Microsoft Outlook Contact Sync

Outlook calendar sync works great, but we really need full contact sync with Outlook too. While I appreciate that many people use Google products and services, there's no denying that Outlook is the standard mail client in business.

Please can we have full Outlook contact sync added soon. This is an important feature that is currently missing.

  • I would also like to see the feature that allows contacts to be sync'd between Insightly and both the desktop and web versions of Outlook (Home and Business would also be nice.)

  • I'm evaluating Insightly and an Outlook user. I can say that full sync with Outlook would put Insightly right at the top of my list.

  • We have been waiting for some time now and it just isn't happening from Insightly.  I have looked at many other SMB type CRM's and not many of them have an active sync with Outlook either.  However two (other than Microsoft Dynamics) I have found do.  ZoHo and Bitrix 24.  I am evaluating them as we speak.  If anyone else has come across other products that do, I would be interested.

  • How about using Zapier?

  • Thanks @Kennetth Thanks for the info. It would be great to receive your feedback on Zoho and Bitrix 24. I have taken a bruef look at both, but nitbin any detail. Its quite dissapointing that Insightly isnt given full sync with Outlook a bit more priority.nif they are not going to do somthing soon, they stand to lose clients.

  • @Brenda, when can we expect an official statement on this or an ETA? Even the most simple sync (e.g., name, email, phone) would be an excellent first step. (I simply can't expect our marketers to enter contact data into their devices twice, once to use to actually communicate and once into Insightly for tracking.) Even an official statement that such sync will be supported in some future release would be enough for me.

As an alternative, some kind of access to the contacts (e.g., CardDAV) would allow devinces like Android and iPhone to access the information without duplication.

  • Hi John:

Because of the nature of things we are unable to provide a solid date. However, it is still on our 2016 roadmap.

As an alternative for now, if you code or have access to developers our API is an option for creating integrations with Insightly. There's more info on this on our API developers page for you.

  • I am now a new Insightly user and have about 3 weeks under my belt. I have a suggestion on dealing with exchanging information with Outlook. A new feature that would meet all of my needs is simply the ability to send an email to Insightly with a person's vcard attached. Insightly would then add that person to the database. This would allow me to enter contacts in Outlook as usual, and then send the contact to Insightly so that I don't need to manually enter the contact information again.

  • Hi Greg:

Would the Insightly Outlook App work for you? The App does have the feature to create a Contact from an email. It's not the same process as you described above but it could an option.

  • We use Outlook 2010. The Insighlty Outlook App requires 2013.

  • The next thing you might be able to use as a workaround @Greg is the Insightly email box to save a copy of your email in Insightly.

When you send an email to your Insightly mailbox, the system will scan the header for email addresses and domains, if an existing contact or organization is found the email will be linked. If there is not a match, it will create those for you.

  • This only creates a minimal amount of content in the record. I would still need to manually enter the remaining contact data.

  • Sorry neither of those options work for you @Greg. Thank you for adding your suggestion of forwarding a vcard. You may want to create a separate thread specifically for this so other users can vote on it too!

  • Not to pile on here, but some level of contact syncing with Outlook 2010 (the desktop version of Outlook) is really a must-have feature. So many businesses use Outlook as the standard email.  Users expect contact information to sync across devices and platforms.  Basic syncing between contacts in Insightly and contacts in Outlook is needed. In case it is not clear, the sync should be two-way (no one expects to update a contact on iOS and have to update the contact again on Outlook).

I understand from this thread that contact syncing with Outlook is on the 2016 roadmap.  Please bump it up so that this feature is implemented sooner than later.

  • Glad to know about that integration. In the meantime, I have been having trouble with the feature that allows me to save a contact from an Outlook email. When I click the box to save, I consistently get an error message. Is there anything I need to do fix that?

  • definitely need it.

most companies use Outlook Mail and Exchange Server for Business purposes.

Google Contacts and Google mail might be good for some people, but are no use to my business.

I use Exchange server and need two way sync.

  • That is a MUST. Any updates on when the two way sync for MS Exchange will be available?

    Thank you.

  • While a solution is being developed by insightly. Does anyone know of a simple work-around? We definitely don't want to maintain two independent contact lists one on insightly and one on Exchange Server.

  • Hi Matthew:

Once we complete our backend updates and release features that have already been planned we'll be going back over the requests surrounding Outlook to see what can be implemented. Thank you for adding your support for this too.

  • Why not Zap it? I'm highly confident you can add a contact to and from Outlook and insightly with Zapier. I would be happy to do a webinar demonstrating this. Let me know if this is useful. I've done a number of them at http://astutemy.com/webinars.

  • Hi,

I understand most of you are asking for a native sync of Office 365 / Outlook.com Insightly contacts, but since this is not (yet) available, it is possible to do so with PieSync integration. Our plans start from 5$/month (depending on number of contacts you have in sync). You can find more information on Insightly's integrations page or on our website.

    Best, Grega

  • Greg:

Thanks for your suggestions and appreciate your help too.

However, my opinion is that I don't think this is something that subscribers to Insightly should be expected to pay for. A lot of subscribers have been asking Insightly to make their program sync with Office 365 / Outlook. It seems that they are only interested in making their product work with Google though and they are dragging their heels all the time. I think if they don't move on a bit with what their clients are asking for, then someone else is going to come up with a product, and they could end up losing a lot of clients.

    Best James

  • As of October 21, 2015, Insightly stated: "I just checked with Product for the latest on this request and here it is: A contact sync with Outlook is on our roadmap for 2016. They are still discussing when this can happen and when details are available we will let everyone know." This was on this post.

Today it is just about 10 months later and we are still waiting.  Any update on this Insightly?
