How to disable the Insightly Gmail gadget for select users

The Insightly Gmail Gadget will be retired on August 1st, 2018. All Gmail users can now use the Insightly Add-on for Gmail.

When you set up an Insightly for Google Apps account, all your Google Apps users will see the Insightly Gmail Gadget below each incoming message unless you place them in a separate organization. Doing so will hide the Gmail Gadget from them and remove Insightly from their apps grid. This will disable all access to Insightly for these users.

Your Google Apps administrator will need to set up a sub-organization and enable Insightly on your Google Apps domain.

Set up a sub-organization

An administrator from your Google Apps domain should follow these steps:

  1. Log into the Google Apps administration panel located at (substitute your own Google Apps domain at the end of the URL) and select the Users. icon.googleappsadmin
  2. Your organization name will be on the right side of the screen. Click the arrow next to your organization and select the item for Add Sub Organization.adduborg
  3. Add a new sub-organization called "Insightly Users" or a similar name.addsuborgdialog
  4. Go back to the list of all your users and move only the users of Insightly into the new sub-organization. You can do this by clicking the checkbox to the left of the user names, then click the Move To button and choose the Insightly Users option.movetoanotherorganization

Turn on services

Now you can enable or disable the specific services, like Insightly, that the users in that sub-organization require. Start by selecting the Marketplace Apps icon from the admin console.

  1. Check the box next to the Insightly app.
  2. Click the Turn Off icon.
  3. Select Turn Off for Everyone. This will turn off the Insightly Gmail gadget for all the users of your main domain.turnonservices.jpb
  4. Click on the Filter icon in the top right.
  5. Select your new Insightly sub-organization.filter
  6. Click the check box next to Insightly.
  7. Click the Inherit icon above that.
  8. Click the blue Inherit button.inheritsettings
  9. Check the box next to Insightly again.
  10. Click the ON icon, which is a circle with a line at the top.
  11. Click the blue Turn On button. This will turn on the Insightly privileges for members of your new sub-organization.turnoninsightly

Once you have changed these settings, it may take up to 24 hours for your changes to take effect within Gmail.

Users who need access to Insightly then need to be added from Insightly's System Settings > Users page.
