Matching & Smart Merging

I am new to Insightly. I have combed through the help before posting, but could not find the answer I was looking for. Any help is appreciated!

When it comes to matching contacts:

A.) Is there any way to create custom matching rules that Insightly uses, or are those hard-coded?

B.) Based on running my first Smart Merge Contact report, is there any way to flag two contacts to not merge, but also, not to show on the Smart Merge report again after being flagged to not merge? I have contact (John Doe) who switched to a different company. I do not want to mix & mingle all the activity related to his time at Company A under his 1st contact record with all my new activity with him at Company B under his 2nd contact record. I would prefer not to have slog through an accumulation of people that switch companies every time I run the Smart Merge report.

From this thread (https://support.insight.ly/hc/en-us/community/posts/202839964-Ability-to-inactivate-contacts) I see there is no out-of-the-box Contact Deactivation feature (which is really crazy). My company used a custom field, but w/o the ability to make custom matching rules, this field is essentially read-only.

Thank in advance for any thoughts!

  • Hi Noah,

The features you desire are not available. I wrote extensively on this topic here:

    https://www.insightly.com/blog/2018/09/top-crm-best-practices-data-integrity/

I recommend you add the word "inactive" to the contact name and see if that pulls the record out of the smartmerge report. Alternatively, as suggested in the article above, run the duplicate analysis report outside of Insightly and perform the merges manually by going to the master contact record> Actions> Merge Contact> copy and paste the duplicate contact> Merge.

Let me know if you have any additional questions.

    Thank you,

    Micah
