Email from insightly under an email alias

Can I set up insightly so that it is linked with my gmail account but it sends emails from an alias?  If so how does it work?

  • Hello Rick:

When sending e-mails directly from Insightly, you are only able to send e-mails from the e-mail address you use to log in to Insightly. There is not a way to work with an alias or subdomain.

  • With the new email integration, alias is not supported?

  • Hi James,

With the new email integration you will be able to send emails from a different email alias. You would simply need to add the email address under User Settings > Email Accounts > Add Account.

    I hope this helps!

  • Nora,

Could you be more specific please?  With your instructions you can add a gmail account, basically the email with the domain registered on Google Apps but how to add alias domains registered under the Google Apps account?  I don't see this anywhere.

  • Hi Davide,

I just asked our engineers regarding your question and this is not available. I apologize for the confusion.

  • Please make it possible. Other programs can do that, too.

  • Wait, you have actually removed the old functionality???? it is not longer possible to send emails care of insightly? Everytime I click the email for a contact, it insists on adding an email account... But my gmail has two different business accounts and the alias is the one I must use for insightly emails. But you have not allowed aliases?! This has broken your mail system for those who use gmail aliases...

  • Just allow the old functionality please asap (ie send emails from the account you use to sign into Insightly)... I need to port over to a different crm asap otherwise, as I need to get emails out today.

  • Hi James,

We will not be reverting back to our old email function. I apologize for the inconvenience.

  • I am cancelling my account, and I want the $35 for this month refunded asap. You have made the app completely unusable for anyone who uses aliases and I am in the process of rapidly porting my data over to a different crm.

  • You made these changes 3 days into a new billing month for me and breaking the crm as you did for anyone who uses this workflow means a refund is the least you can do...

  • Hi James,

I wasn't able to find an account for you using the email address you used on our Community. I definitely want to assist you, so I'm going to create a support ticket for you.

  • Hi James,

    Thanks for following up.

You mentioned you were previously able to add and email through an alias. What steps were you taking? Currently you can add multiple email addresses. Have you tried adding your second email address? Google offers a great article: Add a domain or a domain alias.

If you would still like to cancel and request a refund, please respond to the Support ticket that was created. The steps to cancel will be provided and your refund request can be reviewed as well.

  • No. Please reread my comments. The email system before the update allowed you to send an email via the email address you use to sign into insightly. This functionality no longer works. Instead, you need to add in a gmail account and send emails from there. That is all well and good, however, I use an alias (secondary email) to my main gmail account domain. Insightly does not allow aliases as per your April 12th comment. So, the old functionality (where you could send emails from any email address) was removed and replaced with a system that allows no gmail aliases. Its a massive oversight on your devs part. I will be requesting the refund, unless this is resolved by the weekend, as I cannot afford to wait any longer to port over to a crm system with full gmail support.

  • Hi James,

You can still send an email from any email address.

You will need to go to User Settings > Email Account > select Other

You will need to ask your email administrator to provide you with the server name, port information, and SSL requirement. Insightly will verify your email address and send a confirmation email to your inbox

  • Thank you for the refund, however, please stop confusing the issue in this public thread. As discussed in my support thread, gmail aliases do not allow bidirectional STMP access through that Other option you highlight. Just be clear, gmail aliases do not currently work on Insightly, there is no work-around, and no timeframe for this being supported. I have moved to a different crm which does support this.

  • Hi James,

As mentioned to you, we previously would look at email addresses which would allow any and all emails to be used while now we only look at email accounts which will only allow the main email address.

    Best of luck.

  • Hi All,

Some issues with the mail integration

    1) alias' aren't supported and I use a gmail alias to send most of my mail to customers.  Could you please add this feature?

    2) the mail sent by insightly is flagged as SPAM by some systems.  I have tested this and the same emails sent directly from gmail are not marked spam and the same email using mailtrack to track opening are also not marked spam.  Could you please investigate?

For now I am sending directly from gmail and cc'ing insightly, but this provides no tracking.  I would also note that when I initially signed up (via my gmail login) emails being sent by the email alias were not being properly recorded in my account.  I fixed this by deleting my insighly account and signing up via my alias email address and then adding the main gmail account as an email address.  I guess this solution will only work if you have 1 alias, and doesn't allow for integrated tracking.  Given that mailtrack has a gmail chrome extension, can you please add mailtracking to the insightly gmail chrome extension?

  • Hi Gerwin,

I'm sorry to hear that. We do not have plans to have an email alias availability in the near future.

  • As others have suggested in this thread I too recommend Insightly add the feature to use alias emails. Is this on the drawing board? What's the likelihood of this ever happening?

  • Hi Chris,

To keep up to date on this feature you can follow these two threads: Need email alias & Alias emails inside emails

  • Hi Nora... is this even on the radar with Insightly? I've been trying to add email alias via "Other" in the user section but not having success... is that route even possible?

Please let me know if this feature is being discussed as something Insightly is looking to implement soon; or, if it's just not something Insightly is taken seriously or has any interest in adding. Thanks for your help.

  • Support for Google aliases is so basic and absolutely essential for my company as well. Insightly was looking so good until we hit this. How is this basic feature and normal part of Google apps integration not available or even on the roadmap?

Thanks Chris for trying to offer a work around, but that is incredibly complex and hard to follow.

Insightly, if you are claiming to integrate with google Apps, this is a fundamental part of Google Apps integration. The rest of your platform looks so good.
