Want to receive notifications when specific tasks are completed

We are using activity sets that auto-assign tasks when we move projects forward in a pipeline. I currently receive notifications when tasks are assigned to me. I would also like to receive notifications when one of the specific tasks assigned to someone else is completed, but I don't want notifications about all of their tasks. How can I set it up so I receive a notification of completion of that one task for every project?

Alternatively, is there a way to have the completion of a task trigger the creation of another task? I could, in this way, have the first task's completion send me a task along the lines of "Check the work of the first task."

  • Greg, have you tried using the task name as a criterion? 

    I have created a task "Test Response" with a workflow that checks for the status and task name. If the status = Complete and task name = Test Response it triggers the action.  If this is a task in your activity set then you will get email notifications only if this specific task is completed.

  • Ah ha. That seems very straightforward. What appears to be missing is Workflows in my dashboard. I looked into it, and it seems that I would need to upgrade our account to gain access to that tool. Too bad. Thanks for at least pointing me to the correct answer, Anton.

    That is correct to use and have access to Dashboards you'll need to upgrade from our Insightly Classic to our New Insightly experience web version. Are you interested in upgrading your account?

    Yes, as well to access Workflow Automation feature a user will need to subscribe to Professional or Enterprise.
