Creating leads from email

I like the idea of the new leads feature but most of our new leads come through email. I have been creating the contact from the email and treating that as a lead. It would be helpful if I could create a lead directly from the email. Without that, I'm entering everything manually and making it more of a hassle to use the lead feature.

  • 100% agree with this. And to add a little, I wish we could forward an email to Insightly and have the email itself "automatically" turn into a lead, or project, or task. As you mentioned, it is a hassle to turn emails into certain "things" inside Insightly. If that email could just be forwarded to a specific email for new leads, new opps, new projects, or new tasks, managing those emails would be a million times easier.

  • I love that new lead management, but also been using Insightly by creating emails to leads. This I have done with Gmail "Insightly Gmail Gadget", so if there could be "Create lead" -option that would be perfect!

  • What about those of us not on Gmail?

    Would be nice to have the ability to add a symbol or something for an e-mail forwarded from our regular exchange server. Evernote and Asana, for example, use the @, #, and ! symbols. When they are added to the subject line of an e-mail, those symbols allow you to direct an e-mail to a specific box, set tags and keywords, and also set reminder dates. 

    Doesn't seem like it would be too hard to add this feature to Insightly?

    Or use a different forwarding e-mail address for leads over qualified contacts / organizations?

    (Love to know what % of Insightly users are using Gmail - want to share an insight?)

    Dan - Looks like we missed your comment, sorry about that. Creating new email addresses to create records is a great idea, thanks for adding that here :)

    Mark - We appreciate your support on this feature request. I would be interested in  seeing how other non-Gmail users work with this too!

    Another option that is available is Web to Lead, maybe this is an option that could work for you.

    No worries. I wondered because you guys are usually Johnny-on-the-spot in responding. 

    The Web-to-Lead is OK, but I think most companies could use a bigger space for free text than your form gives us. We are still using our Salesforce plug-in until that subscription runs out because it meets our needs better. We get all of the contact information but also 3-5 lines of free text that lets me know what the Lead is looking for. Your form has a description field for free text, but you can only see the first 30 or so characters. Doesn't seem like a hard fix to the HTML, but I'm not a web designer. 

    Again, having some way to forward e-mails from a non-Gmail source like an exchange server and have them go to leads instead of directly to contacts would sure be useful. I think the Evernote / Asana method works very well.

  • Thanks Lyla, like Dan the web-to-lead is a useful tool that I have implemented in a couple of spots on our website.

    My issue is I either need to change the behaviour of my (potential) clients or my staff and I think the latter is much easier. We get leads from existing clients for new projects all the time via email and I can't get my team to consistently go through the Lead process which Jennifer noted above is relatively laborious.

    If they could simply forward a lead email to a specific insightly address and then receive a pre-populated lead to perhaps edit or refine or allocate to a different staff member then I'll have removed a significant usability hurdle.

  • I used Amazon Lambda to create a little Python script that takes emails, scans them for spam, then creates a Lead in Insightly using the API.  It adds the email content as a Note on the lead.  It works great, but I'd way rather have a supported feature.

  • Jennifer has hit this one on the head...is there any update here?

    The feature would work as follows:

    - A setting in user settings which allows you to control whether an individual is created as a contact/lead after insightly has not found a matching lead/record in the system.

    As said a lot of cold outbound is started with an email, and this would be a massive help.

    Currently I use the insightly mailbox address to bcc in all my outbound emails, which is great, but then I have convert all those contacts to leads manually.

    If you were able to add this feature, it would be a great help :)

  • Has trhe ability to auto-create a lead from an e-mail for mail clients other than native Gmail browser been developed? If you use MS-Outlook, or Mozilla Thunderbird, how do you create an Insightly lead from an e-mail. Assume you can't send an e-mail from INSIDE of Insightly without creating the contact first?
