Some way to import a file of updates / field changes / TAGs to existing records?

How can this be done?
ie.
I have 2000 customers in my DB
I have 1000 customers and need to change (update) the value of a some of fields on their existing records, and i have those customers and the updates in an import file. (Eg. CSV)

Firstly when I export the Record ID is not inlcuded to there is no unique key?
Secondly, even if it did have record id (or a composite key of first name last name email address for example) how can I use the file to make the updates? Or at least select the records?

Deleteing and re-creating is not an option as all the associated data / existing links would be lost.

Any other work around to be able to have a list of records (lets say contacs) and use that list to select / update (Eg. stickj a TAG on those particular 1000 customers) a list of matching records in Insighlty??

This is a really basic and I imagine widely needed function... and the logical extension to the "bulk update" feature.

ie. at the very least....
Exports should include Record ID (the unique key!)

if you are on the contacts screen you sould be able to import a list of record ID's that at least selects the records, and allows for update using existing bulk update functionality.. even though it is one field / element at a time, or ideally allows for updating of the matching columns/data in the input file.

Same for Opportunity and Projects.

    I've separated your questions into different sections so we can address them all. :)

    You're correct at this time the record id is not included in an export file. I've submitted the issue to our developers so that they can investigate it. As mentioned in your previous request "id field and values for exports..." record id's should be added to exports now.

    Unfortunately, as you mentioned Insightly will not accept updates to be imported. You will need to manually make the updates or delete the records and import the records with the updates. Please note that some items will not export such as files, links, so that information will be lost.

    This is something we are aware of and hope to implement in the future.

    Can you try to export your file once again? I show the record id is being included. Please note that the Record ID is not suppose to be used as unique key, its intended more as an internal record.

  • Hi Nora, about Bulk Update you say "This is something we are aware of and hope to implement in the future." Can you comment further about timing and scope - this is important to us too if we are to use Insightly as a master record for our clients. At least being able to modify records using record id as the basis would be great.

    This is still in the planning stages- meaning the scope of the project, how complicated it will be to build, and the resources that will be required etc., have not yet been determined. 

    Because we are are still in these planning stages, we don't have a specific date for this to be released. We will be sure to let you know if anything changes.

  • Importing changes would be incredible interesting for us now too. We need to introduce numerous updates weekly and it takes too long to do it manually. And we don't want to delete all records to import everything from scratch every time, it feels too risky! Also not very efficient.   

    I hope we can make use of this functionality soon! Thank you very much!

  • Can you please provide an update on this? I regularly need to import hundreds of contacts from Excel spreadsheets. Some of the contacts are already in the system and some are new. I need to do a bulk tag update to ALL the contacts I'm importing (regardless of whether they are existing or new). 

    It would be extremely cumbersome to have to assign a Record ID to the contacts before importing them (that would require me to take a ton of time to look them up in the system first and manually assign the ID, or do spreadsheet merging and deduplicating using Excel, which would also take a ton of time!). Since I see Insightly has the ability to identify duplicates, shouldn't it know when contacts from my Excel sheet are already in the system without me having to assign a record ID first?

    This feature is a dealbreaker for my organization. We will have to find another CRM system if it's not upgraded soon.

    Duplicate Detection was designed to prevent duplicate information from entering Insightly by checking specific record information. Record ID's were designed to assist with updating records via import based on a unique identifier.
     
    You would need to input Record ID's for the Contacts in the Excel sheet that are already within Insightly, in order for Insightly to correctly map the edits.
