Bulk delete TASKS

Please add the ability to select and delete or mark as complete multiple tasks within a contact, lead, opportunity or project at the same time.

Scenario: If a lead responds mid-way through an activity set and I convert them to an opportunity, I have to  manually delete each remaining task so that I can then assign a new appropriate activity set. Or If I had multiple tasks that I complete at once, I have to click one by one to mark as complete. This takes forever and is totally inefficient.

It would save us so much time if you just added a little check box next to each task and allow to bulk delete or mark as complete with one click.

  • Also, I forgot to mention, but it would make sense to be able to bulk mark tasks as COMPLETE as well! I think it would be pretty easy to develop both of those capabilities at the same time.

    I think the bulk mark tasks as complete is already there.  I've just come off the phone to a customer where I had 3 x tasks to follow up and from the Tasks menu clicked each box on the left hand side of each relevant task then click the Tick mark at the top left that only appears after one of the left hand side boxes is ticked:

    The other two tabs at the top change the due date for one or multiple Task and the bin deletes them.

  • Thank you Natalie. That is VERY helpful. BUT it would still be nice to have that SAME capability when in an individual LEAD or OPPORTUNITY or PROJECT. Not just from within the task menu. 

    Having it in TASKS does not solve my earlier scenario...If I have 15 outstanding tasks, all spread out over the course of a few months, and I want to delete them all, there is no way I'm going to be able to weed through and find all those tasks in the task menu (since unfortunately the search filter doesn't work in Tasks to be able to search for a name and have it correctly pull of the tasks associated with that person). It would be much easier to do from that individual lead's profile. Hope that makes sense. 

    Please Insightly, just add that same little box and options that appear to those places as well since I work from those spaces a lot.  OR fix the search field in tasks so that when I type in someone's name or organization/company, all their associated tasks actually pull up! Thanks!

  • agree with Rachel, the ability to bulk manage tasks would be a great help. Consider a number of opportunities that are closed at once; each has many tasks, which also need to close as a result. either cascade that change down from the master item, or given the ability bulk edit the detail items (tasks, in this case)

  • I'm with this group as well.  Several of my activity sets are simply like this:

    * Follow up 1

    * Follow up 2

    * Follow up 3, etc

     

    If a lead converts to an opportunity before the first follow up (happens a lot), I have to go into the lead and manually delete all the tasks.  Would love to just check all and delete.  I don't want to mark as complete either because I didn't do them (i.e. they were unnecessary).  

    I would LOVE this functionality!

    Absolutely must have feature. I'm on board with Rachel. As admins, we should have the ability to select and delete multiple tasks on a lead, contact, opportunity or project. This would make life MUCH easier for us. Also display an alert box to confirm deletion.

    Also on board with Alan - in most cases if a lead converts to an opportunity before the next required tasks, or if a Lead fails before the next tasks is needed, after I convert or close the lead, I'm stuck with deleting multiple task of that specific lead singularly (takes forever, very tedious, slow refresh rate on screen after confirming an action).

    It would be awesome to be able to remove the multiple tasks 'of your choosing 'associated with the lead you are closing them out. Steps could be:

    1. User changes 'Lead Status' to 'CLOSED-Disqualified'

    2. Upon clicking [Save], system checks if there are any tasks associated with the Lead. If no, normal action of closing the lead occurs. If tasks are found, user is presented with dialog 'Would you like to delete tasks associated with this lead?' with either [Yes] or [No]. If [No] is selected, dialog box closes

    3. If [Yes] is selected, a new overlay should display showing all tasks associated with the lead (Lead's name up top should be helpful to make sure we know who we are deleting tasks from). Each task should have an un-selected check box by it. Another unchecked 'Select All' check box should display in the first row above all tasks or something similar.

    4. Once user selects tasks they'd like to remove, they can either click [Remove Selected Tasks] or [Cancel]

  • Here's another resounding '+1' for this feature request.

    I use activity sets with ~12 tasks for new contacts. Sometimes shortly after adding that activity set, I'll learn about a more appropriate contact to prospect to. When that happens, I have to manually delete all the tasks set for 'Contact #1.'

    A bulk-modify feature would seem like a simple solution across Insightly's platform.

  • This is a big problem!!!!  I hope it is being worked on because this issue could be a deal breaker.  We are still in testing stages of various CRMs and this function (or lack of) has us worried.

    The Problem:  After a Lead is Converted to a Opportunity, all of the individual tasks from old Activity Sets (e.g. Prospecting) stay intact despite that they no longer apply.

    The refresh delay esp is unbearable if have 10+ tasks to delete.  CRMs should save time not waste it!!!

    Please make this fix a priority.  The entire platform is borderline unusable because of this issue.  Is the solution really to delete them 1x1 using the little trash icon?  Doesn't that seem unacceptable?

    Insightly PROJECTS consist of a confusing array of nonintegrated tasks and processes.

    For instance here are 5 examples to this:

    1. After finishing all tasks in a pipeline stage the PROJECT does not automatically continue to next stage (another discussion on this exists). Adds more manual work to the user.

    2. The tasks of the pipeline stage will not appear before entering the stage. Causes less overview for the user. One would want to know the later tasks of the process.

    3. Switching to a stage the second time causes all tasks of that stage to be duplicated. It is a daunting task having to run a manual duplicate remover because one would like to check what's coming up in next stage. Not all projects follow a straight linear process.

    4. As mentioned hundred times in this thread, there are no easy way to delete tasks.

    The fastest way of getting rid of all tasks is to manually mark them as solved under the contact, which is a wrong thing do because it generates incorrect data among co-workers. Imagine this situation: "Did you really call Mr. xyz 5 times?". Answer: No, he signed up after the first call so I quickly checked all other followups!

    5. One can not set a manual due date for generated standard tasks within a project pipeline. I really hope that I am wrong in this assumption. Having that said, I don't see this option in the standard tasks of my project pipeline.

    Conclusion:

    Insightly does not facilitate a super efficient fast-paced execution of simple projects. Start-ups are depending on a CRM to do sales prospecting and to get an overview of the projects in the cloud.

    Sales prospecting can be set up in Insightly, however, the project management tools are lacking substantial functionality when it comes to 1) designing workflows 2) updating work processes 3) getting a quick overview 4) set reminders and due dates. Additionally the auto-duplication of tasks set in conjunction with the lack of utility to delete them just adds so much redundant work to a small team.

    For now, I'd go with a googlespreadsheet however I look forward to check for CRMs in the future. Feel free to write me an email or answer here if you think that there is a part of Insightly that may work better for this purpose.

  • I have many many "orphaned" tasks---tasks with no linked contact. There is simply no easy way to purge these.

    Imagine how easy it would be if there was Filtering capability on the Task List screen. Filter where linked contact is blank, select all tasks, and delete! But alas, there is no filtering capability.

    I have no idea why Insightly won't beef up the Task management functionality. There are so many users begging for this stuff going back years!

  • Almost 2 years later, I have come across the same issue. Oppotunities closing for whatever reason, leaving behind orphaned tasks.

    The bulk select feature found in the Tasks window would be a welcome addition to the tasks section of an Opportunity. Then at least the use could bulk close orphaned tasks where they are all grouped together. As the OP said, weeding out the tasks scattered through out the tasks list is a pain. Currently the interface in the Opportunity task window allows the user to close a single task at a time, with a screen refresh between each, it is slow, and frustrating.

    I find this is required when I've added an activity set and then for whatever reason, the contact changes course and I no longer need to complete the rest of the tasks.  Would love to be able to delete multiple.  Especially, when deleting one tasks takes me back to the home screen and I have to go back into the contact, then click on the activity, select the activity then delete.  Once deleted, it takes me back to my home screen.  Very tedious and time consuming.

  • Completely agree - this issue is costing me so much time. What is the point in saving time using Activity Sets if you can't bulk delete once for example your first follow up call is completed successfully having spoken to them and a new course of action is needed. 

    I've read through all of the comments and I cannot see anything constructive from Lyla T. at Insightly saying that this is being worked on.

  • Has everyone noticed that Insightly has done something about this now?

    They have now added a tick box to swiftly 'complete' a Task. You can also expand the 3 dots to the right of this and 'delete the task' (note this could be done before but you would be kicked out of the Contact Activity screen afterwards) and you are no longer kicked out of the Activity tab for that Contact. 

    If you have quite a few tasks to delete (no longer relevant tasks) I find the best way to do this is by creating your own filter in the Tasks section of the CRM. 

    I've created a Task called 'Contact Activity' and the filter commands I use are:

    Filter by: Linked Contact

    Operator: Contains

    Value: <INSERT CONTACT NAME/PART CONTACT NAME>

    I then change the Value each time I need to delete many tasks for one contact. 

    I've found the updates from Insightly have made the use of the CRM much quicker and I'm actually smiling as I work!!! Thank you
