The Email Reply Generation feature in Insightly CRM enables users to request and receive AI-generated email responses, simplifying the process of continuing personalized, professional conversations with contacts, leads, opportunities, and other CRM-related entities. This feature offers flexibility by allowing users to either copy the generated reply or directly insert it into their email draft. Additionally, users have the option to regenerate or edit the reply to suit their specific communication goals. By streamlining the email conversation process, CRM users can save time and keep client engagements moving forward effectively.
This feature can be managed through the System Settings by administrators and users with the appropriate permissions. It is intended to speed up the creation of high-quality email replies, saving users both time and effort. By providing an initial reply suggestion to move email conversations forward, CRM users can focus on fine-tuning the response or engaging in other high-value tasks.
This feature is included in all pricing plans.
How to generate Email Reply:
- To use this feature, ensure that “Email Reply” is enabled in System Settings > Product Settings > AI Features.
- To access this feature, navigate to Emails in the left-side menu of the CRM app. Then, select the email from the list view (standard or custom) that you’d like to have a reply generated for.
- You can also go to an email related to a particular object eg. Contact or Lead (or other CRM entity with related emails) directly from the Activity tab related to that particular record.
- Select Generate Reply from collapsed or expanded email bar.
- While the reply is being generated, a loading spinner will display the message “Generating reply…”. To cancel the process, simply select Cancel next to the loading message.
- Once the email reply is successfully generated, the reply content will be displayed in the expandable view beneath the Email Reply Bar (accessible by clicking the caret symbol).
- From here the user has the options in the top right of the Email Reply section to either re-generate the reply, edit, copy, or include the contents in their email reply draft automatically.
- Users can also provide feedback via the thumbs-up/down buttons.
Note: If the email reply fails to generate successfully, it could be due to one of the following issues:
If a timeout occurs during the generation process, the following message will be displayed:
“An error has occurred. Please Retry. If error persists please contact support.”
Selecting Retry would re-initiate the email reply generation process.If the email for which a reply is being generated exceeds 100,000 characters, the following message will appear since the content may be truncated:
“This email is too long to be fully analyzed, so important information may be missing from the reply. Please review before sending.”If an email contains potentially harmful content that prevents it from being summarized, the system will display this message:
“An error has occurred. The contents of the data being summarized may contain harmful content that prevent it from being summarized using this feature.”
