Create Organization from New Contact

Hi there,

I am new to insightly and just trying to get all my contacts loaded. I entered in one of my contacts, but it wouldn't let me enter the company that he works for because I don't already have an organization of that name. Do I really need to create a new organization and a new contact every time I meet someone from a new company? Is there some way to get it to automatically create a new organization if one does not exist, using my contact's work address and phone number?

  • Hi Krista:

When you add your new Contact you can enter the name of the Organization and if nothing matches an existing record, it will be added and linked to the Contact record.

However, it will not include any of the address or phone number details.

I will move this to Product Feedback so that other users can vote and comment on this too :)

  • Weird, it will let me do that for a brand new contact, but when I tried to add edit a contact that I had imported, there was no field for organization no matter what I did. :/

  • This is actually associated with the contact's link to an organization record, although we give you the option to add that information when you initially add a contact record.

Once the contact is added, you can link a contact with an organization using the Add Link function at the bottom of the record. A pop-up box will appear that lets you choose the link, add a role, and enter details :)

  • right. but when I tried to add the link, and there was no pre-existing organization, I would click 'save' and then the information would just disappear. There was no other place to put it, no 'organization' field, and no pop up window appeared. It just would not retain the company name if I didn't have a separate organization.

  • Hi Krista, my apologies I got lost in the process.

Yes, if you are going to link a Contact to an Organization after it has been added, the Organization record will need to already be in the database.

Help! I'm not having this experience. When I add a new person, if no Organization matches an existing record... I hit a brick wall.

I've re-read this thread and it would seem I'm missing a capability. I understand the Organization must pre-exist to link a contact after you initially add it, but I can't even add an Organization on the Create Contact page from the get-go.

    Any ideas?

  • Hi Kelly:

When you are entering your new Contact, you'll also enter the Organization name in the Organization field. If nothing matches continue to enter data into your record and then Save.

The Organization will be created once the record is saved.

Let me know what happens when you do this, screenshots can also be helpful.

  • OMG.

Hopefully someone will find this helpful as I reveal with great embarrassment that the problem was me... pressing ENTER instead of TAB. Derp. Sorry everyone!

Thanks, Lyla for the quick response. I ♥ Insightly!

  • Hi Lyla,

please correct me if I am wrong but from what I've read and experienced using the app, once a contact is added then you must create the organization separately in order to 'link' that contact to the organization.

My problem with this is when you batch add people from your gmail address book then, if you are trying to skim through and further populate the contacts you have just added, you have to keep popping out of the contact in order to set up an organization, then popping back into the contact to link them to the organization you have just created.

It would be super useful if there was an option to create a new organisation (just the name would be handy) from within the edit contact window. Is there some way to request this?

  • Hi Simon:

It depends on how the Contact is being entered into Insightly. If you are manually entering the Contact you can add the Organization in the first section of the record:

Since you are using the option to import from Google Contacts the Organization l;ink would need to be added after your Contact is in Insightly.

It might be easier for you to import or enter your Organizations into Insightly then import your Contacts in as a CSV file with a column for Organizations. When you do it this way, the link will automatically created.

Regarding making a request for this in the the Edit Contact window, you can start a new thread in the Product Feedback pages so other users can comment on this as a feature request.

  • I imported 300-400 contacts directly from Google Business account, and finding that Insightly is not able to create organizations automatically or within the contact is very frustrating.

It seems like this feature should have been available after this many years later customers are requesting.

  • I am having the same issue and when I put in the ticket, no one seems to understand what I am asking??  Ever since the latest update, is there NO WAY to enter an organization into a contact unless the organization already exists??  This is completely nuts - it means that for every new person I meet, I have to create two new entries - one "Organization" and one "Contact" - that makes no sense.  Someone help please?   Thanks Adam

  • I am having the same problem, when creating a new contact it does not allow the organization to be created directly. Neither Enter nor tab seems to work. Its quite cumbersome to have to abort the process, add organization then go back and add the contact. It is causing friction in the process.

It just notes "No matches found" and I don't seem to be able to create a new Organisation whilecreating a new Contact.

  • Hey guys,

Thank you for your feedback on this. This feature was added to prevent accidental creation of duplicate organizations by multiple users. We understand how this may have disrupted your business and thank you for your patience while we continue to upgrade our product.

  • Is there an option to override this? When I create a new contact, to add their organization I must save the contact, exit the contact, create a new organization, then link the organization to the contact. How does four steps instead of one make sense?

Users wishing to avoid duplicates utilize the organization instant search while typing in the organization name for a new contact record. There should at least be a button to create new organization.

Also if you aim is to avoid duplicates, how do you prevent a user from creating a pre-existing organization with a different name syntax? Human error will always exist no matter how many safety nets you impose.

Can you guys please change this?
