Copy an entire entry

Suggested improvement/feature:
Add the ability to copy an entire entry (Contact, Organization, Opportunity, Lead, or Project).

This would GREATLY reduce my data entry workload, as many contacts have similar information and a little editing is much faster than recreating the entire dataset.

The same holds true for Opportunities, as I have recurring opportunities, year-on-year. It makes sense to enable this feature across the board and include Organizations (I have more than a few with multple locations, but similar info), Leads (not nearly as useful, but still relevant), and Projects (recurring projects make this a neat feature).

Obviously, notes, files, emails, and such should not copy over, but relationships wouldn't hurt. Again, a little editing saves more time than recreating all the links.

Adding a COPY feature for entries is an intuitive function. One which I was surprised to find missing from the drop-down menus. Please make this a priority for you next update. My Repetitive Stress Disorder will be grateful. Repeatedly.

  • Please advise when this feature is available.

We have recurring software license agreements that renew yearly and the ability to copy/clone an opportunity will allow us to keep track of that recurring revenue. This would be a huge help and we wouldn't have to recreate the same information over and over again.

Just started using Insightly #LOVEIT and about to make a presentation this afternoon for getting it enterprise-wide because this is the tool we have been looking for all our lives.  With that, we have many opportunities and projects that would be easy to duplicate so that we aren't entering the same information over and over and over again.

  • Hi team,

I too would like to see the option to copy information right from lead stage to project stage. The custom fields I've set up are for a very specific reason and to lose it all at the most crucial time, once the sale is won and at implement stage is a real pain. Be great to simply click convert as you do from lead to opportunity and all the vital information that has been collected along the way is still there.

    Thanks

  • I also find this extremely frustrating and time consuming to re-enter in data to a contact after I've converted a lead or won the opportunity! I'm really hoping this issue gets fixed/addressed soon!

  • Hi Bethany,

I'm sorry for the frustration. We'll make sure to provide any new information to the Community first.

  • Unless I am missing something... This request has been in the works in one shape or another for close on a Year. For something as fundamental as copy/clone a record, it is remarkable that there has been no progress, except a commitment from the CEO some 4 months ago to provide the feature. I like some others are not using the application as we might, and resorting to external workarounds. I am sure that when the day arrives it will work well (and yes there has been progress on the mobile app), But right now, it feels like getting blood out of a stone, except I can't even find the stone. The role of the support TEAM seems to be to duck, not a great model. Perhaps it's time for the CEO to come out and offer the faithful a timeline, before we lose interest.

  • Thanks Tim, I've had this tab open for the better part of my day ready to type something just like that. This feature is a CRUCIAL element of our day to day business processes. Has anyone checked out Base CRM yet?

  • I agree with all of you. We are continually trying to use workarounds but it is time consuming and frustrating. Activity sets are so labor intensive and require such forethought, if you are too vague they are useless, too specific and you end up deleting the ones that don't quite fit. Pipelines suit more of a waterfall PM approach - our projects require an Agile approach. We manage about 5-6 events / projects at a time that have similar tasks but are too dissimilar to share the same Activity sets...HELP PLEASE!!!! MUST be able to copy projects!!

  • Looking forward to seeing project duplication from templates implemented!

A suggestion regarding due dates:  if users want to use a past project as a template for a new project, obviously the due dates for all of the tasks in the new project will be different from those of the past project.  When you are implementing this, you have to choose what deadlines will be shown by default for tasks in the new project.  I would suggest that tasks in the new project have default deadlines set to the same number of days after the start date of the project as the original one that is being used as a template.

For example, if the past project started on April 5th 2015 and there are two tasks in the project, Task 1 which had a deadline of April 15th and Task 2 which had a deadline of April 20th, you know that it was expected for this type of project that Task 1 would be completed in 10 days and Task 2 would be completed in 15 days.

Now say a new project is being created by using the past project as a template.  The new project is created on May 10th.  I would suggest that the default deadlines for Task 1 in the new project is May 20th (10 days after the start date) and for Task 2 is May 25th (15 days after the start date).

Users can of course change these dates if the default doesn't suit.

  • A suggestion for when this feature is implemented regarding default assignments.

When users create new projects by using a previously created project as a template, they will often want to assign the tasks in the project to a new user or team.  That way in environments where the same type of project is assigned to many different users, they can create a single project template and then use the template to quickly assign the same type of project to additional users.

To achieve this, the development team responsible for implementing this feature should make it possible to assign all of the tasks within the project to a new users or team with a click of a button.

With the current Insightly interface, as far as I am aware there is no way to assign responsibility for an entire project and all of the tasks within it to a different user to which the project/tasks were originally assigned.  Managers have to edit each individual task, which is clunky!

When implementing the copying of entire projects from templates/previous projects, please don't make managers have to edit each individual task to change assignments.  Rather, include a feature whereby managers can assign the entire new project and all its tasks to a new user or new team.

Thanks in advance for your consideration of this issue!

  • Hello everyone, and thank you for continuing to push for this improvement that will undoubtedly save you a lot of time! As Anthony stated in December, this improvement is planned and will be delivered in the upcoming months. Unfortunately, we haven't been able to dedicate resources to this request so far due to a very resource-consuming development project. We do plan to address this request along with a series of other improvements as soon as our engineers resources become available again in the next 2-3 months. Thank you.

  • This should be a major priority. It's one huge flaw in a otherwise fantastic program.

  • Hi,

Very disappointing that this is taking so long to implement. Copying an opportunity should have been a basic function included when this system came onto the market.

This should be a priority and users should know when to expect this to be implemented.

The absence of this feature is so time consuming and annoying to me, I will seriously re-evaluate the continued use of Insightly when our yearly plan ends.

Apologies for the negative post, but you're really not serving your customers adequately without this feature.

    Kind regards,

    Kelly
