Automatically assigning activity sets to leads?

Simply put is there a way to automatically assign an activity set to a lead?  Say we have a small set of verification tasks for each new lead.   Can that be added automatically without any user input as soon as a lead is created?

  • I second this (actually third but...). When I create a Lead, I ALWAYS assign an activity set to it. Add my vote for this feature!

  • I 100% agree, was just going to ask about this, I think it is essential. I have just uploaded 650 leads and now have to go and manually input activity sets and tasks. Its a bit of a headache, if any one has any advice please let me know!

  • I've been comparing Insightly to Zoho to determine which one I'll invest in a paid plan. Zoho has some automation included, even in the free version and their mobile app is WAY better than Insightly's. However it's not as intuitive for my use and there is no automatic link to email, etc. Both platforms have their pluses and minuses. However, if Insightly would add workflow automation (including triggering one task at the completion of another) and make the mobile app more useful, I'd jump on the Insightly band wagon and not look back!!!

  • Agree, I need a system which automatically assigns a set of tasks - is too much extra work and steps which my team will miss, if they have to do it for every lead individually

  • Yes we need this. Another way to accommodate this and perhaps leave it a bit more flexible would be to add an 'assign tasks' or 'assign activity set' to leads in the MORE drop down menu that appears when you have multiple leads selected in the list view.

  • Any update on this? Seems like this should have been thought of when creating the product instead of having to move it to a feedback request.  Quite an oversight when the other sections seem to include the same capability.

  • This seems like such a simple issue - maybe 80% of leads will have one common initial activity (80/20 rule) that should be the default, with ideally a drop down menu of activities.

    Yes, you can select all the relevant Leads and do a Bulk Edit and add an activity set (particularly each time you do an import of Leads) but this is just a step that can be eliminated.

  • Any update on this function request?  I'm new to Insightly.  I like most of the functionality, but I find the need to manually add the SAME Activity Set to EVERY Lead is rather annoying.

  • Hello,

    Yes, those on a Professional or Enterprise plan can use workflow automation when setting up a new workflow you will want to start with the following steps:

    1. Create a new process, where you'll choose the record type to watch and how often to evaluate records
    2. Add criteria to trigger the process
    3. Add time triggers to criteria (to optionally schedule actions)
    4. Add the actions that will occur when the process is triggered

  • Hi Alejandro, 

    Looking at the Workflows it looks like you can add individual items (tasks, emails, etc) but not select an existing activity set. Is that correct? Basically, you go under the workflow and built a new set of activities, that are then triggered based on the criteria.

    That is correct. Insightly's workflow at this time does not allow for adding existing activity sets.

  • I don't understand why this isn't possible with lead statuses... to me they look and function for the most part like pipelines. Would be really good to have this added to the lead statuses configuration page.
