Custom Fields not saving during an import of Organizations?

Hi there! I'm uploading data from an Excel spreadsheet to my organizations, and the 4 custom fields I created are not saving. During the import process I match up the fields and the data as I should, but after the upload the fields have not been populated: all four are empty.

The custom fields are saving when I do contact uploads, so this appears to be something particular in the organizations area. Can anyone help me, please?

  • Hi - wondering if you were able to troubleshoot this?  I'm having the same issue!

  • Hi Justine!

Ben had multiple tabs on his file which was causing the issue.

Do you have the Custom Fields within the same file?

Have you converted the file into a csv format?

Does your Organization file look similar to our sample files?

Are your Custom Fields under the Organizations and not the Contacts within System Settings?

  • I don't have multiple tabs.

I have Custom Fields built within Organizations.  I originally imported the Organization data, and now want to import the Custom Field data.

I have the file in excel - should I convert to csv?

  • Hi Justine,

Yes, can you try converting it and see i it makes a difference?

  • I tried that, and it still did not import.  Other ideas?

  • Hi Justine,

I apologize for the confusion. Are you importing the Organizations and Custom Fields together? We don't have an update import option. You will not be able to add data to existing records via an import. You can remove the first import and re-import the Organizations and Custom Fields as one file together. Or you will need to manually update each record.

If you choose to import your CSV make sure the Custom Field in your file matches the Custom Field you entered on your Insightly account.

  • OK - so just to make sure I'm clear, if I update my spreadsheet to include ALL organization information and ALL custom fields, I can import that new file.  Do I need to delete all of the organizations from my first import BEFORE I import my new file?

  • Hi Justine,

Yes, you will need to import the Organizations since Insightly will not import duplicates. Let me know if you have any trouble. :)

  • Thanks for the quick response!  What do I need to do with the existing organizations I already imported?

  • Hi Justine,

I apologize about that. You would need to remove/delete those organizations.

  • Thank you - is there a way to mass delete the organization?

  • Hi Justine,

Yes, you can select all and delete at once. This screenshot should help:

  • I am having a similar problem - only 2 of the custom fields are populated when I import an organization.

I have imported and deleted several times and have tried using a CSV to no avail.  Where the fields are numeric I have check the data but some of the text fields are not being imported.

Is this an issue with the Trial version, not actually being a full trial version?

  • Hi Paul,

I'm sorry to hear you're having trouble. The trial version will not cause some of your fields to not import correctly. Can you confirm that your file appears like the sample import? Can you share a screenshot of how you're mapping your import?

  • Thanks.  My file does not have all the fields listed.  I am not clear how the sample file referenced would assist with the custom fields, because the sample does not list any custom fields.  My understanding is that insightly can do a mapping to the fields (it correctly maps all fields except most of the custom fields and only maps 2 custom fields).  I have included below a screenshot.

  • It looks like you've had a lot of feedback on this issue, the only SMALL suggestion I might make is to change your headers to MATCH what's in Insightly, even if they are already mapping it might make a difference? Like I said, it's a small suggestion but it might be worth a shot!

  • Thanks Amanda.  That wasn't the problem - the two that are importing are aren't named exactly, but some of the others not importing are.

I have looked at the two being imported and they were the first two that I setup in the system.  I don't believe that is a coincidence that some plans have a limit of 2 custom fields and I can only import 2 custom fields.  I am 95% sure this is a bug with the trial.

  • Hi Paul,

We haven't come across an import bug and after some testing I'm not able to replicate it on my end. I'm going to open a Support ticket for you so you can forward us your import file to review.

I'll keep the Community updated with what we discover and the outcome.
