Email Templates - more features in rich text editor

Adding email templates is a great feature. However, it needs some improvements. We use email templates for sending marketing newsletters. Having plain text copies without using images and text formatting doesn't produce a desired impact.

It would be great to add the following features.

  1. Ability to insert pictures.
  2. Ability to format text beyond bold and italic. At least to be able to adjust font size and text justification. Having feature-rich text editor would be great.
  3. Current preview button doesn't work. It would be good to add preview showing desktop, tablet and phone with both vertical and horizontal orientation.
  4. Current email editing window isn't sizable. It doesn't have ability to drag lower right corner. If email text is being pasted, sometimes lines are broken, however you can't notice it without making editing window wider.

These are a few most important features absent from the app.

  • Hi Jacob. Thanks for the suggestions. We've had other customers ask for enhancements to email template too. I've include links to their requests below. I hope you'll visit their posts and show your support with your votes and comments. If the community shows how strongly customers feel about this feature enhancement then Product will consider it for the product roadmap.

I will add a link to your posts on theirs too.

    Thanks!

  • I also agree that an email template with full graphics capability is a need.   If a pdf/jpeg can be inserted as the body of an email will be a great feature.  design happens outside.

A company that sends marketing or any communication emails in a flat text format does not look good.

  • Totally agree. A logo is the basis for branding and legitimizing emails to our prospects and customers- being able to insert a logo in the email template or in the customizable signature needs to be a standard feature...and right away.

  • We have been testing CRM systems for our business. Insightly was a strong contender until we discovered that there is such limited formatting for email templates and signatures.

  • Funnily there are more features available to format these blog messages then there are to format email messages within the CRM system itself....

  • We would like to be able to select a font as well as change the size and color within the email templates or a single email message.

  • Agreed, we would love to use the email feature if it were more robust as mentioned above.

  • If you can't create the feature that allows HTML based email templates at least provide the integration feature with MailChimp.

  • Hi Everyone, we are looking into additional options and working with Mailchimp features too. We will keep you posted once we know more, thanks!

  • Hi.  Just look at how Contactually does their email templates.  Very slick.  You can insert images, fonts etc... You can also insert merge fields for just about every field in the contact database. It's not perfect either, but it is far more developed than Insightly's email templates.

  • Hi Robert,

Thanks for the example, Robert. We'll definitely take a look and take your feedback into consideration the next time we update the email templates.

  • Robert - Zoho also has this feature. Insert anything, formatting via buttons and full HTML editing.

  • Hi Nora. Has any progress been made on this issue initially raised by Jacob?

  • Hi All,

We love that Insightly allows for you to create and use email templates, and send them individually to a client, or groups of clients.

We do alot of product sales and implementations, and have several people working on a client at a particular, and pride ourselves on using the same style of communication across our team. We achieve this through use of email templates.

We also pride ourselves on the style and look of our emails, sadly, with there being no rich text editing available when creating and using these templates in Insightly.... the product drops a big number of points in our books.

We would love to see the ability to change the font, font sizes, insert images and HTML editing ability as well. It would also be great if the email signature formatting such as horizontal lines, and heading choices came through properly too.

    Thanks.

  • After 9 months of using Insightly and only now starting to implement the email templates i am now finding out how the emails are rendered on the client side.
This is unfortunately very dated and does not provide a professional look to a client.
Having read through all the post about email formatting going back to 2015, i am not confident of rich text formatting being implemented any time soon as its been over a year since this has been raised with the Insightly product team.
Despite the many post about such an important tool, there is no mention of this on the roadmap: https://www.insightly.com/product-news/

  • Is this being addressed? This thread is from mid-2015, and I am still facing the same issues.

Please let us know if there is a serious plan to address this, or if I should move elsewhere. Not having text-rich abilities or mailchimp integration renders this option pretty much useless to my business. Many thanks.

  • I agree Kathleen!  What's the expected timeframe on this? Would love to see this early in 2017.

Not having all custom merge fields available for the email templates is a major drawback for us as we can't bulk email people we've recently seen at conferences using a standard template with things like conference name, areas they were interested in, etc.

The alternative would be to send emails via Mailchimp but this means that the email is not tracked in the CRM which defeats the purpose!

If anyone has any fab workarounds for this please share!

    Cheers, Sarah

  • We really need a timeline on when a rich text editor will be available.  Sending emails with fonts too small for the average person over 30 to read, and without the ability to format the fonts, is not acceptable!

  • Dear Lyla & Nora,

I've come across a lot of posts regarding HTML formatting in e-mail templates. I think it would be good to couple these posts. I'm 100% sure there is a strong need in the community for this feature. I just wrote the underneath personal message under another post regarding the very limited rich text editor.

    ---------------

    Dear Lyla,

Thank you for your hopeful response. We are in a process of 'probably' moving to Insightly coming from Solve360 CRM. We are trying out Insightly and we are stunned that e-mails cannot be formatted with HTML code. Not even the most simple integration (just the function to switch from WYSIWYG to the HTML source) is not provided. We are surprised by this because Insightly obviously makes use of beautifully formatted automated e-mails so you must be aware of the importance of it.

I'm enclosing a print screen of the e-mail template editor in Solve360. It has a lot of functionality, but again, it does not even need to be that extensive. Simpy implement a source code switcher as a first step and you will have a lot of happy customers (and probably some new ones as well).

We are even more surprised because the technique is already there taking a look at Insightly's ability to format e-mail signatures:

It seems to be the exact same HTML editor in another configuration. Please take notice of the importance of this functionality. For us as end users it doesn't seem to be such a big thing to implement (an HTML source code switcher). That's why it leads to misunderstandings (just 1 button).

  • Dear Insightly team, dear Brenda,

While surfing the forum and reading for any estimates on HTML integration in e-mail templates (which is not a replacement for campaign tools like MailChimp) I saw that there are several topics regarding this very much needed feature. To summarise:

.. makes 132 votes. I understand that you prefer customers to make choices based on the current feature set. However, for me as a decision maker it's not that easy to choose between CRM's with no vision or planned changes that positively affect our workflow. So please update the community (or in a personal message) about timelines for this feature.

    Kind regards, Niels

  • Dear Insightly -

We would like to be able to insert a picture or graphic illustrating our point in the body of an email.  What is the timeline for that to be able to happen??

    Best regards,

    Amy.

  • Dear Insightly,

Please, please push this update request to the front of your agenda.  The current email template is so primitive, that it's actually embarrassing compared to the rest of your solution.  Please enable us...the users to at least select from pre-designed templates with customizable branding (business logo and color borders etc.) so we can generate more effective and attractive email campaigns.  I see this original request was posted back in 2015.  Really???  You guys have a good solution, that can easily be made much better and appealing by updating/upgrading your email template design capabilities.

And please don't refer us to MailChimp.  We want a turnkey solution (which Insightly checks off a lot of boxes), but not get dumped to another 3rd-party provider costing us more money.  I'm not talking about "full" email customization....just updated with some leading edge template designs.  All I'm speaking of is to be able to select from a few pre-designed templates that are attractive/current/and customizable w/logo and colors.  I hope you can do this within the next few months....not 6 months or a year.  I look forward to your feedback.

    Thanks

  • Dear Insightly Team.

What a disappointment that there has been little to no progress with the email template. Funny I can add an image here, but not easily at all using Insightly email.  Everything about the email templates is old and antiquated. It appears many of us would be very pleased if this was put on the list of updates.

Please, please, please look into this.  Thank you.
