Task Reminders for Overdue Tasks

Does anyone have a workaround / best practice to receive overdue task reminders? I want my team to receive reminders when an individual task becomes overdue. I have tried:

-Daily report of overdue tasks. This really isn't great as the report either opens up a really clunky csv file or just takes you directly to the task module.

-Workflow where task criteria = not complete and due date = prior to today. But, this doesn't work because there's no way to keep these workflow running in the background. Someone has to edit a field in order to trigger this workflow.

Does anyone have any suggestions? I feel like I must be missing something obvious because this seems like a really essential tool for a CRM that boasts robust task / proj management.

    I do not think there is a way to have a perpetual trigger, which for me is a shame, but you can setup a workflow escalation chain using time triggers for your workflow.

    You will setup your workflow criteria to check for and then instead of setting up an immediate action you would setup a Time Trigger. This will allow you to trigger an action such as a task or email if the criteria is not met within x hours or days. But since it is not perpetual you will need to setup to repeat at specific intervals i.e. you might want to send a reminder emails 2 days before it is due, 1 day before it is due, on the due date, 1 day after it is due and then 2 days after it is due the email is send to the supervisor. For this use case you will configure 5 time triggers. The key here is that the workflow will end eventually and typically you would want to end with an escalation.

  • Another option you might want to consider:

    When adding new tasks you have the option to set a reminder which can be repeated. This will push reminders until the task is completed. You won't be able to miss it. It will be pushed via the web app, the mobile app and email. The mobile app is really helpful in managing tasks.
