Ability to Specify the Order Tasks in Activity sets (for use in Pipeline/Stages)

The ability to assing tasks to a stage / pipeline... thus indicating to the end user what they need to do in relation to an Opportunity (for example) - does not make sense if we cannot specify some logical order in which they need to be done / considered / and are presented (for example on the Opportunity screen).

Please provide some way of specifying a logical order of tasks when being defined in Activity sets (and then obviously some way of reordering them).

This is really key, and (to us) very supprisingly, missing functionality.

    Regarding activity sets and the API, this is not currently available, though we are looking at possibly providing a dumbed down version of this. The reason we don't expose activity sets via the API is there are a lot of user adjustable settings that would cause a lot of confusion without a user interface. 

    What I would suggest as a work around is to do the following when you create or update an opportunity or project:

    * note the pipeline stage, and if changed, generate your own list of activities to be done

    * create a task for each activity (use whatever deadline, priority, etc makes sense, to control how they are listed).

    * link these tasks to the parent project or opportunity

    This is functionally equivalent to an activity set, and since you're building an automated script anyway, it's straightforward to add, and you have total control over task assignments, due dates, etc.

  • And I note these is no API for Activity sets for us to try to be able to develop an external (eg XLSX, VB -> API calls) way of providing this functionality ourselves. arrrrggghhhg.

    That these are done manually? That is not at all practical.... and defeats the purpose of Activty sets autmaotically creating the tasks, linked to stages and multiple stages linked to pipelines.

    the API solution is would really be least desirable / last resort.... but at least it would provide some way of doing it (unfortunatley with cost/development on our side).

    Obviously the ability to simply insert a task at a specified place within an Activity set, or have drag/move handles would be so much better.

    And the ability to set due dates with hours as well as days would allow for 24 ordered tasks with the same due date.

    Hours and minutes would give 24 x 60 ordered tasks within the same due date.... and for some businesses I imagine the due date really should have hours and minutes.

    eg. a call center needs to get back to a customer on the same day, within 6 hours and 30 minutes. might be a popular function.

    Due dates with fractions such as 1.00, 1.01, 1.02 would give 100 ordered tasks within a day.

  • PLEASE allow us to reorder tasks whenever they appear in lists - both in Activity Sets and in Tasks?!!?!? I can't believe this isn't a feature already. My team is currently rejecting Insightly as a project management tool because of this problem.

    Tasks and events within an activity set are ordered by the due date for the event or task column - with the task or event due next at the top, and the task or event due the furthest in the future at the bottom of the list.

  • Thank you for your response but what if we do not use due dates? Most of the tasks and activity sets we would want to use wouldn't have due dates but they DO have a specific order in which they need to be completed. And then, if we want to add a task to the middle, we can't?!

  • Agreed, Scot. We're using Insightly to manage a reoccurring sequential set of tasks that we need to do for our clients. Adding an unexpected step into that means I have to create it at the end of the sequence and do a lot of copy/pasting to shuffle the all the steps. I would really like to be able to just drag and drop to reorder steps. Almost every task manager app I've used on my phone can do this.

  • I don't have due dates, but my tasks do have a specific order in which they need to be ordered. I am FLABBERGASTED that this is not a functionality!
