Reports?

Is it possible to make a report that just has Name, Organization, task, and details?

The reports have some great abilities but is lacking by actually being able to add a few items to certain reports. 

I would also like to remove my name from popping up on the report as if I was contact.

  • Hi Melissa,

    Thanks for those link but I actually looked at those already. The problem is the, for example, the Contact Report does not have the option of adding "task" or "details" to that report. The Contact Activity doesn't have the option of adding an "organization."

    Does that help describe the question a little better?

    Each report has bits of information and customizing it still doesn't allow for the missing parts.

    I will talk about the second part of my question after we look at the first part.

    Thanks for the clarification. i do not believe you can "customise" to what ever report you want. There are lots of options - as you can see - though not creating outside the parameters listed.

    Thanks for clarifying cause that was the issue I was faced with and that's 2 votes (ha). 

     

    I took a screenshot to help illustrate my second question. As you can see in the screenshot, my name always pops up as if I was a contact. Since I am sorting by just my contacts, there is no reason for my name to show up every time.  I have a feeling I already know the answer but I had to check.

    I created the same report and my name comes up as well  - if I initited the activity. According to the screen shot you sent, it appears you were one of several that did an "Oilpro job posting offer". What do you think the answer is?

    That's correct, I did and you would get the same result by doing it.

    I guess my confusion is that if I (Brad) am running a report of "just my contacts or contact activities," why is the system making me or adding me as a contact if I am already running a report for my contacts. I guess it seems like it would defeat the person of using the option "just my contacts." 

    I can understand if I was creating a report with the entire team so I could see what team member contacted what lead or person.

  • It does make sense. You are saying  -  'i am wondering about my contacts activites, not my own."

    I still not sure thre reason why it is happening. Can you use the report even with your name included? That may be the workaround fro this one.

  • I probably won't use it cause when you document a full day of contacts and details, the person's name (in this case mine) shows up so much, it doesn't make the report that useful.

  • I have the same question as Brad. My name and organization get added to the database by virtue of being on the emails that are copied to Insightly. If I delete them, am I at risk of deleting the associated customer data that was extracted? If I don't delete my name and organization, how can I filter reports to exclude them?

     

    This seems a pretty fundamental requirement...

    Firstly, yes, if you delete your name and organization, you are at risk of loosing associated data https://support.insight.ly/hc/en-us/articles/204248090-Deleting-data#deleteone. You will see when you delete, you will get a warning that the item  - usless you have cloned and name something else - it will will be completely deleted.

    Second, have you tried setting up a report using the specific paramaters your are - or are not looking fo? Here is a great guide to do that.https://support.insight.ly/hc/en-us/articles/212879267-Video-Creating-Advanced-Reports

    Thanks. I can exclude my organization in the Opportunity Activities report by filtering on 'Organization Not Equal To (my org)'. But this exposed a different problem: the activity 'Email' is automatically associated only with the Contact name and my organization, not the Contact's organization when I forward an email to Insightly. So I need to manually link the activity to the customer's organization, and delete the link to my organization in order to get a good report. Is there a way round this i.e. can the email parser pick up the Contact's organization and link it automatically?

  • I don't think it will link automatically. When you forward an e-mail to Insightly,  unless it is associated with a Project or an Opportunity (P or O), it will be forwarded to the "Home" tab on the left of your screen. You then need to manually go to the contact that you would like the e-mail connected to.

    If the e-mail is associated with a P or O, you are given a designated e-mail for that project or opportunity (found in the 'About' section of the P or O).
