Important update: All customers will be migrated to the latest UI on April 7, 2025
To ensure you have access to the latest features and updates, all Insightly CRM users will be automatically migrated to the new user interface (UI) on April 7, 2025. This UI was originally released in October 2017 and includes significant improvements.
No data will be lost during this transition.
Why is this change happening?
If your account is still on the old UI, you’re missing out on valuable features and new product updates. This migration ensures you’re getting the full benefits of your Insightly subscription.
Want to switch sooner?
Your CRM administrator can update your account at any time before the automatic migration by following these steps. Keep in mind:
- Once you switch, all users in your account will be moved to the updated UI.
- The new UI cannot be enabled for individual users—it applies to the entire account.
- This change is permanent—once you switch, there is no option to revert to the old UI.
What you need to do
- Mark your calendar for the automatic update on April 7, 2025- No action is required—your account will automatically switch over to the new UI on April 7.
- If you want to make the update sooner, follow these steps.
- Update your bookmarks - If you’ve bookmarked your Insightly login page, update it to: https://login.insightly.com
- Keep your team informed - Let your team know about the upcoming switch to minimize disruptions.
- Review key updates - Some views have changed, so pay special attention to the “key updates” section below.
- Provide training and resources - Review this article and share it with your team to get familiar with the updated UI.
Interface changes
Recent activity - The “recent activity” screen is no longer displayed on the main home screen by default. Instead, you can now find “recent activity” in the dropdown menu at the top of your home screen.
Object records - There is an updated layout for individual records, which has been redesigned for better organization and easier access to key information. This is how they are now organized:

Feature updates available in the latest UI
Once you’re on the latest UI, you’ll have access to:
- 2017 UI update features - These vary by plan (see details below).
- All new features released since October 2017 - Stay up to date with the latest enhancements, including AI-powered email summaries and email replies. See the latest updates here.
Below is a summary of the additional features available in the updated UI based on your subscription.
If you are on Insightly Plus or Legacy:
- System settings - The settings page for admins has been reorganized and improved.
- Kanban view - Opportunities, projects, and leads can now be displayed in a kanban (aka pipeline) view. With kanban, you get a bird's eye view of your records and can drag them from one stage to another.
- Custom fields - We've added date/time, auto number, lookup relationship, number, percent, and multi-select dropdown fields.
- Improved search - Everything can now be searched from the global search box, and it's also been given a performance boost to help you find things faster.
- Blade view - The updated record view opens in a slide-out panel, so you can still see and access your list while viewing your record details. Individual record information has been reorganized.
- Custom list views
- Lists and filters (moved and updated) - Access your standard list views and custom list views with filters from the list view selector in the upper left. See the next section for changes on custom filters.
- Custom list views - Create your own list views and choose which fields you want to be displayed and the order they're displayed in. Make private lists or lists to share with your team.
- Custom filters (moved) - Once you've created a list, set up custom filters to see only the records that match your criteria.
- Import/export sidebar (moved) - Display or hide the sidebar to import, export, access the recycle bin, and view your tags index.
- Sorting - Sort your records by any field. Just click the column header to sort.
- Easier record tracking - Click the star icon in list view or record view to follow or unfollow a record.
If you are on Insightly Professional, you will get access to everything in Plus and the following features:
- Dashboards - Create dashboards for all your important metrics and display them on the home screen.
- Custom objects - While our standard objects are very powerful, you may have data to record that doesn't fit into the premade objects. With Insightly's custom objects, you can create your own objects to store data that's unique to your business.
- Custom apps - You can make your own fully customized app to store your data. Custom apps look and act just like Insightly CRM, but are branded to your preferences.
- Page layouts/assignments - Create your own page layouts to add, remove, or reorganize fields on a page, make fields required, and create special layouts for specific user profiles under “advanced permissions.”

If you are on Insightly Enterprise you will get everything in Plus, Professional, and the following features:
- Dynamic page layout rules - With dynamic layout rules you can configure a page layout to respond to a user's input as a record is created or edited. You can show or hide fields, show or hide sections or make fields required.
- Product, pricebooks, and quotes
- Products - Products are the goods and services sold by your business. Users can create a “product” record for every item or service their business offers and assign it a price.
- Pricebooks - Pricebooks organize your products into an itemized list. Pricebooks are used when building a quote. Once the quote’s pricebook is set, the user will be able to add products to the quote based on what’s available in the pricebook.
- Quotes - Use quotes to give prospects detailed, itemized summaries of your fees. Quotes are essential to clearly communicating with your customers and closing the deal.
- Custom apps - Completely separate from your CRM, you can make your own fully customized app to store your data. Custom apps look and act just like Insightly CRM, but are branded to your preferences.
- Lambda - A lambda function is code written by your developer and entered or uploaded into Insightly. You can use lambda functions to check, monitor, and update Insightly and other systems.
- Calculated fields - Ability to auto calculate two numeric fields together. This can also be used to calculate date fields.
- Validation rules - With object validation rules, administrators can write formulas to verify that certain conditions are met before records are saved. You can create validation rules for all standard and custom objects.
- Audit logging - When a record is updated, knowing who made changes and what they changed is critical. With field history tracking, administrators can review any changes that have been made to a record.
- Field level security - With field level permissions, Insightly administrators will be able to select which fields other users will have access to.
