Creating groups

 Hi there, I am trying to put my customers, prospects and team members into different groups. How do I do this so i can easily search for them?

  • Hi Mike,

    This really depends how you're needing to search for your groups.

    You can create Teams so you can assign Tasks or viewing permissions for certain groups to use. You can also add a Tag so you can quickly group and label them. You can also choose to create a Custom Filter in order to search for a group.

  • These are not people inside my organisation. I don't need to be searching all the time but instead add a dropdown box where I can click on customer, prospect, other etc. What is the best way to do this please?

  • Hi Mike, if you want to divide your contacts by customer, prospect, other etc, the simplest way to do it is by using tags like Nora suggested. Then when you click the tag in the right hand pane on the contact list page it will only show items with that tag. Or, if you have more complicated multiple search criteria, then you might create a custom filter and save it for later use. You can do that under the filter menu – create new filter. You can filter by tags by specifying what the contact tag list "contains".

  • The Teams feature has disappeared as an option as shown above. Like it no longer exists?

    If you have Advanced Permissions turned on, the option to create Teams will no longer appear.

  • I have a follow up question to Mikes question. What if I have multiple levels of groups of contacts. For example, for my group of vendors, I have sub categories of retail vendors and commercial vendors. How can select the group of retail vendors using filters?

  • Hi Abhishek,

    That would depend on how you were grouping those vendors.  If you were grouping them based on tags, you could click on the tag in the menu on the right hand side of the screen or use the filter for Contact Tag list contains ____, where the blank space is the name of the tag you want to filter by.  

    If you've been grouping your records by a custom field value, you can simply filter by the custom field data instead. :)
