Sorting Leads

Is there really no way of sorting a List, other than by the default? I would like to sort my leads by Organization name, but there is not a way to do so?

I know, export them to Excel. But that's a pain when I just want to look at the list.

  • Hi Ron! I'm afraid there's no existing functionality that lets you sort Leads by organization name. Some customers are using tags to sort but I'm happy to share the news that sorting and list views for Leads is coming. I'll update everyone as I learn more. Thanks!

  • A design suggestion. Many leads are purely organizations (companies) and initially have no contact person. Instead of writing a name such as No Name the new leads should also allow us to just add a company as a lead.

Also you should have a defauty sort feature without the need to use sorting filter

  • Hi Carl. Thanks for the feedback on how you're using leads. This type of information helps us when we are looking at ways to make the product better/more usable. We don't have a date yet for sorting and list views, but we will share it with the community first when we do. Thanks!

  • Hi Brenda,

Do you know when the sorting capability will be added? Obviously this is a core requirement for any system that manages data and I am surprised your developers seem to have overlooked it.

    Thanks

  • Hi @Ian:

We will let the community know when the new features have been added :) We can't wait to see this feature too but we don't have a release date.

  • As a lot of other users have said, being able to sort the leads view would be a huge plus!  (Along with all the other feedback - good and bad - your users have given regarding the functionality and purpose of having leads in the first place.)

I hope that when the 'sorting' functionality is rolled out all those other suggested improvements come with it ... and hopefully it will happen soon!

  • I'm just not sure why I can't sort by "Lead Status" such as "OPEN - Needs Contact". Why else would this field exist????? That seems like a critical thing for leads....sorting by the attempted...etc.

We really need to be able to sort leads alphabetically by opportunity name to prevent duplication of effort. I understand that this may be possible using a custom filter but I have been unable to do so. Please can you assist me with creating a custom filter to enable this core functionality.

  • Hi Charles,

You can create a Custom Filter selecting the Opportunity Name > Contains > A

  • Thanks Nora, sorry I meant to sort leads alphabetically. I know you can create a custom sort using contains A, but I would have to do that for each letter of the alphabet? It's a bit clunky to be honest.

  • Hi Charles,

We don't have another way to filter them alphabetically at this time; but we do have users who have requested it previously here. I would encourage you to add your support for this feature there and vote for it as well.

  • Hello Insightly,

We recently chose Insightly over a number of options in large part due to it's interface and what seemed to be ease of use.

I noticed yesterday, however, that there didn't seem to be a way to 1) edit what fields I get to see when viewing "all leads", and even more importantly 2) any means whatsoever of a true sort function when viewing any lead list.  I've worked with a large number of sales teams over many years and a simple sort function is pretty much essential for any sales person when they are viewing leads.  Filters are fantastic to narrow down field, however, this is far secondary to the basic task of sorting a lead list.

I'm not surprised to find here that the function has been requested, however, it worries me that this thread alone began almost a year ago which tells me that the feature isn't a priority.

My question for you is if Insightly is targeting itself as just a CRM in the client management sense or if it is truly intended to be used by sales teams as well.  I don't mean this as a knock on the product itself, and ask this sincerely as it's a question that I must evaluate to decide whether or not to move on to another product.  For any sales environment, a simple sort function isn't a luxury that should be voted on, it's an essential tool of the trade.  I'm sure you'll find that any CRM on the market with even the most basic sales functionality has this ability.

From an implementation perspective this should be one of the easiest features to add as it's pretty basic technology.

    Thanks,

    Matt

  • Hi Matt,

Thanks for taking the time to express your thoughts. This is very valid feedback. Would you be willing to speak with a member of our sales team that uses Insightly every day? They could perhaps provide you some examples of how they use Insightly for their daily tasks and leads.

I look forward to your response.

  • First off, yes, I will take you up on that offer.  However, I'd like to request that I speak to someone on the sales team who has true front line sales experience prior to working at Insightly.

To be terribly frank though, as a customer I would have appreciated it if you acknowledged my request and said that you would do some due diligence to find out if this feature was essential.

I feel as though your suggestion here is an attempt to have your sales associate "teach" me how to sell.  Almost as though in my 15 years of senior sales management I've been doing something wrong when I've wanted to sort my list of leads by any means I wish to.

I will take you up on this offer as I'm stubborn and just can't wrap my head around this and I'd really relish the opportunity to talk to someone, anyone, in person who can even attempt to explain the logic behind this to me.

It wouldn't surprise me that other's who've recognized this absent "feature", including those who have spoken out here, have just dropped Insightly without a thought, but I have some hope that this can be fixed.

Before I finish I'd like to point out one glaringly obvious fact here.  Any CRM is at the core one thing - A DATABASE.  There are essentially two purposes any of the most basic database - to query and to sort.  You've got the query down it would seem, but having no sort function is ludacris.  Perhaps you think this is some way to be disruptive in an ancient marketspace, unfortunately you've rendered the product essentially useless in doing so.

What baffles me even more is that adding such basic functionality would be literally a few lines of code, so your hesitancy in doing so would lead me to believe that you may have abandoned the product.  I hope I'm wrong as the interface is fantastic.

Please reach out to me today and let me know who I can speak to.

    Take care,
    Matthew

  • I am reaching the point at which I hate Insightly.

The inability to sort leads by name is surprising enough all by itself. Who didn't think a sort function was mandatory? Then given its requested feature update a year ago with still no action ON SOMETHING THAT BASIC I just want to throw the whole thing in the trash.

Unfortunately I've already invested enough time into Insightly that I'm stuck.

I am approaching the unsticking threshold, however, at which point I'll leave and find my way to Salesforce as I should have in the first place.

    Other insane bugs:

Insightly logs me out after some minimum time of use despite my choice to "remain logged in". Having to log in several times a day is infuriating.

Having a separate support password is IDIOTIC! What are you thinking? Why do I need to re-log in to ask a question or get help? Further, I was required to use a different log-in because I'm a Google Apps customer. Now I have to remember yet one more username password combination.

    Ugh.

Can you please get these basic feature sets fixed?

  • Hi Ronald,

Sarah from our Sales Team has a great workaround to sort Leads by using Advanced Reporting

Insightly's Advanced Reporting capability can be used to create lists within Insightly to be sorted by come data type of your choosing.

From within the Reports tab of Insightly you will need to select Advanced Reporting to access.

You can create reports against all of the major record types of Insightly, but in this situation we will create a Leads report.

Next you will select all of the field(s) (column headers) you would like to view within your list by dragging a selection from Report Fields. In the example below, I have selected to include Organization Name and Phone Number.

Once you have created a list that hones in on the fields/data you are interested in, you can sort the list by clicking on the column header. Below I have selected to sort the list by Organization Name.

    I hope this helps!

  • Thank you Nora. You seem like a good person.

    I am about to launch.

    It's not about you.

It might be worthwhile for this post to make its way to the CEO of Insightly, though.

I am the CEO of a startup executing a Series A round of funding. Our business model is somewhat unusual and despite having $250K invested in the seed round and a group of A+ advisors and contractors on my team I remain the only employee of the business until the close of this funding round. I do everything until we successfully close this funding round.

I needed a CRM to help me through the investment process. Something simple that would help me keep track of investor contacts and touches.

I have never used a CRM before and, in truth, didn't know what one was until 6 months ago.

Despite working 80 hour weeks I interrupted my impossible schedule to investigate which CRM I wanted to use. At the moment I was making a choice I was running out of funds so cost was an issue.

I looked at several potential candidates narrowing my choices to Streak, Salesforce and Insightly. Streak was an excellent candidate but they charged to much for the functionality I needed and gave me too much functionality I didn't need for free or little charge. Salesforce was tempting because EVERYONE loves it. That's a clue! Yet it was expensive and complicated. I liked Insightly even though you were a little corny. I pulled the trigger and made the choice to use your program.

There was a learning curve. Some of your functionality didn't make sense to me but that was in part due to my inexperience. I was not upset and expected it would take me time to burn my way in.

Then I began to encounter strange things that really didn't make much sense. Importing and exporting contacts seemed more complicated than it needed to be and there is no easy flow between my Gmail contacts and Insightly contacts. I have to duplicate everything. Streak was looking really good at that stage of the process but I decided to stick with Insightly and persevere.

Then there was the strange inability to convert leads to contacts without going through an opportunity. It took a bunch of time to figure that out.

Then there was the fact I had to log in separately to support. Why? Do you know how annoying that is when you are learning something new?

Then there was the fact that Insightly keeps logging me out. Because I'm not in the program all day long I find I must re-log in every time I visit despite the instruction to "keep me logged in" being checked.

There were 20 other small issues that bordered in the land between "inexperienced user trying to figure it out" and "poorly designed interface with inadequate functionality." Some were me, some were you.

By that time I was starting to hate opening the program.

Then I got a couple of Insightly promotional emails that I have now forgotten the topic telling me that you added email integration functionality with Mailchimp! or we are now partnering with Zapier! I'm sure both of those are wrong titles but you get the idea. You are doing high level promotional functional feature additions WHEN YOUR SUPPORT FORUMS ARE FILLED WITH UNHANDLED REQUESTS FOR BASIC FUNCTIONALITY FIXES.

Then I discovered, now in the heat of my Series A raise, that I can't sort Leads with one click.

Now I've spent an hour on this forum including the time it's taken me to write this rant.

If you had a hot prospect customer who wanted to love your product it's me.

I am now truly ready to bail BUT I'M IN THE MIDDLE OF MY A RAISE AND I DON'T HAVE TIME TO PORT EVERYTHING TO SALESFORCE.

    So here I am.

Please don't offer me anything. Don't try to "make this right" and make me a happy customer. Just re-focus, pour over your forum comments to find the bugs that your users are upset about and fix them.

  • I wanted to post a quick update here.

First the good: Sarah did book a call with me as Nora suggested and was very pleasant and understanding on the phone.  She suggested a workaround which I've since tried and I'll comment on below.  She also posted that work around in this section.

Now unfortunately the bad:  Although Sarah was pleasant, this workaround is simply far to many steps when after every click I'm thinking "why do I even bother trying anymore."

I really feel as though all of us are just banging our heads against a wall here.  And to be completely frank, the obligatory responses such case the one above to Ronald don't help with the level of frustration.  I've scoured your feature requests and noticed that there are a large number of sorting features requested, however, they are all asking for something very specific without noticing that it's just a simple sort function that's missing.

Funny thing, the pages of feature requests were endless, so do you know how I checked to find out what was most popular.  I USED THE SORT FUNCTION ON THAT PAGE.

  • Hi Matthew:

We also want to you to have the same functionality across all records and this is something that we are working towards. Right now, the workaround is what we have to offer.

The Community is built on the Zendesk platform so you will see different functionality here than within Insightly.

  • I find it incredibly hard to believe that Insightly cannot have a simple sort feature in areas to sort by the organization name.  This is incredibly basic and most every other CRM has this function.  It seems that the common answer for many things is.."thank you for your feedback and we'll forward that on to our team.", but nothing is getting done with the suggestions.  Someone mentioned this almost a year ago and nothing has been addressed.  It can't be that hard to implement a sort function.  I'm beginning to feel that Insightly is nothing more than a company with a so-so product and does nothing to fix issues.

  • Hi Jim:

This improvement is in our plans as mentioned. We receive many requests and haven't been able to dedicate resources to these request so far due to a very resource-consuming development project.

We do plan to address this request along with a series of other improvements as soon as we are able.

  • Alphabetized leads is a must

  • I would love to see the ability to sort custom lead filters by when the lead was created. It is necessary for me to add a custom field to my leads, but the sorting only takes place alphabetically by the person's name. When trying to filter by date, it only allows date ranges not "newest to oldest", "oldest to newest", etc. which is the default display I see in the Standard Filters and need in my custom filter.

  • How many votes would you need to deliver the functionality to sort a leads or contact list in any desired order? Can't be to much of a hassle?

  • Hi Hans. Great question. For now, we look at our highest voted ideas and if a suggestion has votes close to that, then there's a good chance it will move on to the Consideration stage. This diagram might help. It outlines the different stages a suggestion passes through before it becomes an Insightly feature. We look at every item that's posted here in the community so your feedback on the specific improvements you'd like to see will always be useful to us. Thanks!

  • Incredibly important.  This is a basic function not an "Idea".  The response to Ronalds comment was not what I would expect in if our customer service department responded to a customer like that basically saying "well good luck, we dont care what you think" I would be pretty upset.

  • Hi Jamie:

Customer Feedback is important to us and is the main reason we opened this Community. The last 6 improvements came directly from discussions and votes from community members. You can see those feature announcements here and here.

    Hope this helps!
