent would be first prize though....

  • I think there are several enquiries like this - I have just raise a support request asking a similar question and then foudn another couple of peeps with same issue - one of which had a link to a request htat coudl be voted upon - however now I have signed in to the support forum, I can't seem to find that other post 

    Perhaps anyone from Insightly can point us all in the right direction

    If I understood correctly, you asked if Insightly could point you in the direction of the request that could be voted upon? Well, this request itself can be voted. Just click the up arrow left of the orange title above ("Allow email dates to be changed manually").

  • Yes, I fully agree with this needed and required change. To post an email to Insightly and to be marked the day it was posted... not the day stamp of the email... is crazy. I sometimes leave emails in my in-box for a week and when I finally get around to putting it Insightly, it's appearing at the top of the contact's email tab. Trying to find something by the actual date of the email is impossible.

  • I'd like to add my vote to this. Please either make the original date apply, or allow the date to be edited. It's extremely unhelpful have content that's out of sequence.

  • Definitely would like to add my vote this, nb to get the chronoligical order of comms right, where you may forget to save an email until later for instance.

    Can't be too hard to get an accurate date/time stamp from an email, my last (admittedly inferior!) CRM did this seamlessly. Even if there is an error of a few hours it's still better than using the 'saved to insightly' date which could be days/weeks/months out!

  • I would like to add my vote for this.  Its particularly important for those new to the system (importing historical email) and also helpful for subsequently adding emails that were not added at the time of sending.

    I have about 6 months of history I am importing and the ordering of import is a giant mess.  That brings me to another request... bulk import of email from gmail, by group selection in Gmail.

  • That's a real shame especially as it is a simple edit on the email, ie the ability to overwrite the import date when necessary - you can manually amend dates of notes so why not emails!

  • Any news on this issue - having come back from holiday and having to upload emails into Insighlty every thing is now out of date  order on the particularr  projects etc those emails attach to .  As there is no way incoming emails can automatically be routed into insightly I find this most frustrating and long for it to go back to the old way!

  • This is needed urgently for our business. The automatic sorting option by message date would be better, for sure, but this is a reasonable stop-gap. A variation on this idea which may be easier to implement might be to allow manual sorting of the displayed order of messages instead of a means to change the date of the message. Or, TRY to sort by message date and allow users to choose if they'd prefer a different sort: by date saved, by subject, or others.

  • I've just got round to forwarding email to Insightly so that I can run some reports but find that all emails are stamped on the day of forwarding, not the day they were really sent or received.  Very disappointing.  Yet another dead end limitation on Insightly.

  • Agreed!  This is extremely urgent on our end as well to allow for it to be manually changed.  I understand that Insightly had some problems taking the initial emails and date/time stamping them correctly.  However, offering a manual solution for the clients to correct it seems normal to me.  This initial discussion is from back in 2015.  What is the status now?  How many people have to ask for this to get it accomplished?  Is there a formal poll to vote on?  If yes, where is the link?  Definitely an extremely easy developer task!

  • Completely Agree.  It makes me wonder if any of the decision makers that control the Insightly development road map have ever worked in a business.  Their email integration is poor at best.  If you abosolutly need smooth email integration for your business then Insightly is not for you - go elsewhere.  My only comparison is CLOZE where it fully integrates email and creates suggested contacts FOR you based off new email addresses.   Additionally CLOZE automatically connects emails to Contacts or Leads and if those Contacts and Leads are related to and Opportunity, it auto connects it to an Opportunity as well.  The only reason I am not with Cloze is because their interface is a bit messy for me.   All that said, I am concerned that Insightly is not listening to its customers on this subject.  It's a basic and reasonable request.  We should be able to manually overide the email date to the actual date of the email (after having to inefficiently and annoyingly forward emails to insightly) for ALL reasons already stated in this thread.  I have not seen a legitimate reply from Insightly staff on any type of timing to put this simple feature in place.  Sounds to me like their developers are too busy working on customizations for larger clients.   Come on Inisghtly,  You are charging more than anyone else at $60 per month for the professional platform and you cannot even respond to your customers with some specific details?????.   At minimum let us create an object that we can attached to Events under Activities so we can add a second date field which we can then set as the default.
