Task visibility permissions

I added a new user to Insightly, and set up a team containing she and I as team members. But under default visibility settings there is no setting for tasks. She can't see any of my tasks. How can I change this so that the default is for both of us to see my tasks?

  • Hello David,

There are two ways of controlling access to records in Insightly: Simple Permissions and Advanced Permissions. The Insightly CRM Security & Permissions Guide goes over both in detail.

Simple Permissions are set up for Admin and Standard user profiles only. With Simple Permissions, the visibility can be controlled on the record level. This is available on all Insightly plan levels.

Advanced Permissions are available to those on a Professional or Enterprise plan. Advanced Permissions allows multiple profile settings, making it a great option for admins and/or managers with teams. This allows visibility to be controlled over large groups of records to be automated.

    Hope that helps.

  • Thanks for sending, and no it doesn't help. It doesn't answer the question specifically related to task visibility. How do I set a global permission to allow a team member to see all my tasks?

  • Hello David,

I see in your Insightly Account you are using Simple Permissions via your System Settings > Permissions. To have Tasks public you'll need to go into each Task and select the Edit (Pencil) icon. From here towards the bottom of the Task, you'll be able to select the visibility which you can make the Task public. Now all users can view the Task.

  • Alejandro,

Thank you but I already knew that. What doesn't make sense is if I can select to make all notes, and other items visible to my team or everyone, why not tasks? One at a time is a giant pita.

  • Hello David,

I understand your reasoning on why it should be available in Tasks to bulk edit the visibility settings. Perhaps in a future update to Insightly, this feature will be incorporated.

Thanks for the understanding on this!
