Removing Activity set from Individual contact

I saw many other comments about changing the activity sets themselves but have not found any FAQ on removing the activity set from an individual. For example, I created an activity set, added it to a contact and found I was not ready to begin the activity set with them yet and needed to postpone the activity set process with this client. It is merely to un-attach the activity set from the client so that I can re-add it when I am ready. Help is appreciated! I hope I was clear in my explanation.

I compounded the problem by attaching the activity set to hundreds of contacts that have multiple actions in each activity set. When I tried to do a bulk edit and move the overdue tasks, I hoped it would move all of the others in the set but it didn't. Now I have the third and fourth tasks that are now due before the first several and now I have a major mess. Am I screwed or is there something I can do since I now have hundreds of people on running activity sets? HELP!!!

  • Hi Tom,

You simply need to remove the tasks that were triggered. You can create a custom view in Tasks and filter for the ones you wish to remove and bulk select/delete. Happy to help if you need a hand.

  • Eric! So happy you contacted me! I am soo in need of help! Also if I can help others with what I know, I would be happy to help too!

I think I really do love the CRM, but each entry adds an activity set (18 tasks/events in each)every day, every hour and at this point an not sure what to do to get to where it is manageable. I have over 200 tasks and now events triggered and the first dates as far as three weeks ago are now not only past due but the second and third follow-ups are also due. Then, of course, I thought I could change a few of the first dates and it would set all of the following dates back and would also move back the rest of the tasks in the activity set but it inadvertently moved the first ones that were triggered behind the second and third events triggered so I have a massive mess and really need help and have nowhere else to turn! I am not well funded so I can't afford tech support but would gladly find a way to make it up any other way I could within reason if there was such a way?

If I had to do each one individually, It would take more time than I have and take away any efficiently I once thought I could obtain from starting a CRM. I hope I am clear in my explanation

At this point, you are my saving grace because as far as I know, there is no one else! no pressure!

  • Tom,

Not at all, just lots of work to do. We do charge for services outside of advice provided here. It's how I feed my family, just like you're trying to do. Beyond that, why not just delete all the tasks and start over? Sometimes the learning comes from the process, and often the mistakes. Insightly is powerful, but it's that very power that can get you into situations like this. If time is the issue, perhaps you should consider hiring an expert...

  • Eric,

Thank you for your reply. I understand the need to charge, I just wasn't sure what was chargeable and what wasn't. I guess to me I thought it an insignificant issue for those that are experts with this CRM and remedied with a simple short paragraph on what to do. I think what got me the most was having it take me so long to get things ready to rock, then have this happen. Additionally, I didn't even have the money to even subscribe to the CRM but realized the importance of having one so I thought since my issue "is probably a no brainer" maybe someone would come along and help me out. Thanks for the tip of deleting them all, that is all I needed to know. Now you can feed your family with my monthly donation that can continue for months to come just by offering a simple random act of kindness to me that will pay dividends compared to me having to cancel my membership because I couldn't find an answer. Thanks Again!!! Yeah, I do owe you one. Maybe when I get up to speed, I will be able to help others that were struggling like I was! Peace!
