Home Screen Visibility based on Permissions

Although we have implemented permissions on all our Opportunities, Contacts and Organizations,   the entries for Stage or State changes made prior to setting permissions on Opportunities are still visible.   Is there any way to remove these from view?

Also, is there way to change permissions on notes, emails, and events in bulk.   We could do that for Opportunities, but can't seem to find a way to do that notes, emails and events.    The notes attached to an Opportunity are still visible even though the permissions have been set on the Opportunity.

  • Hello Jeanne!

It's not possible to change or bulk edit those permission options for the home screen or for notes, email or events.

We are working on offering a larger and more robust security scheme in the future as we know that our users need it.

For now, here's more information on what you're able to do: This is a great article that walks you through the different types of permissions available in Insightly, and what you can do with them: What are the user permission levels and what can each level do?

Please don't hesitate to let us know if you have any further questions!

  • Thank you for the prompt response.   Is there any way we could have someone at Insightly make the changes "behind the scene" for us?   We are looking at around 2000 edits -which we estimate will take about 18 hours.

    Thanks, Jeanne

  • @Jeanne - Absolutely, happy to help!

Even with staff admin access, we don't have the ability to make those changes on our end either. I absolutely would if we had that type of access.

I know that those types of changes can be tedious and I definitely appreciate you letting us know your feedback on this. I will make sure it goes through to the engineering team.

Please let us know if there is anything else we can assist with!

  • I do not see a way to turn off the recent activity on the home screen. is this correct? Even though I have set up restrictive permissions in other areas which keeps the information hidden from others.

    Please confirm if you can.

  • @Steve - You are correct, it's not possible to turn off recent activity.

Also note, if you are an admin, you can see everything, so it's sometimes helpful to view the account from the person you're setting permissions for to see what they can/can't see.

    Thank you!

  • Hello Jessica,

So it means that if we add a new sale member to an existing organisation (which was not using permissions till now), we cannot hide the recent activity ? Is there any bypass?

    Thank you in advance

    Alex

  • Hi Alex,

Unfortunately, there is no workaround or bypass.
