Deleted contacts and organizations - where is this?

Is there a way to track who is deleting contacts and organizations in Insightly? The activity feed only shows when something is added. When someone intentionally or unintentionally deletes a contact that the company needs, that's something the admin should be able to see.

Please let me know if there's a way to see these actions. If not, what's the best way to combat this? Changing permission levels?

  • Unfortunately, we do not keep track of who may be removing or deleting from an Insightly account since all Admins will have access to records. You can choose to change or alter permission levels. There's more information under User Permission Levels.

  • Is it possible for admin to track changes that were made by users (edited/deleted emails adresses, phone numbers). It is possible to recover edited/deleted data?

  • Hi Andrius,

No, there isn't a way for an Admin or any user to be able to track which user is making updates/edits to record. We do plan to add a recycling bin which will help recover deleted data. We hope to have this feature available by end of 2016.

  • Hi All,

    We have some exciting news!

If records are accidentally deleted, you can use the new Recycle Bin to to recover, retrieve, or undelete them. Read our How to restore or remove items from the Recycle Bin help article to find out how.

  • I recently lost all my data in insightly......   i am the only one with ADMIN login -- but anyone can still delete ---- I believe it was something in insightly side -- since someone deleted all records -- including records I HAD MARKED -- FOR MY VIEW ONLY -- so no one else had access to those records -- the only persona with view access to those was MySELF ---- so how could someone had deleted those ---- After 5 years of use I had never deleted but 3 or 4 records --- and I know I did not DELETE all my data -- any Suggestions from anyone

  • Hello Modesto,

Sorry to hear this happened to you!

Insightly does not provide individual backup or data restoration services. Going forward, I suggest that you make copies of your data for situations such as this. You have three options to make copies of your Insightly data, and I recommend doing so on a regular basis.

None of these options are meant as a complete backup and only serve as an emergency function in case a user was to unintentionally delete data.

    • You can export all the basic records to a CSV file. This is the only option available if you want to re-import your records to Insightly through our website. Please see our article on Exporting data from Insightly to a CSV file.
    • We offer an XML export in System Settings > Data Export. The exported file is an archival format that requires an application or service to read or convert XML data. This file type cannot be imported to Insightly.
    • Customers with the appropriate technical resources have the option of using our API to create their own interfaces with other applications or for exporting data. See our API developers page.

You can read more about these options here: Options for backing up your Insightly data.

Hope that helps. Thanks for the understanding!
