Sort by LAST name

Most of the world have for 6 or more decades always filed their contacts by last name, first name.  This should not have to be a special filter.  Surely a sophisticated CRM like Insightly  has this functionality but I just don't know how to do this.

I would very much appreciate your assistance on this.

Thanks,

Ron

  • Hi Ron,

You're in luck, there's a setting for this! If you click on your user icon in the upper right corner of the screen and then select "user settings" from the menu drop down, in the "Contact List" area that appears on your screen you can select if you view and/or sort by first name, last name OR last name, first name. This change will only take effect for your login, so if you have other staff, they'll have to make this change for themselves.

    I hope this helps!

  • Hi, Maggie.  I did as you said, opened User Settings and got the following left-hand menu:

I don't see anything related to "Contact List".  I opened each of the menu items above and did not find anywhere I can select a sort/view of contacts.  Sorry if I'm being obtuse, but can you please explain it a little further.   Thanks.

  • Hi Ron, Sorry, I was unclear. In that menu it should be under "user settings" it'll change the center bit to read "Contact List." I've taken a screen shot of what I see when I click on "user settings." If your screen doesn't look like mine, then this problem might be out of my league.

  • Maggie, I have that same question, when i follow your instructions given above the first entry on my user setting screen is "email address links in insightly" - on your screenshot contact list appears above  "email address links in insightly" but on mine its simply not there, suggestions

  • Hi Maggie, I'm having the same problem as Allen. I have no "Contact List" settings above the "Email Address Links in Insightly" settings. I am the administrator of our account, and administrator is "checked" on my User Details screen. How do I change the contacts view to sort and display names by Last Name, First Name?

  • Hi Allen and Scott,

I'm afraid I have no idea why your screen would look different from mine. I'm hoping someone from Insightly will tune into this thread and give an explanation.

  • Hi Maggie,

Thanks for the reply:) I reached out to insightly support too, and they've shown me a way that will work for me. Here is the reply:

    "Hi Scott,
Thanks for reaching out to us!
You're using the New Insightly Experience, so yours works differently to Maggie's system.
For you, you will need to set up a Custom list view.  You can do this by following the directions below:
    1. Click the gear icon at the top of the screen and then click Add New List View
    2. Name your list and set your sharing settings
From there, you'll need to add the Last Name column to the view by clicking the gear icon and then selecting Change Columns from the dropdown list.  Once the Last Name field is in your view, you can sort by last name alphabetically by clicking on its column header.
The steps are also listed here: What has changed in the New Insightly?"

I am not completely happy with the solution yet though. I can now sort by last name with a custom list, but it appears I can't hide the default "Full Name" column unless I shrink it's width manually. That might be acceptable, if the view would save so that I didn't have to do it again every time I open or refresh the custom list, but for now, my list view will be "full name, last name, first name, etc." which is, of course, very redundant and takes up a lot of screen real estate.

  • First of all, where is this wrench mentioned in the Support Instructions?  I can't find it at all.

I keep saving the "Last Name View", but I still have to sort it EVERY TIME.  Is there a way to remove "Full Name" and set a sorting view that works without all the extra steps?

  • Hello Izzy,

I provided a screenshot below to show the "gear" icon. The gear icon can be found when selecting a Record tab at the top right corner:

At this time Insightly does not provide the option to save the sort you've selected for your "List View". And, the column "Full Name" is not removable from your List View.

If you like you can submit your ideas to help improve the Insightly experience for our users on our Ideas & Suggestions page, which is monitored by our Product and Engineering teams. Your fellow Insightly users can vote and comment on the idea, too. In general, the more activity a request receives, the more likely it is to be considered for implementation.

Thanks for the understanding and your time!

  • Alejandro,

I was looking for the "WRENCH", not the "GEAR" -- trying to follow the instructions from the Help Center, but I can't seem to follow the instructions because the "WRENCH" and the filter option under "USER SETTINGS" don't exist.  When will the Help Center instructions be updated and why are they incorrect in the first place?  Also, it says all trials and paid accounts have email support, but what I read on Friday said the opposite.  How do you use the email support (See below)?

EMAIL SUPPORT (Included in trial and all paid plans)

With Email Support, you get a reply within 24 hours during Insightly business hours, 8am to 4pm PT, M to F.

  • Hello Izzy,

Please provide the help article you are referring to. And, yes all 14 Day Free Trial & Paid Insightly Accounts have Email support. To submit a support ticket:

    1. Sign in to the Help Center using the link at the top of the page. This is not your Insightly login. If you don't have a Help Center account, create one using the same email address you use with Insightly.
    2. Click Submit a request and enter the subject and description of the issue. You may also attach files to your request.

  • Hello,

Is there a way to do the same for the leads?

Also, how do I create a list I can print of the leads or contacts?

    Thank you
