Scheduled Emails

I love the fact that we are now able to schedule emails to go out! This definitely can help a business to market and run overall more efficiently.

However, it would be even more helpful if the wonderful people at Insightly would increase the window of when emails can be scheduled from 7 days to at least 30 days.

Many of us could use Insightly to send automated followups to our clients, however, having on 7 days limits the number of follow ups we can send. Instead of being able to schedule all of our followup for the whole month, we'd have to remember to go back in and schedule the next batch. That could be quite the hassle.

Additionally, it would be great, if their was a "button" or way to schedule emails directly from a task in the same way that it appears when looking at a contact.

These two suggestion would definitely help Insightly users to gain more efficiency and thus continue using your service.

  • I did not realize that you could only schedule 30 days out. This is a big disappointment. We have potentials that tell us to followup in their slow period. I was hoping to schedule an email to precede the task.

    We are still in the trial period.

    You can only schedule emails 7 days in advance, not 30 days. It would be wonderful if they increase the days to at least 30, then we could work with that.

    I realized by error after I posted. This is even worse obviously. I shared this with my team and they growled at me. We are already on a CRM and before we go through the pain of moving  we have to have a serious upgrade of features. This is one that was on the top of my list.

  • Here here! The whole point of scheduling an email surely is that you can plan ahead - 7 days just isn't anywhere near long enough into the future. It would be great to have the ability to do it from the new sidebar feature.

  • I'm going to piggyback on this great suggestion! It would be very, very useful if I could schedule emails up to a year in advance. I would upgrade my account right away if this feature was made available. Many life and business events occur annually, and that's why the feature would be so useful to so many of your customers who want repeat business. Thanks for your consideration.

  • Hi!  My team and I agree, we would definitely benefit from the added convenience that scheduling e-mails out further than a week would bring.  In our sales process it would be very helpful to be able to schedule e-mails for 3 months to 6 months out.  Yes you can do that with tasks but then have to take the time to re-familiarize yourself with each customer's situation and then select the e-mail template, etc. - when it could have been set up months earlier while the customer's particular set of details was all fresh in your mind, you know?  Would just be more efficient, in our humble opinion!

  • This is the one feature that is keeping me from upgrading. We need to be able to schedule a final payment reminder 7 to 10 days before it's due. Often this doesn't occur until several months after the deposit. Being able to schedule this email at time of booking so someone doesn't miss their final payment is crucial!

  • There should not be any limitation to when a scheduled email could be sent. I even think a yearly window should be something standard.

    Right now our efforts are focused on back end improvements. Once this is complete we will be working on those ideas that have come from the Community and are already planned. After that we'll revisit other popular ideas.

  • Two issues, I did not realize when I tested Insightly that you have to pay an additional $240 per year per user (or $1,200 over 5 years per user) just to forward scheduled emails.  You should also be able to select a Calendar drop and use that to pick any date.  Frequently I will hear something like "follow up with us at the end of the year".  As it sits now with Insightly you have to set up a task for yourself and then execute the task as a reminder to reachout to the prospect.  Normally I would write the email asking if now was a better time to talk at the time we last talked and bcc myself which also would remind me to call them.

  • Boomerang is a free/low-cost Google app that lets you schedule emails at a later time directly from Gmail. I sync my active clients from Insightly to my Gmail contacts and schedule emails this way. There is no time limit on when you can schedule a message -- you could choose years into the future, if you wanted. http://www.boomeranggmail.com/

  • When I tried Boomerang Sam I found it clashed with the Insightly gadget rendering it useless. Do you not find this?

  • Only allotting 7 days to schedule emails seems to defeat the purpose of the feature. As a salesperson, I've never heard "Call me in three days" 

    It is more realistic to assume that someone would need to follow-up in weeks/months - rendering this feature useless.

  • Yes please! Also note, if you manually type in the date, it will just send automatically, so don't try to the workaround approach.. Please more than 7 days! I think you vote by pressing on the word "Vote"? I don't see a counter of sorts so want to sure my vote counts. Thanks!

  • I got a response from support that made the giant assumption that the scheduling I was looking for was marketing e-mails. that's not all what I'm asking for and probably what most of you are asking for either. I want to be able to schedule administrative follow-up e-mails. 30 days would be plenty.

  • Hey, I´d love to have this feature and to be honest I do not understand why there is a limit. The tool is called automation. Sometimes you just want to keep in touch with a customer. Further it´s much easier to finish things now than to get notifed to do it in the future. I hope you guys will make it possible or at least let us know why you won´t. Shouldn´t be such a big deal.

    That works. And you don´t even need an upgraded plan.
