Ability to Re-order / Insert Tasks within an existing Activity set

To only be able to add new tasks at the end of an activity set is a massive pain.

This means if you need to insert a new task half way thorugh an existing activity set that has lots of existing tasks, you need to add a blank one at the end and then *maually) move all those below it down to make room.

Need to be able to easily and unambiuiously insert tasks, and/or move/re-order tasks as we please.

Handles to move items around, as in the Custom Fields ordering screens would be ideal. Then we could just add a new task at the end, and drag it to wherever we needed.

  • An alternative to this would be a bulk / export and upload/creation facility... then we could just create or export, and then edit (eg. Excel / CSV files) the tasks and activty sets outside of Insighlty - and Import them when ready.

  • Yes please - ability to re-order tasks,  we use this as checklists and not being able to reorder is awful. Any edits require that we redo the whole list if we want a new order. Seems so silly to not have this... thanks

    Hoever there appear to be no decent workarounds.

    What we really need is some product development - please.

    At the very least GET and POST API's for Activity sets so we can undertake our own development.

    Other suggestions I've emailed to support (hope you have received them) that would solve this issue inlclude:

    • the ability to add activity set task due dates in fractions... eg.
      0.01 days, 0.02 days etc. as a possible solution (or in Days and hours and minutes)
    • if we had the abilty to add more than one
      Activity set (in order) to the same Stage that would be probably suffice.

    Then at least we could control the order of Activity sets and hence
    blocks of related tasks....

  • Yes! I have several to-do tasks in my activity sets that are due on the same day but must be done in a particular order. I would be great if I could re-order the tasks that are due on the same day

  • The above would save enormous amounts of time as we refine our systems. Currently re-writing all the activity sets just to get them in order is a real drain.

    This should be simple as the functionality is already in pipelines when editing.

  • Yes please google. I need to alter the activity sets but haven't got the energy to as have to type them all out from the beginning - and if you get one in the wrong order (or miss one) you have to start again - which is ridiculous.

  • This is actually a key feature and needs to be added at high priority. There is no point in talking about automating processes with Insightly if you can't change and reorder the activity sets easily. It really is a big deal.

  • I agree BIG TIME with David Haas. Re-ordering anything like lists is of high priority and shouldn't be thought of as a feature but a necessary common functionality!!!!!!

  • Hi! Any updates on this? It's really frustrating to modify an activity set and insert a new task between the existing tasks. There is a "Drag to reorder fields" functionality in the Custom Fields use case, why can't it just be copied to the Activity Sets use case?

    I am not sure why this is so difficult as there option is already there in other function.

    Would really appreciate this option as we a currently building out systems that will obviously need editing along the way

    Thank you for taking the time to provide your feedback. As mentioned above we do have a post where a user requested a similar feature. Within this post you will notice our ceo Anthony commented on this feature, "Tasks and events in activity sets are ordered by the due date of the task or event. So if you add a task or event to an existing activity set and set the due date before the other tasks in an activity set it will appear ordered as the first task in the set."

    I have read the feedback of CEO Anthony but sadly it is not applicable to my situation. I am using the Activity Sets as templates that will be used for multiple projects. Thus, I only assign a due date to a task when the Activity Set containing that particular task is added to a project.

  • I agree. If you have multiple tasks that fall on the same due date, and you need to add a task in between two already created tasks... you have to copy all the task info onto a word document, then delete all the tasks that would be below it on that day. Then add the new task, then add the other tasks back in. This is very frustrating. I would be extremely helpful to be able to move the tasks around in the order you want them, without it ordering by the due date.

  • It seems to me that this is feature that is required. The time saving in being able to do this would b enormous. The feature has been talked abut now for a year and yet no movement. The functionality exists in Pipelines, so to create this sort of functionality in Activity sets should not be that difficult. Installing it when the old system is out there may be the real issue, so why not create a new 'Activity Set" module with the improvement (including being able to set repeating tasks within an activity set). I am sure if we could copy across our old stuff and then adjust we would be happy to do so, just to gain the functionality.

  • Please Insightly - it's not just me that craves this as you can see! I desperately need to make more/edit activity sets for my company but have not done as it's so arduous when you can't re-order them.

  • I also don't understand why this feature can't be added. I would think workflows are a key feature for a CRM. Workflows are really broken if you can't change the order of the steps. Activity Sets in Insightly are workflows.

    People ask me for advice on CRM tools in my industry and I have to tell them the truth. I use Insightly and I like it, but don't think it has workflows, because it really doesn't. Workflows are fatally flawed.

  • We are investigating online solutions to our department's project management and I was thinking this could be it because we could also use it's CRM capabilities but I don't see how I can sell it to management if tasks lists can't be reordered?!

  • This is my second request in one year. I don't usually swear but WTF. This is really important!! If you want to charge me $3500 a year than you need to get on top of getting rid of redundant waste of time actions within your software. We will all bail if you don't fix this! !!!!

  • Not trying to be a jerk, but not being able to drag and drop tasks with no due date is becoming enough of a time-waster that I'm exploring moving more of my workflow to Trello.  (No issues with how you handle tasks with due dates though).

    I understand that part of the challenge is that in Insightly tasks exist independently of any opportunities, projects, etc., whereas in Trello they're only connected to a specific card.  So in Insightly, if you re-order a task without a due date in the opportunity view, there's no easy way to know how to handle that task if it's also part of a project or know where it goes in the master task list (again if it has no due date).

    But how common is it to have the same task linked to multiple projects/opportunities/leads?  I would imagine the vast majority of tasks are all connected to one and only one "parent" element.

    I for one would rather have my tasks "locked" so they only exist as part of a single project or opportunity.  That way you'd be able let us drag and drop tasks the way you can in Trello, without having to worry about accounting for that task in multiple other views.

    I'd gladly give up the ability to link a task to multiple elements in order to be able to drag and drop, and just duplicate that task the in the rare event I have a task that applies to multiple larger projects or opportunities.

    As for the master task list, I'd be okay if you just cut out anything without a due date all together.  If there's no due date, it's obviously not urgent enough that it needs to be in the master list.  Or you can do what you do now and group them all the bottom based on the date added.

  • I've just started trialing Insightly (day 1), and this is a major red flag! I don't want to put dates and times on these tasks yet, but they do have a chronological order. I am astounded I can't drag and drop them into a new order. It seems like it would be so intuitive, so it's so frustrating that it's not possible! I'm going to investigate this "Trello" workflow system.

  • Major stumbling block for me as well - amazing that in 2 years of this thread being up, it's still not in-development? maybe I'm missing it - would love to be wrong!    The way I run my processes, things are ordered within the day-of, such as 30-min after the call is completed, 2 hrs after call is completed, etc. - and simply sequentially - like, this happens after that.  this is a massive feature requirement as I'm trial running insightly.  I love so much about the ux/ui, but without this, I cannot use any of the activity/pipeline features without hassle, as I like flexibility and reordering those processes and adding new ones in the middle..  still no update on this feature? Thanks!
