How do I view a forecast report?

I'd like to see the next 12 months with a value in each month which is essentially the value of all opportunities with a forecast close date in that month, times by the likelihood of winning the opportunity. Does this report exist?

  • Hi Ben,

Insightly doesn't offer this type of reporting, however our new integration with Microsoft Power Bi is very robust in it's reporting style and also offers graphs and charts to represent your data visually as well.

I would suggest taking a look at the integration, it's easy to set up and a free tool!

Here are a couple of helpful resources:

  • Thanks - I tried this but there doesn't appear to be a relationship between Opportunities and Opportunity_Close_Date. When I select Month_Name from that table the column is blank against all of my opportunities.

  • Hi Ben,

You may want to try our Legacy Reports >  Opportunity pipeline stage report > select the pipeline name > select by month for each.

  • Thanks Nora but I really need a quick way to generate for the year.

I'm more than happy to use PowerBI - it does what I need - except for this bug which doesn't seem to link "Opportunities" and "Opportunity_Forecast_Date" tables. If I select:

    Opportunities: OPPORTUNITY_NAME

    and

    Opportunity_Forecast_Date: MONTH_NAME

I would expect a results list that has something like

    OPPORTUNITY_NAME  |  MONTH_NAME
    Example opportunity       |  June
    Another Example            | August

Instead I get that table with a blank MONTH_NAME column for all opportunities, even though they have forecast dates. If I do the same thing, but with Opportunity_Close_Date it works as expected.

Is there an ETA on a fix?

    Thanks,

    Ben

  • Hi Ben,

Can you try going into the "Opportunities" filter group in pw and bringing over "Forecase_Close_Date". This should be the proper field to bring into your report to give you the correct results.

Apologize for any confusion, hope this helps!

  • Thanks Alyssa, but that doesn't appear to be working.

I have the following selected, but the MONTH_NAME column is always blank, even when a FORECAST_CLOSE_DATE is present in the column next to it.

As I said above, if I do the same thing with close date it works perfectly, so something seems to be wrong here.

  • Hi Ben,

This reporting functionality error has been sent over to my support team to investigate further! Hopefully they can quickly resolve the issue at hand.

  • I'm considering adopting this CRM for our company, but this is a critical feature we need that is currently non-functional. It's unfortunate because the functionality is all there I can see (as Ben helpfully depicts above), there is just that silly bug that is preventing certain data points that are already in Insightly from appearing as intended in Microsoft BI, which is stopping this from happening. Really, if the only data point that is fixed is the one that allows us to segment Date Forecasted by month (right now, we can only segment it by day, because the Month value is not transmitting successfully into BI even though it says it is there), then I think both Ben and I will be all set with this key feature.

Any chance this will be fixed soon? If not, is there any other way to achieve this functionality?

If not, unfortunately I don't think we can adopt Insightly, which would be a shame because otherwise I really like it.

  • Hello Andre,

This fix is currently on our development team's radar and they are investigating the issue. We hope to have a solution soon, however there is no ETA at this time!

  • Just as some feedback we are currently shopping for a new CRM to move away from Insightly, due primarily to this thread. It's been 2.5 months since the bug was raised, which is too long for us to get a "no ETA" reply.

As a software development company ourselves, the golden rule is to fix all bugs before you even consider developing a new feature. It's been a really frustrating experience for us not to be able to generate a relatively simple report without doing a lot of manual Excel work, and Insightly doesn't seem to be that bothered about responding to issues quickly.

Add to that the issue that your Outlook integration doesn't perform simple tasks like letting you link a new email to an existing opportunity.

It's a shame because otherwise the product is reasonably good, but we just feel like the basics are being overlooked.

  • Has anyone been able to resolve this?

I just did a massive project to get my whole firm to agree to use insightly and now seems like this vital element is missing.

I am using Power BI and it just wont give me a monthly forecast with weighted revenue!

Come on insightly surely you can fix this one easily.

Alyssa A. and Nora D come on it has been over 6 months since a frustrated sounding Ben and Andre asked for help where is your response?!

We should all take to twitter...

  • How can you expect anyone ANYONE to use a sales tool with 0 forecasting functionality.

How is this not a top priority for you?

  • Hi all

Have been looking for alternatives to insightly.

Team leader seem like they have a decent support offering at least rather than just ignoring posts.

    Still nothing from insightly...

  • Hi Jacob and All,

I'm pleased to announce that with the release of our new feature, Charts in Reports, you will now be able to create a Monthly Forecast Report.

Here are the steps to create the report:
    1. Open up the Opportunity Report template
    2. Customize the report fields that are displayed so that at the very least the following fields are included on your report
-Opportunity Name, Date Closed (Forecasted),Expected Revenue
*Other fields to potentially add are Opportunity Value, Probability, State/Status, User Responsible etc

    3. Add a Summary Row to your report so that Insightly can calculate the total expected revenue for all opportunities (This is going to be helpful so that the chart you create can breakdown this total by month). I would suggest adding "Total Expected Revenue" as the field label.

    4. OPTIONAL: Add a filter for State/Status so that the opportunities included in your report are only those that are actually want to include. For example, I am filtering for OPEN opportunities because I don't want to see ones that I've already WON, or set to Suspended or Abandoned

    5. Add the "Date Closed (forecasted)" field into the Group area by dragging and dropping the field name up to where it says "Group records by dragging and dropping a column header here".
*When you add a field to the grouping area, this field becomes the X-axis of your Chart

    6. Click on the Charts button on the far right hand side of your screen

    7. Select the Chart Type that you desire. Typically a bar, donut or pie chart are going to work best. Then give your Chart a title, such as "Monthly Forecasted Revenue". There is a dropdown field next to X-Axis, choose " Year + Month of Date Closed (Forecasted). Leave the Y-Axis as "Total Expected Revenue". Press the "save chart" button.

    8. Now your chart will display on top of your report matrix and give you the total expected revenue of all opportunities that are forecasted to close in the indicated month.

Hope this helps! We are also re-opening an investigation into the older issue with PowerBi.

  • Hi Jacob,

Sorry you feel this way 😞

Initially there was no ETA for a fix but Alyssa was able to come up with an alternative solution when we released the ability to create a chart in a custom report last week. We do try to reply to all Troubleshooting questions as quickly as we can and apologize again if you felt that we left you hanging in any way.

  • This report does not spread out the revenue across the months it is forecast to come in?

  • Hi Gary,

It assigns revenue to the date that the deal closes.

  • Hello !

How do I set up a reduced forecast report, that would consider the Probability Of Winning ? The output should be a summary of Opportunity Value forecast for each of the upcomming months, multiplied by the Probability Of Winning.

    Thank you.

  • Hi Jan,

The opportunity report has a column called expected revenue which automatically multiplies the opportunity value by the probability percentage. The sum function will give you the total. As for getting opportunities grouped by month using the forecast close data, you would most likely need to create separate reports for each month.

If you have Insightly custom dashboards, then you could build a calculated value using the forecast close date data to extract the month/year and group by month. The 'sum (expected revenue)' value is also already given in the dashboard card.

Here are some resources for converting the forecast close date to Month, Year format:

    https://support.insight.ly/hc/en-us/articles/360000549987-How-to-create-a-calculated-field-for-an-Insightly-dashboard-card

Change dates to Month, Year format
    FORMAT(CONVERT(datetime, "Forecast Close Date"), 'yyyy/MM')

Let me know if you need further assistance!

    Thank you,

    Micah Feldkamp
