Opting contacts out of receiving email

Is there a way to Opt a contact out of receiving emails from me when I send them through my Insightly account?

  • Hi Julian, thank you for posting! 

    If you don't select that contact when you're sending email, they won't receive an email.

  • Jessica, Thanks but let me clarify a bit.. I need a solution so I don't have to remember everybody who opts out for ever more.  I need a way to manage the opt-outs and select them so I can avoid sending messages in the future.

    I tried using flags.. creating an OPT-OUT flag and filtering contacts to include all BUSINESS contacts, yet exclude contacts flagged with the OPT-OUT, but it appears the system can only filter on a single criteria ("BUSINESS CONTACTS' OR Exclude Opt-Out").  Does this make sense?

    While we don't have something specifically for this, you could add a custom field with the options of whether or not a user is opted in or out. And you can filter by that. 

    I definitely understand your dilemma though and appreciate your feedback on this!

  • Hey Jess.  This would work if I could use multiple filters, but from what I see, I'm allowed a single filter in a search.  I have my clients segmented into BUSINESS and COMMUNITY.  If I'm writing my BUSINESS clients, and want to exclude those with a custom field of OPT-OUT, please let me know how to achieve this.  Thank you.

    We just released our new reporting feature that has a lot more option for filtering and exporting.

    I was waiting until we launched it to let you know :) 

    This feature is extremely flexible and you do some really great stuff with it.

  • Jess, This looks cool.  Can you tell me the best way to create and save a report that I can run that excludes contacts who have the OPT-OUT flag that I created?  If you can't filter on a flag, can you let me know best practice for achieving this using this new tool?

  • @Julian - We aren't able to use tags within the advanced reporting option, yet. This is one of most requested feature additions for this so I have a feeling that means good things are on their way, at least I'm really hopeful. 

    Also, I'm glad you like it! 

    As far as what you're looking to do, while you can't use tags, in the meantime, you can use custom fields with advanced reporting. 

    You can create a custom field for this tag, bulk edit your records to add all of the ones with the tag to the custom field, and then use the report to filter.

    Bulk Editing: 

    It's easy to update multiple Insightly records at once - just select the records you'd like to update and use the bulk edit buttons that appear above the list. This article and Insightly U video shares more details about how to make bulk edits, if you want to learn more:

    And then within the report, you would just filter by custom field and insert the custom field that you created.

    I know that was a lot to digest but it's all super helpful stuff, and you'll be a pro once you get through it. 

    Essentially, Custom Fields are created by going to System Settings > Custom Fields > Create/Edit/Add there

    Bulk Editing is done by selecting multiple records and clicking the edit pencil that appears and choosing the custom field.
