Recording Audio Notes with Insightly's Mobile Application

Insightly's mobile application provides users with the ability to record and attach audio files to a record. Users can record up to 60 minutes of audio per individual audio file that is created.

How Does it Work?

Recording an Audio Note

  1. Navigate to the record that requires an audio note and select the Related tab for the record. 
  2. Select the + icon in the upper right corner. From the Add Related popup menu, select Note (with recording). If prompted, allow the Insightly mobile application access to the device's microphone. 
    1. To begin recording:
      • iOS: Touch the orange circle located beneath the time counter. To minimize the recording screen, tap the Compress icon (two arrows pointing at each other) in the upper right corner. When minimized, the recording will continue while other work within the mobile application is performed. To reopen the recording screen, navigate to the record's Related tab and select the + icon in the upper right corner. From the Add Related popup menu, select Note (with recording).
      • Android: Tap the orange microphone located beneath the time counter. To minimize the recording screen, tap the Compress icon (two arrows pointing at each other) in the upper right corner. When minimized, the recording will continue while other work within the mobile application is performed. To reopen the recording screen, tap the orange microphone icon located at the bottom of the screen. 
    2. When audio recording is complete:
      • iOS: Tap Done in the upper right corner of the recording screen.
      • Android: Tap Done located in the lower right of the recording screen. 
    3. The mobile application will display the New Note screen where users can edit details such as the Note Title, Date and Time of the note, and also add additional notes in text form in the Body of the note. 
    4. When applicable details have been applied via the New Note screen, complete the new note creation:
      • iOS: Tap Done in the upper right corner.
      • Android: Tap the check mark in the upper right corner. 
    5. The note will appear in the Notes section of the record's Related tab.

Accessing Existing Audio Notes

Existing audio notes are stored in the Notes section of a record's Related tab. The Notes section title will display a numerical value in parentheses to indicate the total number of notes for the record; this number contains both audio and regular (text) notes. Notes are ordered newest to oldest.

  1. To view a note, tap the note's name and the note will open for review. 
    1. Details Tab: Details pertaining to the note can be viewed via this tab. The note can be edited by tapping the Pen icon in the upper right corner (for audio notes, only the text entered during the audio note creation can be edited). To delete a note, tap the three dots menu in the upper corner and tap Delete.
      • Deletion of a note can also occur via the Notes section of a record's Related tab by tapping the three dots to the right of the note and selecting Delete.
    2. Related Tab: Information related to the note can be viewed via this tab; for audio notes, the audio file can be access via the Files section of this tab. To add additional information to the note, tap the + icon in the upper right corner and select the applicable action via the Add Related popup menu. To delete a note, tap the three dots menu in the upper corner and tap Delete.
      • Deletion of a note can also occur via the Notes section of a record's Related tab by tapping the three dots to the right of the note and selecting Delete.
