Pipeline Management with Activity Sets

I would really like the ability for Pipelines to auto advance to the next stage once all of the tasks in that stage are marked complete. This would be particularly useful if an activity set was applied to the pipeline stage

As an example, if I have 3 pipeline stages, each with 5 different tasks, then when I mark all 5 tasks completed on stage 1, the system automatically moves the project into stage 2 and generates the 5 tasks from stage 2's activity set.

Forcing me to manually advance what stage in the pipeline the project is at seems to counter the ability to automate what should be repeatable task lists.

  • Glad to hear it Nora! Now we've just got to get this to the attention of the development team at Insightly!

  • Swithrow, we just need to get as many people as possible on-board with the idea so that the developers can get working on it!

  • Yes, yes, yes! Add the ability to make each task from an activity set only show up when the previous task was completed and then we'd have something that could be considered automation of a sales process which is probably why we're all here!

  • I love this idea. I would also like the opposite to be true. If I manually advance a Pipeline stage, can it auto trigger a new activity set associated with the stage?

  • Hi Cody:

When you manually advance a Pipeline stage the Activity Set is automatically activated. This article goes over using pipelines in detail :)

  • This auto-advance feature will be great. Sorting out how to pre-populate activity start or stop dates will be crucial (i.e. serialized or explicit start/stops). Then it will be even more useful.

  • This would be extremely useful for us.

  • +1 for Jason's suggestion. Auto-advance would be especially useful when work is being handed off from one person to another between stages.

  • This is critical functionality, can someone from Insightly indicate the possibility of getting this on the roadmap? Duplicate thread: https://support.insight.ly/hc/en-us/community/posts/207069558-pipeline-automation

  • We may not be able to proceed with Insightly unless this function is being added. Surprised that is not already an in-built function.

I started out two days ago, and we have all data and pipelines set up, however, this is the only function I am missing.

  • This automation feature is crucial.

Setted up our Pipelines and was shoked not to see them auto-changed to the next stage!

Any updates or roadmap plans on this feature?

  • I absolutely vote for this. This automation is critical for our business, where projects are sometimes flying out the door faster than we thought possible. Having to click buttons to advance would kill our workflow. I would also love to see more automation, such as if you have specific categories and pipelines with the same names, I would love it if they could be automatically associated.

I haven't checked since we don't currently need this but I suspect this can already be done with Zapier.

  • + 1 Vote here

This is essential - our projects become stagnant because tasks are marked as complete from the task window and users should have to keep checking projects to see if they're ready to move to the next stage.  This should automatically happen.

Please Insightly - make projects better!!

  • + 1 vote!! It's counter intuitive to me that Insightly doesn't auto-advance like this!!

  • I fully agree. We have pipelines with 5 to 6 activity sets, each with 5 to 6 tasks. And tasks are assigned to multiple people. So every person with a task has to keep looking to see if every task within that activity set has been completed before it can be moved to the next stage. There's a lot of potential to save time and make this whole system more efficient.

Give us the option to automate the moving of pipelines to the next stage. That way, users who need to still have manual control over whether or not to move a project to the next stage can still use the system as is.

  • I like that Idea

  • Also it should work the other way around - if you advance an opportunity up to the next pipeline stage any tasks left over from the last stage should be marked as completed.

Or this, so I don't have to create so many multiple tasks in the first place: https://support.insight.ly/hc/en-us/community/posts/202902320-Repeating-Tasks-in-Activity-Sets

  • The objective of the system should be to auto advance for tasks / emails as the pipeline stage advances. This would eliminate any tasks / emails to be sent to be forgotten. We deal with allot of leads/ opportunities and if we lose some because we forgot to advance the task as we change stages that can cost us money.

  • This should be merged with this thread https://support.insight.ly/hc/en-us/community/posts/207069558-pipeline-automation

Then there would be a lot more votes for this one!!

Personally I think this was big oversight...
