Insightly Copilot transforms how teams interact with CRM data by combining conversational intelligence, generative AI, and contextual insights - all within the familiar Insightly experience. It’s your always-on assistant that helps sales, marketing, and customer success teams spend less time digging through records and more time building relationships that drive revenue. With Copilot, every user - from sales reps to business owners - gains instant access to answers, actions, and automation without needing complex filters, exports, or SQL queries.

Good to know

  • The feature is not HIPAA‑compliant. If you store Protected Health Information (PHI) in Insightly, Copilot may process that data.

  • Copilot works best in Chrome or Edge (latest versions).

1. Enable Copilot for your instance (admins only)

  • Sign in as a System Administrator.
  • Go to System Settings › AI Features › Copilot.

  • Enable Copilot by checking the Copilot box. You will see a HIPAA compliant pop-up. Click the Enable Copilot button to give the permissions.

Tip: You can disable Copilot at any time from the same page.


2. How to Launch Copilot (any user)

  • Click the ✨ Copilot badge next to your Profile icon in the upper right corner.

  • The chat panel slides in from the right. Type a question—or pick a quick‑start chip such as Summarize a Lead, Generate an outreach email, Create a Contact or Create a Task.

Note: If using Copilot to update, create, or alter records, you will be presented with a confirmation dialog before the changes are made. Reply ‘yes’ to the confirmation message to proceed.

Generate polished follow‑ups or first‑draft emails based on the context of recent conversations, then send with one click.

Create or update contacts, opportunities, tasks, and events via natural language. Copilot handles field validation and linking for you.

Run on‑the‑fly queries across multiple objects, discover trends, and surface hidden patterns in your data without complex reports.

5. Security and compliance

Copilot is built on the same security foundation as Insightly CRM:

  • GDPR, CCPA, and SOC 2 Type II compliant infrastructure

  • All data encrypted in transit (TLS 1.2+) and at rest (AES‑256)

  • Role‑based access controls respected—Copilot can only see what the signed‑in user can see

Remember, Copilot itself is not HIPAA compliant. Avoid storing or querying PHI unless you have reviewed your regulatory obligations.


6. Troubleshooting

Copilot panel won’t open

Refresh your browser, clear cache, or do a hard refresh by pressing F12 > right clicking on refresh icon > selecting ‘empty cache and hard refresh’ option.

Responses seem off‑topic

Provide more context by recording a video or capturing a screenshot or reference a specific record along with the prompt.

Unexpected errors

Capture the error (shown in the chat) and contact Insightly Support.



7. Feedback Mechanism

You can share your feedback on the AI agent’s responses by using the thumbs up or thumbs down buttons displayed below each response. If a response doesn't meet your expectations, feel free to choose one of the suggested options or leave a comment to help us improve.

Features

Insightly Copilot offers various UX features to enhance the user’s management and experience while interacting with our AI solution across their Insightly CRM instances. Users can open the chat by selecting the Copilot button that appears at the top right and begin interacting with the Copilot right away.

When opening Copilot, you’ll notice it will pop-up on the user’s screen on the left. Users can ask questions and navigate across multiple conversation windows, as well as view the terms of agreement.

Canceling a prompt

Users can cancel an ongoing prompt if they cancel immediately after submitting via the Cancel button on the bottom right.

Managing multiple chat windows

Users can Start a new chat or See all chats by selecting the three dot (…) menu. Users can also delete their conversations as well as search through their conversations by typing in key words.

Expanding the Chat

Users can select the expand icon at the top right to expand the chat size across their screen. They can view the list of all historical chats as well as the current one.


Manage and clear your chat history

Users can oen the Copilot panel. by clicking on the ⋯ (3 dot menu) and selecting Start a new chat to initiate a new prompt. To clear any chat history, see all chats option from the 3 dot menu.

Select Delete to remove any previous prompts and responses. Click the Delete button on the pop-up to process the deletion of chat history.
