Custom status options for project status

Project status has default list of statuses. Can I add there my custom preferred status? For example I would like to see there "Reactivated".

  • Insightly does not give us the ability to change the Project's status choices.

    I suggest using a custom drop down field to help further define the status of your Projects.

  • Thanks for answering Micah! Anyway it is a pity there isn't such possibility. As much I know, there it isn't possible to filter task records by custom fields which you suggest. Or is it?

  • We cannot make custom fields for Tasks which means we cannot filter them for custom fields. But we can for Projects :)

  • I would like to see Taavi's suggestion a reality. It would be nice to be able to customize the status of a project in the same way you can for a lead.

     

    Is there anyway we can vote for this under product feedback?

    Vote by clicking the "arrow" up next to the content you like. You can vote up feature suggestions, comments, even Knowledge Base articles but only one vote per item, per person.

    Voting is not only the best way to show Insightly that an idea is important to you but it's also a great way to support your fellow community members. :)

  • We would like the flexibility to change the project status the same way we can on the Opportunity stage.  The custom fields do not fully support.  I don't see where to vote.

    I would really, really appreciate this being added. Having the same functionality to set custom statuses on Projects just like on Opportunities would be extremely helpful. We have all kinds of stops and starts on a Pipeline, and right now it's hard to tell what's going on. We're in a similar boat as the OP as we are often "Paused" during projects because we're waiting on parts, customer replies, UPS/Fedex, expert advice, etc.

    If possible, having the reason codes from Opportunities would be huge.  Knowing what is slowing down our cycle time, why we are on pause, etc is extremely helpful.  Open/Closed applies to Projects in the real world just the same as it does to running down bids and potential customers.  "Status" is obviously different than steps in a Pipeline.  Pipelines are really meant to be linear and action oriented.  Status refers to the state it's in currently at that step in the Pipeline.

    Some parity on this issue between Opportunities and Projects would be very helpful.

  • Hi all,

    I also really want this feature, I need the ability to mark an opportunity/project as "awaiting response", which is neither open or closed. I keep getting suggestions for workarounds but to be honest am kind of shocked that this isn't already an option. Tasks can be marked as awaiting response because it's such an essential state, it means my responsibilities will resume in the future but have currently been met. These workarounds don't make sense to me.

    If you are awaiting a response for Opportunities, we would recommend changing the state of the opportunity to Suspended: Awaiting Response. In addition, we can create an advanced opportunity report based on the last date of activity filtering for Suspended: Awaiting Response. If there is no activity for a XX amount of days, we can setup the report to send you an email notification to reach out to the customer. 

    In the previous use case we are not using the project state field and instead using a custom field. The only feature that you will lose is seeing what the state of the projects are in the Project Report. The custom field is a viable alternative. 

    Does this make sense?

  • No offense Micah, but you're not honestly helping the discussion at this point.

    If there's someone in this thread who hasn't discovered Custom Fields yet, then maybe you're providing value, but otherwise it's derailing the conversation away from what we're aiming at:  

    Projects should have the same types of Custom Statuses as Opportunities, and not having them detracts from a succinct workflow.  I could add a custom field, or I could also make a Trello board, or I could write the project number on a whiteboard behind my desk and annotate based on the status, etc.  We're all pretty clear in this thread about not wanting to need to use a random custom field for managing Projects when the obviously correct functionality is already baked into Opportunities.  You've posted that we can make Custom Fields for Projects three times in this thread.  We get it.

    I appreciate your feedback. We do our best to give users viable solutions to their immediate concerns and to communicate these solutions effectively to new and existing users.

    The best action we can do collectively is click on the heart icon at the top left of this post, which is already in the right forum "Ideas & Suggestions". Hopefully, we will see this as a new feature in the next release notes :)

    This thread is a little old and I hope that Insightly have taken on board that we really need to be able to edit the status of our projects to reflect our own workflows and industries - what is there at the moment is meaningless for us...come on Insightly, one size does not fit all businesses

     

    If we can change them now - please tell me how!

  • Ok, I see the concern of Insightly: The "Current Status" has some key descriptions that need to remain untouched, e.g. Not Started, Completed, etc...  The solution is to disallow us to change the preset statuses and only allow us to add to the list. This way all their reports that use the open/closed project statuses can continue to function, while also allowing us the flexibility to modify to our needs. We would very much like to use our existing pipeline and add status of Credit Hold. The pipeline is being used for operations/progress of work on the project. Status changes are more of an administrative designation (like credit hold, wait for info, etc...) and should not be included in the pipeline for performing work.

    If you are using the new UI with custom list views, then the project's status field is simply a default field with a static dropdown values. The status field has more value in the old UI because you can easily identify the status of the project straight from the project page. This isn't the case anymore, although you still need an extra custom field and may have to scroll down on the project record to see the custom status field. 

    If you have an extra custom field available, make the field a custom dropdown field like discussed above, update your reports/list views, and train your staff to use the custom field instead (and the default status field too, if needed).

    This is the best I can offer right now. Please continue to push for more and I will do what I can to provide value!

  • Thanks pal. I got it. We need to get the ear of our friends at insightly. Curious, do you struggle with sending emails via workflow to outside email addys and sending emails to projects directly, or is it just me?

  • Bumping up this request in September 2018. Still hoping for and really wanting the ability to create a custom list for "Project Status." As many have said, one size does not fit all and many of us would like to be able to create custom status terms for our work flows.

  • And here it is yet another year later and I'm not seeing this feature anywhere. It's kind of inexcusable at this point. And please, if this has been solved and I'm just not finding it someone let me know.

    Micah shows us how to do this with a Custom Field, which really allows us to solve just about any problem like this now. Also, the 2nd question above by Taavi mentions Custom Fields in Tasks which at the time were not available. They are now! So I have a feeling this problem is solved in a manner of speaking. Give those things a look and let us know if you made any progress.
