Sort Task Lists

It would be useful to be able to click on columns in task lists to sort them. For example to be able to see completed tasks most recent first.

  • The ability to sort is a major gap. I really need the ability to prioritize my opportunities, then sort.

  • Definitely a must.  Also to create default "View" - for example, most overdue tasks are overdue because they can wait.  I would like to see my tasks for Today up first, followed by Overdue Tasks and then future tasks after that - or sort the view by date in whichever way I like.

  • Totally agree!  Have been waiting for this and frankly am surprised it is not an option.

  • Yes!  Please!! And I'd love to be able to sort by Category.  And to create filters to view only by category or by date and if I could export by that sort I could use that to create reports by tasks completed in a week since the current reports don't include details.

  • It is very frustrating that we can not create our own priority with tasks. It has made it hard to really manage certain long term tasks.

  • Absolutely--at the very least the ability to filter out completed tasks. Also agree that this is a fundamental ability on most, if not nearly all, CRMs/Project Management apps.

  • The ability to sort by project would also be great.

  • This is my 3rd attempt at using Insightly and to be honest I am gobsmacked that this isn't a thing already. If you wanted tasks to be really REALLY useful and flexible it would be good to have the ability to drag and drop order manually. I work solo and find that my day changes sometimes and I have to just make one task jump up priority next, when you're busy dealing with calls and actually working having to click into a task > click into status > select status to update > click to edit task > change due date > save and return to project, is just a bit much day to day. I am actually considering not using tasks at all and just sticking to Things app on the mac whilst using the Project ID as a way of linking both systems. It's a bit long winded but on a day to day working it's actually a lot faster than having to use Insightly.

  • This is really a make or break "feature".  C'mon guys. Step it up.

  • This is sooooo strange that this isn't a standard feature.. It is so aggravating to have to click on "MORE" to get to the more recent tasks let alone you can't sort them.. This is very basic stuff.  Consider this my vote to add this..

  • All I am looking for is a simple sort drop-down menu for tasks. Right now I have all my overdue tasks crowding up the first page and I want to select the option of seeing today's tasks first. Thanks!

  • +1 from me... the lack of very basic functionality around tasks and task sorting is forcing me to look at alternative options for CRM

  • Sorting the tasks is one of the most fundamental and basic function as CRM. I really need the function that I can sort the completed tasks to manage my tasks.

The completed tasks view look very messy there is no order and the tasks completed the ages ago comes up on the top.

Also Advanced Reporting is not helpful at all.

I don't understand why the support team has left this topic for a year although it's very basic and simple suggestion.

  • I would like to see due dates and times for the tasks also, and sort on them. Many times I need to call someone back at a specific time, or even 2pm+, for example (which I usually set at 2:01pm). Seeing all the tasks with times due at the top would be great, and then all tasks by priority and some tag next. Not just Categories, but tags. Then we can sort however each person needs.

  • Hi @Natalie!

Don't forget to add your vote above and I'm not sure if you saw my colleagues post about the similar post here that you may want to chime in on too :)

  • how about a drag 'n drop to arrange task sequentially within milestones in a project - please

  • Bump.

Sorting is a basic feature for working with any data set, and should be standard going forward, not just for Tasks but for any screen that presents a large amount of data.

  • The lack of any ability to view, filter and sort the task list by any or all the main data fields may be the factor that causes us to leave Insightly this year.

I know you can do this in a report, but that is simply not an efficient way to work.   You have to keep refreshing every time you edit or complete a task and you end up with multiple tabs open... it stinks.

Since it seems the Insightly team likes specific suggestions here are mine.

    1. Allow user to select the fields they want to see on the task list.

    2. Allow users to filter on any combination of values

    3. Allow users to group by one of the fields

    4. Aloow user to sort by any field within a group

Basically make the task list function as it does in MS Outlook and I'll be happy.

  • Missing check boxes from Tasks list.

I used to be able to check a box to complete a task in the task list for an Opportunity.  Now under Activity I can see the task and it has a useless clipboard icon to the left, but I have to click the 3 dots icon to the right of the name to get a dropdown menu with options on it to complete it.

Lists of tasks primary function IMO is to be completed, the other options are secondary at best, more likely tertiary.  Please restore the check to complete a task function and remove the clipboard icon that adds nothing to UX.

  • Hi Raquel,

Thanks for leaving your feedback and for giving us another try.

While we still don't have the sort in the Tasks menu, we did recently release our Advanced Reporting that will at least help provide you more options to sort your tasks. You could even have the report emailed to you on a schedule so that you don't even need to log in to see your list.

Again thank you for contributing your suggestion on how we can improve tasks for you.

  • Viewing tasks by milestones would be very helpful as well.

Currently I have to go into the project, and click the milestones tab.  Usually I have to have 5 tabs open, one for each of my primary projects.

It would be great to be able to click the Tasks list, and view Projects>>Milestones>>Tasks on the same page, or any variation thereof. (It's nice too see the "big picture' at once - Check out Feedly's 'Organize My Feeds' but replace feeds with Projects/Milestones/Tasks).

Another idea would be to have the menu on the left allow for a dropdown under projects (you should be able to select your top 5-10 projects and/or milestones - you could also do dropdowns in the other sections- Top 5 opportunities, contacts, orgs, etc.).  Then when you make a task, you can just drop it on the desired project/milestone.  I know drag and drop isn't easy to code, but the optional dropdown must be, and would allow for faster navigation.

Loving Insightly so far.  I use it not as a CRM per se, but for the integration of Personal/Professional RM and task/project mgmt.  Moved from Wunderlist and a google sheets contact list and haven't looked back.  Focus on the on the productivity/GTD market, integrate with onenote/evernote, add a GANTT view and come up with a $5/mo. option and people will flock here.

  • Is there any ETA on these fixes? Yes, I said 'fixes'... these requests are normal database features that are sorely lacking here and shouldn't be labeled as a potential new feature, but things that should have already been in place if you want to be considered as a major contender in the CRM industry. - Just brutal honest feedback. Don't hate. :)

  • I Love #'s and #'s recommendations. I would still like to see an option to assign tasks to NON-employee persons. In otherwords, I work with a number of contractors who I need to keep on task, but because of your current structure, I would have to create and PURCHASE an account for each of them through Insightly for them to be able to see project tasks and assignments. I'm not going to do this for the intermittent times I may use one contractor over another for specific project needs. It's just not financially feasible or reasonable to ask. This forces me to use additional 3rd party applications outside of Insightly that do not sync with Insightly in order to have any type of meaningful project task tracking... which works against productivity and proficiency, and it makes the use of your project manager applications useless to me at this time because I don't want to do 1/2 in one space and 1/2 in another space.

As a result, I'm forced to use additional 3rd party applications outside of Insightly, that do not sync with Insightly and therefore I cannot even use parts for time tracking, tasking of other parts of a project, or tracking client notes/communications which works against productivity and proficiency. So, it makes the use of your project manager applications useless to me altogether at this time because I don't want to do 1/2 in one space and 1/2 in another space. If I want to keep everything centralized I have to do everything project related outside of Inslightly in order to have any type of meaningful project task tracking and management.

This leaves me feeling as though I'm overpaying Insightly as I'm paying for solutions within your application I cannot even utilize.

  • Hello everyone - the wait is over!

Depending on your plan, you can now switch to the New Insightly Experience and customize your list views: select columns, sort, save and share lists.
Take a look at this video also as it guides you through list customization.

We are thrilled to bring you this change and hope you like it.

  • Thx Maria! So far all is well except I used to be able to see Comments in the History of a Contact, Opportunity, or Project and can no longer see a history except on specific Tasks. Now I have to search through all my tasks for a Contact to see a specific Comment in the History, whereas I used to just see all the History on 1 screen. Am I missing something or is the History feature now gone?
