Sending Email To Contact As Part of Workflow

Hi Guys,

Insightly has a very powerful tool with the Workflow Processes however its missing one key ability. That ability is to create workflows based on lead, opportunity and project conditions.

For example, my company sells medical devices, and our cost per lead is quite high. If we quote a customer but lose the sale we like to check back in with them every three months after losing the sale. This allows us to build a relationship with them for future needs. 

Currently, I can set up a task to remind the sales rep every 3 months after the opp is marked closed lost, but it would so much easier and save so much time to be able to fire off some e-mail templates instead. Please add the ability to e-mail to a contact related to the Lead, Opp or Project.

    I believe this was added recently or will be in the near future. You will need a custom email field in the Opportunity/Project record and map the data from the Converted Lead.  

    If you want to send an email to the linked Contact instead without the use of the custom field in the Opportunity or Project record, then you can use WFA to add a webhook when the conditions are met and send the webhook to Zapier to email the linked Contact. You may need to use the Zapier Formatter App to extract the Contact ID from the data in the webhook, then you can search for the Contact using the Record ID, get the email address and send the Lead a templated message using variable inputs from the Contact and/or Opportunity/Project record(s).

  • Thanks, Micah for the info. 

    I did as you said and added custom e-mail and phone fields to the opportunity and then mapped them from the lead on conversion, however, the workflows still do not provide the option to select the custom e-mail field when creating an e-mail workflow. My only options are Object Users or Users.

    My apologies. I think that specific feature will be added later in the next release or the one after, but it's definitely on the roadmap to be able to email from all major record types. 

    In the meantime, please use the second method I described with Zapier and Webhooks. I know for sure this will work. If you leave the custom fields mapped like you currently are doing, then you will not need to use the Zapier Formatter App to extract the Contact ID to get to find the Contact's email address as the email address is already in the Opportunity record. However, you may need to use the email extractor utility in the Formatter App to extract the email address, which is three less steps in your Zap saving you more "Zap Tasks". The email extractor is dependent on how the data is given to you from the Insightly Webhook. Last I saw the custom fields values are grouped into an array and the email extractor can be applied to that field value.

  • Hi Gary,

    This feature is available with workflow automation if you have a custom contact relationship lookup field in the object, but we still cannot email from the actions menu in the organization, opportunity, project, or custom object record page.
