Auto email sync

Please integrate with Google App / Gmail so that you automatically sync the emails of known contacts without the need to use the Dropbox email.

See how BaseCRM are doing it, is very convenient.

  • Hi Sandro and Carsten:

This would make things simpler and you'll be happy to know that we are looking into options for this!

Keep your eye on the community for new feature updates :)

  • Any idea when this feature will be available?  This is the one missing feature that prevents me from becoming a paid user.  I must have full two way sync with Google Contacts, Calendar, and Email.  I don't want to have to CC a random email address to have it show up in a contact card.

  • @Brian-

We're glad you have been enjoying Insightly. At this time this feature is not available and we don't have a set time frame for this at the moment. Once we have additional information I'll make sure to update the Community.

  • Yes, I agree. I was very surprised by this. I would never have bought it if i knew this was so poor.

We were using zoho before, and it was a bit to messy, but they had a beta imap mail integration that was excellent. Just entered the email code and all emails was sorted on the right contact. Back in time as well. Without this it is veeery hard to change to insightly from another crm.

  • I agree - two-way email sync is a must-have and would help me save a lot of time! I waste too much time having to save emails to Insightly and I don't like having to remember to BCC the Insightly address.

If you need more ideas on how to implement this, take a look at Salesforce IQ and Agile CRM. They both have auto email importing which shows up in a timeline-like feed on the contact's profile within the CRM. This is a great visual tool to see when they were last contacted and what was said without having to hunt down emails.

I would absolutely love to have this implemented in Insightly.

  • Insightly seems to be lack in one ...very crucial ... piece in the CRM tools department. Quality email integrations.

  • Yeah, I'm piling on here. Looking at switching from Base and was caught very off guard by the lack of this feature.

  • There seems to be many others...on this and other boards...that find the lack of focus on getting email working very frustrating. Insightly seems like a great product other-then the email issues. Customer support is very slow and lack of phone support is a problem.

  • Any update on progress? At present i have to search gmail when i want to see a conversation. It would be so much slicker to be able to find a contact in Insightly and see all the conversations we've had.

  • This is 100% needed. It is incredibly inconvenient having to save each email individually!

  • Agreed.  I am using Pipedrive for my sales process just to avoid having to BCC everything.

  • I agree with some above CRM is a waste of time without email integration.

I found this Chrome extension works well so far for my two google apps email accounts -- it automatically BCC's the insightly address for any emails I send.

  • I just watched the sync feature for gmail in Lexicata (another CRM).  It is seamless, and I would not have to always add the email into insightly.  It is such a hassle, I am really thinking about switching.  Is this something is seriously working on, or should I consider the other option?

  • Agreed! Almost all modern CRM's include IMAP Integration because it makes it super-easy to track all communication with clients. I've actually had to move my sales team off of Insightly for this reason and on to another sales CRM for this reason. It's really helped improve sales, so the next team to move will be the Project Managememt team unless this is sorted out soon.

Can someone from @insightly please reply to this thread please, as the last reply was nearly 18 months ago?

  • I concur with the comments above. A response from Insightly would be appropriate.

  • Hello everyone, the product team is looking into this option. We completely agree that this would be a useful feature and a great time-saver. Currently we are in research and development stage with our development team assessing feasibility of whether this feature can make it onto our roadmap for this or the following year. Thank you for your comments!

  • Wow!  It only took a year and a half, with 17 comments on this thread and a few more on others to get the ball rolling.  If your implementation is close to being as good as Base CRM's, I will be switching to Insightly as soon as I can.

  • I hope it will be this year, it's really a core feature of a CRM. User friendliness is more important than having to many features, but this is really very core. I tried the current version, and in real life my coworkers hated it. They just never use the bcc or the gmail gadget. It is not user friendly at all.

When i discovered the error and asked the support they even managed to say it was due to privacy. Come on. Nobody uses their employers email privately, they log in to their own web email. If they did, they could just delete it later. Not the opposite way, that you need to approve every single email and sort it to the correct customer. It's idiotic, to be polite. Just get this embarrassing flaw fixed fast, the system was very good except from this.

This and the AM/PM only option. That one doesn't make people angry, but it's annoying and probably embarrassing fro those who work as support at Insightly.

  • I agree, please bring this feature to Insightly. It is the most time consuming and frustrating part about using Insightly.

  • Definitely a much cleaner way of doing it and it stops people forgetting to cc the dropbox email - especially when people reply and then you have to add the dropbox email again and again in the same email thread

  • I switched to cloze.com for their full email integration of multiple email accounts.

  • I agree with those on the link. This is one of those communication automation features that absolutely saves time. This should be considers a raw function of CRM (at least ones with a $20+/mo fee). I've had this in other CRM systems and not willing to go back to manual email sending.  Ultimately, this is becoming the one thing that will drive my future decision. If integrated, I expect Insightly would win many new customers (and bring back old ones) perhaps justifying the cost of this development . This really would be big deal for the Insightly platform.

  • @Insightly team, any update here? The manually syncing is a problem as not all team members are as diligent as others about making sure to bcc +

  • Let's look at the score here:

    Cost: $29 or $49/user/month versus $12.50 for Microsoft Office 365 + Teams + Planner + Customer Manager + ...

Quality:  no IMAP integration versus complete integration for 365

Schedule:  Thread started Sept. 2015.  Idea in R&D April 2017.  Thread continues: May 2018.  Implementation ???

Do you see why I'm no longer considering Insightly?

  • Hi,

We recently created an integration to solve this issue with another CRM provider but we would really like to do the same for Insightly and sounds like it could be useful. If you would be interested in helping us by being a beta customer then I would love to hear from you. Our integrations would:

    1. Sync all inbound and outbound emails to or from your contacts

    2. Automatically log those emails with your the customer record (without the need to bcc, other manual input etc)

    3. Ingest any historic emails from your email client.

We are also working on an integration with VoIP phone calls - so that any calls you make from your VoIP landline are automatically logged and captured. We also have the facility to transcribe those calls so you can quickly see what they related to without having to listen to the whole call.

If you would like more information or are willing to become a beta customer then please drop me a line at threads@jpy.com. Also happy to hear from anyone at Insightly that would like to explore this opportunity with us.

  • Nothing. That and the price increase is why after many many years with Insightly my business finally left last month. Great CRM, but way too much slow manual email entry.
