Using Insightly with Two Separate Businesses
I am brand new to Insightly. Still checking it out for my needs, really. Thing is, I have 2 separate businesses, in scope and nature, with different contacts and histories with those contacts to keep record/track of. How would I manage that with this software? 2 separate accounts, somehow? Different sign-ups, logins, etc.? Would my name being repeated on 2 accounts cause a problem, etc.? Thanks! Brian

Hi Brian:
You can have multiple instances of Insightly, one for each business. This is actually the best way to keep the contacts separated. I recommend registering a different email address for each account and that you bookmark the Insightly URL that is created for each account. By doing these you can be sure to log into the correct database.
Alternatively, you can use one account and group the records together by using Tags or one of the other grouping options that are part of Insightly.
Does anyone else in the Community have experience with using Insightly for 2 separate businesses with tips or preferences they can share?
Hi Lyla,
I'm not sure if this is off-topic, but feels related. I actually created an account for my personal use to try it out. But now my boss gave me permission to use it for work. So I'm wondering if it would make sense/be a best practice to go ahead and create a new account linked to my work email?
Based on your answer to Brian, it seems like it won't be a problem to have my name in your system twice, but with two different emails. But I just wanted to make sure there weren't any other considerations I hadn't thought of.
Thanks!
Katya
Hi Brian,
The question is how do you communnicate from these 2 companies now? Do you have 2 mail accounts both with ther own login?
Do you need to seperate the information from each other (not all the users may see all the company's)?
I also have 2 company's and I use 1 Insightly. When I save an e-mail to Insightly it is automatic linked to the right e-mail adres so I can see from which e-mail and company the communication was done.

Not off topic at all Katya!
Having 2 accounts is not a problem if you want to keep your databases separate. If you only need one account and a new one hasn't been opened, you can update your email address.
When you have 2 accounts, the main thing you want to be sure of is that you are logged into the one you want to work in. Otherwise you'll have data in the wrong account and would have to duplicate your work :(
So keep track of the Insightly URL and we recommend using one account in one browser type and the other in another browser type to prevent any confusion by the browser, we've seen this happen.
Hope this provides some guidance.
Brian,
I think it is important to consider the future of each business. If you are a solopreneur or have staff that run both ventures for you, it can be simpler to keep everything on one account and implement a tagging system. If you have a larger or separate teams, or plan to sell or hand off management of one of the businesses I recommend separate accounts.
Brian,
You can also use a custom drop down field to help you filter through your records. We recommend using this method because with Tags you can sometimes get inconsistent results considering it is a free field and users can sometimes misspell the wrong name.
Thank you,
Micah
I have 2 distinct businesses and use 2 separate Insightly accounts. Yes, both are paid accounts, both on Google Apps for Business. Using the Chrome Browser I can have 2 separate login windows open simultaneously, one for each business. For me, it keeps everything separate and clean, and I can keep emails and calendars clean.
how does it work?
Hi Michael:
There are 2 different kinds of Insightly accounts - Standard (Non-Google Suite) and Google Suite.
When you have multiple Insightly accounts you'll want to take note of the type of account you have. Steps to log into each type are outlined in this article How to log in to Insightly
When signing into a Standard account you'll want to be sure you're using the correct Insightly URL.
For signing into Google Suite accounts, using the 9 grid is the recommended way. Using the 9 grid ensures you are starting from the correct domain.
I remember that it had worked just a few weeks back in time....
Hi Michael,
This is quite common if you're using the same browser for both Google Suite accounts to get cached. The best way to operate with two Insightly Google Suite accounts is to use two separate browsers, one for each. Otherwise this may continue to occur.
I also have two completely different businesses and partners for each business and am considering Insightly as a platform for both. Being able to have two separate logins would be helpful. However, a follow up question to this would be whether you can use the Insightly mobile app and log in differently for each business or if you could use the mobile app for just one of the businesses? Can the mobile app be used with both Insightly instances and businesses? Thanks!
Hi Manny,
I have the mobile app and I have 2 separate businesses (separate log in) Because the mobile app caches data, it takes a little while to switch between the businesses, it is not an easy and quick context switch like the web based platform. If you just need to select which mobile account you want, say for the day, it works well, but if you want to switch often I wouldn't be happy.
Is anybody using two Insightly accounts and OutLook? I have multiple businesses and am happy to pay for multiple accounts. In outlook I have multiple email accounts, so email will come in to the correct account. If I want to add contacts to Insighty, will it add them to the correct account based on which account I am opertaing in?
@Bob: Multiple Accounts without log off/in are possible in G Suite environments with Android via MDM. Just activate Mobile Device Management with Android for Work and create a work profile on your mobile. There I have a 2nd instance on my tablet #bestpractice
